In our August newsletter, we announced the availability of new-style Email Templates. This month, we are excited to announce 2 new Email features in Student Manager. 


Send BCC to Staff

You can now send a blind carbon copy (bcc) to staff  when sending emails within Student Manager. 


Simply select them from the drop down list. For example, when sending a quick email to class:  

Email Link to Pay Group Balance

Send an email with a link to Pay Outstanding Balances for a group on ACEweb with the new Email Link to Pay Group Balance button on the Register screen.

IMPORTANT: this feature will not be fully supported until ACEweb version .071 is released later this month.

ACEware Cloud Development Update

Resend Confirmation and Receipt

Last month, we demonstrated cash and check payments in the ever-developing ACEware Cloud Environment. Once a payment is made by either staff or a student, confirmation email(s) and receipt(s) are deployed via email. These confirmation emails are configurable and you love that!


This month, Brandon further enhanced the sending and resending of confirmation and payment emails. No one EVER calls your office to ask for the confirmation or receipt to be resent, right? Not EVER!


We know that is a need, so an easy resend confirmation button has been added to the registration record. Staff can click the resend confirmation button and the registrant will receive another copy of the email confirming their registration. Staff are given the option to resend the receipt to the payor as well. A payor could be the registrant or someone else altogether. It's that easy. (See images below.)

Student Manager New Goodies

Student Manager 8.0.115, released September 7, 2022, contains a dozen awesome new features, including:


  • Assign Proxy now allows to you to assign that proxy to a group of registrations.
  • When refunding a payment to a Proxy, Student Manager now stamps a note with the proxy's name info into the Registration Note field.
  • Additional codes added to the Code Area Cleanup
  • A new tabbed interface on the Pay Screen
  • Allow Waitlist value added to mass change.
  • Instructor's Courses Taught list is now sortable
  • Reports menu links to the Report Area Guide in Online Help

Reintroduction to Public Training

Last month, you were reintroduced to our private training option. This month, allow me to reintroduce public training! Here are the FAQ’s we receive about private training:


What is public training? When a customer wants to host two days of training and invite other ACEware customers in their area to join them, we call that public training.


What are the responsibilities of the host institution? The host provides local logistical support for the training. A great training facility includes:

  • Complimentary access to a computer lab with a minimum of 20 individual workstations and an instructor station
  • Access to data projector and screen for instructor
  • Convenient access from training site to hotel accommodations
  • Easy access to parking for workshop attendees
  • Meal options within walking distance for participants, OR space for a meal to be delivered to attendees


What are ACEware's responsibilities? We take care of the marketing and registration, and work with the host on the training topics for the two days.


How many can attend? Maximum registration is 20. There will also be minimum registration required for the training. The host institution receives 3 complimentary registrations, a $2,100 value.


What is covered in a public training? This is one of the benefits of hosting! You help determine the two-day agenda. We give you some ideas, but the host becomes part of the planning committee.




How do we get started? If you would like to host a public training next spring at your institution, get in touch with me. We are excited to bring a training to an institution near you!

Tip of the Month

 Mass Change, Update, Delete, Create, and More!

Do you ever get that sinking feeling that you’re going to have to spend way too much time manually changing something on many courses, one by one? Well if you haven’t checked out the Mass/Change/Update tool for courses, it could be saving you lots of time and effort!


Here’s a quick list of just some of the things you can change en masse:


  • Activate or Deactivate courses
  • Lock or unlock
  • Archive or unarchive
  • Set or change the web publish property (now with support for the publish date!)
  • Allow waitlisting (new in Student Manger 8.0.115!)
  • Create or Delete Main fees or optional fees (including coupons and discounts!)


You have a number of options to narrow down your selection, including by a range of begin dates, or a list of, “course number begins with,” strings (comma separated). Of course you can always use the custom condition filter to further refine your results. You’ll get a chance to preview your results before committing to making the changes too, how nice!

As with any feature that makes a lot of changes at once, it’s always a good idea to make a backup first!

Report of the Month: Course Performance Review

Quick—what are your top 10 courses based on enrollment? How about income? Finding the answer is easy: Reports >> Statistics >> Course >> Performance Data (or just Alt+S).

 

The performance review report lets you select your top 10 (or 20, or 5, or however many you choose) courses based on income, enrollment, CEUs, or hours generated. You can query on things like course number, subject code, begin/end dates, and even enrollment count. In the example below, I queried on course numbers beginning with 22, and ranked on enrollment.

 

As an aside, this is probably one of my favorite reports if for no reason other than the message that displays in the top-right corner of the screen while the report runs. Curious to know what the message is? You’ll have to run the report to find out!
