IMRF's New Employer Access

Is Going Live March 4, 2024

Thank you to all of the employers who have been working closely with our team to prepare for the transition to the New Employer Access system. We greatly appreciate your cooperation.


As we approach the launch of the New IMRF Employer Access system on March 4, we want to provide some new information and send a few reminders to help your organization prepare.



Go Live Checklist for IMRF Employers

Please read through the important information outlined here and the additional details in the links to the IMRF website.


  • Register for a Training Refresher - If you would like a refresher of the training you received for New Employer Access this past September, or if you missed the original training, please click here to register for a February training session. Webinars will be offered on February 6, 7, 13, 15, 20, or 22.


  • File Your January Wage Report in current Employer Access - Your January wage report will need to be filed and payment made in the current Employer Access system by February 21 at Noon, since the system will be unavailable February 22 - March 3.


  • Wait to File Your February Wage Report in the New Employer Access system - After the New Employer Access system is live, please file your February wage report in the new system between March 4 and March 20. Instructions for how to file your wage report in the new system once it is available can be found here. Please don't file your February wage report in the old system.


  • Prepare for Banking Changes - An email with important online payment and banking changes was sent to all employers in the last two weeks. To review this information, or if you did not receive it, please click here. To prepare for the transition, please balance your account in current Employer Access by February 21 at Noon. You can do this by clicking on Display Account Balance in Employer Access and remitting any outstanding balance, or by reducing your January payment if you have a credit on file. The current Employer Access system will be unavailable February 22 - March 3, leading into the new system going live.


  • Check that Your Current Employer Access Account is Active - Authorized Agents will need to have active access to the current Employer Access system prior to go live in the new system, in order to make the transition smoothly. If you are an Authorized Agent who does not have access to the current Employer Access system, please register online by February 21 at Noon, so you will receive the registration code for the new system when it is sent. The current Employer Access system will be unavailable February 22 - March 3, leading into the new system going live. IMRF will send you an email with login instructions for the New Employer Access system once it goes live.


  • Review Your Employees' VAC Percentages - In the New Employer Access system, the Voluntary Additional Contribution (VAC) percentage reported for each employee needs to match the percentage on the VAC form on file. If you have not done so already, please review your employees' VAC percentages to make sure the form on file has the correct percentage.


  • Complete Any Other IMRF Tasks Before the Current System Becomes Unavailable - Please be sure to complete any member terminations or enrollments, and submit any required forms by February 21 at Noon, since the current Employer Access system will be unavailable February 22 - March 3.


  • Find Answers to Your Questions in the Learning Center - Interactive training will be available on the IMRF website with videos, PowerPoint presentations, and step-by-step written instructions. This Learning Center will be the best way to get answers to all of your questions once the New Employer Access system goes live on March 4.


Expect Processing Delays and Longer Hold Times

IMRF anticipates temporary delays in customer service processing times, which is common during technology transitions of this magnitude. Our staff are advising IMRF members that it will temporarily take up to eight weeks to process new retirement applications. Please share this information with any employee who plans to apply soon to retire.


We also anticipate longer hold times in the contact center during this transition and recommend using Secure Message whenever possible, to ask questions or submit information. We apologize for the inconvenience, and we appreciate your patience as IMRF converts to the new system.

If the information you need is not available on the Learning Center or in the Employer Access training webinar, please send us a secure message through Employer Access before February 21, so we can reply before the system is unavailable from February 22 - March 3.
