July 17 Vestry Meeting Highlights

The meeting began 11:41 a.m. Senior Warden Kevin Babb called the meeting to order then opened with prayer.

Members present: S. Atwood, H. Clausen, K. Babb, C. Slaughter, D. Depew, L. Edwards, L. McKenney, V. Schmidt, M. Cavanaugh (Clerk). Deacon M. Klamer, M. Smithson, and J. Weingartner were also present. Treasurer Maxine Callies was unable to attend. Brian Pezza was on vacation.
The minutes of the June 12 meeting were approved.

Senior Warden Report
  • Kevin Babb led discussion of the elements of the search for a new Rector. After weighing the pros and cons, the vestry decided to serve as the search committee rather than appointing a committee from the parish. One reason is that it would shorten the time for the search.
  • Babb and vestry members emphasized the need for transparency so that the parish was aware of the details of the search process, except for confidential matters. Initial candidate interviews will probably be conducted via Zoom and the one or two of most interest will ultimately be invited for a three-day visit, conducted by vestry members.
  • The vestry will be sending a survey to parishioners via email which will request parish thinking on the search process.
  • Two meetings with the congregation on Sundays are planned for August.
  • A second topic of discussion was how parish administrative matters will be handled in the absence of a rector. Deacon Mark will be at church a portion of each weekday (hours to be determined), Jane Weingartner will coordinate office matters like mail and telephone, Marianne Cavanaugh and Marilyn Strangeman will assist Deacon Mark in preparation and printing of the weekly bulletin.   • Babb plans weekly meetings, as needed, of those involved in managing administrative matters such as Deacon Mark, the Junior Warden, treasurer, communications coordinator, altar guild representative, and possibly others to avoid unexpected problems.

Junior Warden
  • Junior Warden Carl Slaughter reported that the elevator inspection failed due to a wire loosened during inspection. He is working on straightening this out. There probably will be a second inspection at no charge to St. Andrew’s.
  • New problems have come up with the irrigation system following the change of watering days and this is being investigated.
  • The parts for the carillon have been delivered but installation of these is delayed until cooler weather.
  • A new sign has been ordered for the parking lot across the street from the church which identifies that the parking areas are for church members.
  • Carl also stated that an inspection of the fire extinguishers was scheduled for Tuesday and that Walter would be present for it.

Treasurer
  • Maxine Callies was absent due to a stroke during the prior week. Her recovery will take several weeks. Until she can carry out her treasurer responsibilities, Riley Atwood and Marian Smithson will see that payroll and bill payments are taken care of. Marian can sign checks for any St. Andrew’s account; Riley can sign for the general checking account.
  • Marian Smithson, in the absence of Maxine, reported on the work to resolve problems with Aplos that she and Maxine undertook for the last two months. After initial contact with the Client Service Manager, they were able to work with St. Andrew’s assigned bookkeeper and his supervisor in cleaning up various issues so that the end of month reports are accurate. One major change is that activity in the special checking accounts like ECW, Scrip, etc. are now included in the balance reports so that funds flowing between these and the general checking account are accurately represented. Based on this reporting and their recommendation, the vestry approved continuing with Aplos.

Altar Guild
  • Jane Weingartner, on behalf of the Altar Guild, suggested that the altar might be moved a few inches to accommodate supply clergy, like Fr. Stormer, who wish to face the congregation when celebrating the Eucharist.

Episcopal Church Women
  • Velma Schmidt reported that the Farewell Reception for Fr. Ben on July 15 went fine and was well attended.

Outreach
  • A basket for school supply donations will be in the parish hall the next two Sundays.

Book Sales
  • Elizabeth Donald and Jim Gillentine are planning three book sales in 2023. The Reinhardts will be available in an advisory role but will no longer be coordinating the sales next year.

Deacon Mark
  • Deacon Mark Klamer and Henry Evans are interested in a monthly Evensong service. This may occur after the new rector is here.
  • Deacon Mark is coordinating morning and evening prayer in the chapel on weekdays and is encouraging parishioners to participate or lead daily prayer.

Deacon Mark closed with prayer and the meeting was adjourned at 1:32.



Last week the Vestry met and outlined the search process by which St. Andrew's will call its next Rector. The Vestry is formulating written questions requesting that the members of St. Andrew's share their thoughts concerning future clerical leadership, and how that leadership can work with the laity to promote the mission of the Parish.

After the answers to those written questions have been received, there will be meetings during which members of the parish will be able to share their thoughts in community. The Vestry will then start the process of publicizing the clerical vacancy at St. Andrew's, and soliciting expressions of interest from prospective clergy.
 
"Watch this space" for further information on the search process, including distribution of written materials and specific meeting dates.

The celebrant this week is the Reverend Kip Ashmore, retired Rector of Trinity Church, Jacksonville. The fact that several clergy will be providing us with sacramental ministry during the transition gives us the opportunity to see a variety of liturgical and homiletical practices. Although each of the priests has a unique approach to sacramental ministry, each one is an excellent priest with a long record of successful ministry, and we are fortunate to have each one with us.
 
For those of you seeking worship opportunities, I commend your attention to the offices of Morning and Evening Prayer, celebrated daily in the Chapel next to the Nave.

Maxine Callies Recovering from Stroke

Maxine Callies, Parish Treasurer, recently suffered a stroke at home, was taken to Barnes Jewish Christian Hospital in St. Louis, and was released to her home this past week. The length of her recovery is not yet understood, but rest at this time is very important. The vestry and parish wish her a solid recovery.

If you would like to let her know you are thinking of her and a card sent to her home address may be best. Address: 1112 Grand Avenue, Edwardsville 62025.

Through August, treasurer responsibilities will be shared by others:
  • Riley Atwood, recently retired treasurer - payroll and other;
  • Marian Smithson, retired treasurer as of 2017 - payments, banking;
  • Lyndia Pezza, veteran counter - coordination of counting and depositing of Sunday offerings.
Donate School Supplies to the
Glen-Ed Pantry by July 29!

Our annual school supply collection for the Glen-Ed Pantry will take place from July 17 until July 29. Look for the basket in the Parish Hall. Consider items like backpacks, markers, pencils, erasers, pens, locks, binders, folders, notebooks, filler paper, glue sticks, and index cards. This annual drive helps many needy students in the community!
Farewell, Fr. Ben!

The Evensong service and Farewell Reception on Fr. Ben's last day are now good memories. We wish him well as he begins his new position at Nashotah House. We hope he will stay in touch with us so we can hear about his new position and return to his alma mater!
