Toy Drive Wraps Up Friday

Help Mail Services make the holidays a bit brighter for a local child. Just place a new, unwrapped toy in your outgoing campus mail or in one of the blue Toys for Tots bins located around campus. Donations are distributed through the Marine Corps Reserve Toys for Tots program to Yolo County children in need.

Mail Services is grateful to all who helped make this year's Food Drive a success. UC Davis Health Mail Services collected 2,101 pounds of food and non-perishable essentials and Campus Mail Services collected 921 pounds, for a total of 3,022 pounds. Donations were delivered to the Health and campus food pantries.

Approaching Lift Off!

After years of planning and preparation, we are in the final stages before the launch of Aggie Enterprise and the full implementation of the new Chart of Accounts.

There are a few things to keep in mind in the coming weeks.

  • Friday, Dec. 15 at 5 pm is the last day to submit a report, cash advance or Card Program request in AggieExpense using the current Chart of Accounts.
  • The last day for departments to approve existing reports and requests in AggieExpense is Monday, Dec. 18 at 5 pm.

While the Kuali Financial System (KFS) Requisition and AggieBuy are no longer available, there are options for purchasing before Aggie Enterprise goes live on Thursday, Jan. 4, 2024.

  • The AggieSupply Stores stock many of the items you may need. You can continue to shop in-store during this time or use the AggieLogistics Special Order form to place an order from the stores.
  • Procurement Card: If you can’t find the needed items from the AggieSupply Stores, the Procurement Card is the next best option. Use the P-Card to purchase non-capital assets and supplies up to the limit of $9,999.99.
  • Cutover Emergency Purchase Order Request form: If you have an emergency and need to procure goods or services before Jan. 4, 2024, use the Cutover Emergency Purchase Order Request form, but only if the two above options are not applicable to your situation. The request form will route to Procurement and Contracting Services, who will assist with the request.

Post-Go Live Office Hours

Supply Chain Management will support the launch of Aggie Enterprise by holding daily Office Hours beginning Jan. 2, 2024.

Office Hours are an opportunity for you to ask questions and get assistance with Supply Chain Management processes within Aggie Enterprise.

Supplier Services, Purchasing, Accounts Payable and Travel/AggieExpense team members will be on hand throughout the hour. These are drop-in sessions with no formal agenda or presentations. We encourage you to come with your questions or challenges anytime throughout the session and leave whenever you like.

Office Hours will be held Monday through Friday from 11 am to noon via Zoom.

Lots of Opportunities for Learning

As we prepare for Aggie Enterprise Go-Live in January, it's a good time to take advantage of the many opportunities for learning more about the procure-to-pay processes within the system.

The Aggie Enterprise Supply Chain Management webpage has a wealth of information, including self-paced training, links to Knowledge Base articles, how-to videos and more. We recommend using these resources as you explore the Aggie Enterprise Hands-On Environment.

Changes to Mailer IDs, MSNs

Changes are coming to how Departmental Mailer IDs are assigned, effective January 2024, due to the new UC Chart of Accounts.

In addition, new Mail Stop Numbers, or MSNs, will soon be assigned to all existing departmental mail stops, expediting the delivery of mail, as well as making it easier for automated sorting equipment to read mail pieces and route them correctly to their final delivery destination.

IDR Replacing Transcepta

Transcepta, one of the options for suppliers to invoice against UC Davis Purchase Orders, will no longer be available as of Dec. 31, 2023. Aggie Enterprise will provide the option for suppliers to use the Oracle Intelligent Document Recognition (IDR) system for invoicing purposes. Questions should be directed to aphelp@ucdavis.edu.
