Hello everyone!

This message comes as a spring update to student officers on club finances and purchasing. Please read carefully, as it contains important details about the end of the academic year. Student Life encourages you to plan ahead for final spring events, and we wish you luck in finishing classes! This email covers the topics below, and questions about student organizations in general can be emailed to [email protected].

  • Student Government funding deadlines
  • End-of-year purchase deadlines
  • Club member regalia

The deadline for Affiliated clubs to submit MyLynx Allocation funding proposals to Student Government’s Finance & Funding committee is next Friday, April 8th. Applications will be closed at that time so F&F members can review their remaining queue and finish business for the 21-22 year. Since Allocation requests must be submitted 3 weeks before an event or expected delivery, proposals entered by the 8th should include dates in the last two weeks of April or first of May; F&F does not approve funding requests for summer expenses. Please see the 21-22 SGA Funding Guidelines in MyLynx's Resources homepage menu for more information.

Officers of organizations with on-campus accounts (speedtypes) will receive a separate email next week confirming their club’s balance. This total represents funds raised this year or by previous members, and trained officers may request purchases from the balance without SGA support by submitting Expenditures in the MyLynx Finance module. The deadline to submit all Expenditure purchases in MyLynx (whether SGA- or club-funded) is Friday, April 29th. This cutoff ensures that 1) purchases are fulfilled before students leave and clubs transition over summer months and 2) expenses post and are reconciled before CU’s June purchasing freeze for fiscal-year turnover. Please contact Student Life soon if your club expects fiscal activity from mid-May to mid-August.

Several club leaders have asked about the possibility of regalia (cords/stoles) for their graduating members. Please recall that Student Life offers Student Leader cords to individuals who meet certain involvement criteria through our office. Many of your members may be eligible to register for the regalia award here. Clubs may also request to buy regalia from their speedtype balance or under Finance & Funding’s Club Development category. Common vendors include Herff Jones (Unique Recognition) and Honors Graduation. However, officers will also follow the steps below with Student Life before a purchase can occur due to the unique nature of regalia awards (joining clubs’ Allocation/Expenditure requests). Since spring is a busy time for regalia businesses, it’s in your best interest to plan such purchases now for on-time delivery:

  • Provide a list of graduating members’ names for approval of a Recognition Program
  • Obtain approval from CU Event’s Kelly Mason ([email protected]) for regalia’s use at May commencement
  • If order involves custom production, receive approval from CU Branding’s Laura Rodgers ([email protected]) for designs’ trademark/licensing - typical for print jobs like shirts and tablecloths

Lastly, please note that Organization Re-Registration has opened in MyLynx for clubs to transition into the 2022-23 academic year. We encourage you to follow those steps for continued recognition and contact the Student Organizations email above if officers’ MyLynx access is interrupted by the transition. Officers will need to be retrained as “Authorized Signers” to oversee their group’s fiscal activity next year, so keep an eye on your email for online summer trainings if you’ll return to a leadership role in the fall!
