Medicaid Billing Notice
Has your District sent the Annual Notice to Parents?

A parent needs to sign the Consent to Bill Medicaid Form only once while a student is active in the district listed on the form. The annual notice should be mailed or given to parents that have signed the consent form previously. This annual notice does not need to be signed and can be printed using the AIM system.


How to log an Absence
An absence by either the therapy provider or a student can be documented in the Service Portal. Students with personal care services should have the absence documented on the daily care log. Therapy providers can add comments explaining the absence as a non-billable log in the Service Portal.  

Non-Billable logs are created similar to service logs using the Service Log Wizard. Instead of choosing a service code, choose NoProc-NonBillable from the drop-down menu. Notes can then be added in the comments section. To save logging time, multiple days can be selected from the calendar. Also, multiple students can also be selected to document absences quickly for a group of students. The general instructions link at the bottom of this email can provide guidance.

Progress Reports
Progress notes should summarize the service comments and indicate the student's progress toward medical status, IEP goals, and changes in treatment plans with rationale for change. This is an option is available in the Service Portal.

Evaluations
Evaluations can be billed for a student only once each year per service type. A student must qualify for the corresponding service in order to bill for the evaluation. This can be tricky since most evaluations occur over several days and sessions. Before adding an evaluation to the service portal, wait until the evaluation is complete, a primary disability has been determined, and the IEP finalized. The total time for an evaluation should be logged for the final evaluation day. Specific dates and session times can be included in the comment section of the log.  Non billable logs can also be used to document evaluation dates and activities up until the IEP has been finalized.
