November Updates
Hiding from the Adults Table?
We hear you. Now is the time to get together, celebrate the ability to be in-person, and remember how weird your family (or friend family) is.

In this spirit, we've given you a new user setting feature where those of you planning the holiday seating chart (admins) can choose which table your users have access to (or which navigation tabs they can access).

Any previous settings have been carried through and you can make decisions on new ones like whether someone needs access to programs or just registrations, memberships or just scanning in, desserts or just the main course, etc. Too much pie isn't good for anyone anyway.

From our recreation family to yours,
Happy Thanksgiving!
What's New
Memberships

  • Memberships can have membership adjustments (must match type and member). Receiving membership must have dates on/in that of the giving one. These do not apply to autopay or extension memberships. Lifetime memberships can only give adjustments.

  • Digital membership cards can be emailed from the management side even if they're not set to send on checkout.

  • When updating autopay fees in bulk for memberships, if any subscriptions cannot be updated they'll be marked as an alert on the results.

  • Memberships with no scans remaining do not trigger activity or POS membership discounts.

  • Required documents for memberships can be set to be required once per member or once per membership.

  • Memberships can have POS add-ons set from the membership top level or length edit and tracked in an icon on the membership.

  • A limit can be set on members as to how far out in the future they can be registered for.

POS

  • Voids can be done in the refund area of the facility portal. These require a global setting & user setting to be on & a gateway step for cc.

  • Point of sale product sales tax is calculated on the original fee and is not affected by adjustments.

Activities & Advanced Activities

  • Autopay occurrences can be offset from start of week/month to a different day on weekly/monthly pricing options. Setting an autopay offset of 0 has no effect on which dates can be purchased.

  • Deposits and autopay are mutually exclusive when adding or editing pricing options.

  • When cloning standard activities and advancing dates, the day(s) of the week shown to the public will reflect the new dates.

  • When cloning advanced activities (by activity or program) and advancing dates, you can update days of the week for pricing options.

  • A program can be set to restrict the number of activities a user can register for on the public side in a program within a time frame.

  • The force waitlist setting has its own start date setting to start a waitlist then or when the activity is full (separate from waitlist dates).

Rosters

  • The teams/groups area for all activity types has a setting to allow coaches to see balances and payments from the public side.

  • The global option to allow coaches to see balances on rosters has been deprecated in favor of a per-activity option.

Facilities & Reservations

  • Custom forms can be added to facilities and areas for use with reservations and facility requests. Reporting is available.

  • When adding dates to a reservation, if any would ordinarily be excluded, you can override the exclusion.

  • When facility-specific or global disclaimers are marked as having a paper copy in an account after checkout, that setting will save/report.

  • Reservation deposits un-disburse an amount equal to that which is returned in refund or credit when issued.

  • Reservation add-on adjustments can be seen in their own report under financial reports > sales reports (shows amount charged).

Accounts

  • Once started, autopay payments can be stopped and set to restart at a future date. This will pause memberships and not affect activity regs.

  • When changing the date on the printable version of the account finance statement on the mgmt side, the data shown will update accordingly.

  • Dates cancelled on advanced activities are reflected on the date link in receipts with a strike through affected dates.

General / Misc

  • The text blast add screen notes issues with certain providers and a new text blast system in the works.

  • The budget group income summary interior pages show a count of transactions for each budget group/those undisbursed to help identify them.

Future items are in Misc > Upcoming Changes where you can vote on them.
