We are thrilled to welcome you to Boston! To ensure you have a smooth and successful experience, please take note of the following important information to be sure you "Know Before You Go" as an exhibitor.

This information is provided to ensure that you have as much information as possible relative to expected attendance at this event so that you can plan accordingly for success in Boston, MA. Please reference last week’s communication for previously reported figures.
BY THE NUMBERS (as of January 30, 2024)
• We have more than 5,800 registered attendees. (28% increase over last week’s report.)
• 45% of registrants are from non-exhibiting companies. (Typically, this is a 50/50 split.)
• 1,150+ Exhibition Only registrants. (40% increase over last week’s report.)
• We have attendees from 43 countries registered for SLAS2024!
This is what we can provide at this time. We will continue to keep you updated weekly until we move into the Boston Convention and Exhibition Center.
You will receive one final pre-event update. Final numbers will be distributed by February 12.

The following items are mandatory and will be strictly enforced:
Carpet/Flooring
All booths must have flooring. You can bring your own flooring or order from Freeman. Any booth that does not have flooring by Sunday, February 4 at 12:00 PM will have carpet installed at the exhibitor’s expense.
💡Tip: If you will be arriving after the cut-off time, and bringing your own flooring, be sure your booth administrator has completed the “EXHIBIT BOOTH: Flooring Selection” task so we know not to install carpet in your space.
Certificate of Insurance
All exhibitors must submit a compliant Certificate of Insurance (COI). Be sure to submit your COI in your exhibitor portal before move-in to ensure that you will be permitted to setup your booth and pick up badges. Compliant COI’s include minimum coverage of $1,000,000, SLAS listed as the additional insured, and must be valid during event dates.

DISPLAY REGULATIONS:
ONSITE INSPECTIONS
|
|
In-Line booths: maximum height 8ft permissible in the rear half of booth, 4ft height allowed in the front half of booth so as to not obstruct sight lines for neighboring exhibitors.
Island booths: maximum height is 20ft. Any hanging signs must be installed such that the top of the sign measures 20ft from the floor.
📌Note: All demonstrations or other promotional activities must be confined to the limits of the exhibit space. Each exhibitor is responsible for keeping the aisles near its exhibit space free of congestion caused by demonstrations or other promotions.
All booths must be properly installed, fully operational, and event-ready no later than 1PM on Sunday, February 4. Show Management will be walking the floor starting at 11AM for booth inspections to ensure that all booth displays meet the rules and regulations found in the exhibitor service kit and below.

LABOR/UNION JURISDICTIONS
|
|
Material Handling
Exhibitors are allowed to hand carry one item, one time, in or out of the facility without having access to the loading dock. Hand-carried items are defined as one item that can be easily carried by an individual without the need for dollies or other mechanized equipment.
Booth Labor
Exhibitors are allowed to set-up and/or dismantle their own booths, provided that they use their own bonafide, full-time employees. No outside labor may be used unless ordered through the official service contractor or an approved EAC that is signatory to the Teamsters Local 25.

Advance Warehouse: The Advance Warehouse deadline was January 25. Material arriving after January 25, 2024 will be received at the warehouse with an additional after deadline charge. Warehouse materials are accepted at the warehouse Monday through Friday between the hours of 8:00 am - 4:00 pm. If required, provide your carrier with this phone number: (888) 508-5054.
Show Site Shipping: Freeman will receive shipments at the BCEC beginning February 1, 2024. Shipments arriving before this date may be refused by the facility.
💡Tip: Label every piece/box with the Freeman labels. UPS/FedEx labels can be vague and difficult to determine to which booth they belong.

GETTING AROUND BOSTON AND THE CONVENTION CENTER
|
|
ROAD CLOSURES 🚧
There will be access to the BCEC Loading docks coming off of the Bypass Road, but there will be no access to the docks from Cypher Street Via D Street. Signage will be posted to assist you with maneuvering these detours.
|
|

To ensure a smooth set-up process and better distribution of freight, exhibitors will have access to the exhibition hall based on the following targeted move-in schedule:

REMINDERS:
⚠️Exhibitors may not pick up a colleague’s badge. Individuals must pick up their own badge and provide photo ID.
⚠️A non-refundable $199.00 fee will be charged for the replacement of lost, forgotten, or stolen badges. Replacements of damaged or Incorrect Badges will not be charged a reprint fee when the damaged or incorrect badge is surrendered at registration. A valid photo ID must be presented to obtain a reprinted badge.
⚠️Changes to registration/badge type must be done at Registration in the ‘New Registrations & Changes’ line.
🍴Exhibitors are welcome to eat any meals provided in the hall. Concessions will be available during setup starting on Friday. You can also find restaurants surrounding the BCEC.

Exhibitor Appointed Contractors & Exhibiting Companies setting up will need to check in with security at the entrance of the exhibition hall or loading dock to receive an EAC wristband for access. Once companies have their offical SLAS exhibitor badge, they may use that for access to the exhibition hall.
Exhibitor Full Conference Registration: access to scientific podium presentations, exhibition, and more.
Exhibitor Booth Personnel: access to the exhibition and exhibitor tutorials only.
Only Exhibitors with GRAY or BROWN bars at the bottom of their badge will be allowed in the Hall during all installation and dismantle times.

During the hours that the exhibition is officially closed, the hall will be locked, and a security guard will patrol the exhibit space. Reasonable precautions are taken to protect property, but Event Management cannot ensure persons' safety or property protection.
Event Management's objective is to implement reasonable measures designed to minimize the risk of loss of your property. However, because such reasonable measures cannot absolutely guarantee the prevention of loss, the facility, SLAS, and Freeman are not liable for any loss of merchandise or equipment from your booth before, during, or after the event. It is ultimately your responsibility to safeguard your exhibit.

SLAS2025 ONSITE SPACE SELECTION
|
|
On-site sales for SLAS2025, SLAS Europe 2024, and SLAS Symposia will take place between February 5 - 7 in the SLAS Sales Office which is located at the front of the exhibit hall just behind the SLAS booth in booth # 801.
If you cannot make your assigned appointment, you will be able to complete a proxy form. This form will allow the SLAS team to assign you a booth space during your appointment time.
