Lower School (Pre-K to 3)

Dear Lower School Parents,

Welcome to the 2020-2021 school year! This year marks Oakwood's 25th Anniversary, and we are excited that we will be back in person to celebrate with you. While these are uncertain times in light of the current pandemic, the Oakwood community proves time and again its strength, resiliency, and sense of community, even during uncertain times. The Lower School team has been busy all summer preparing for the school year as we want to make sure that we have taken every precaution to ensure the safety of the students and staff. We will start the school year on Thursday, August 20th in person.

There will be an online option for parents who do not feel comfortable sending their child to school in person due to COVID-19. Please refer to the email sent by our Head of School, Dan Quesnel for those details. If you choose this option for your child, please let me know, so I can inform your child's teachers and arrange a time for you to pick up his/her school supplies. When/if you choose to go online, I (or your child's teacher) will contact you to go over the specifics.
  
To comply with the school's COVID-19 Planning and Response for in person school, general guidelines for things like daily health screenings and car line (drop off and pick up) are shared below. Look for a separate communication from Head of School Dan Quesnel prior to the start of school with more detailed processes and procedures.

In preparation for our start of school, please be reminded of several important items:
  • "Welcome to my Classroom!" Postcards - Your child's teacher will be sending out postcards as a way of introducing themselves and welcoming your child to the new school year. Postcards from your child's new homeroom teacher are set to be mailed on August 7th. If you do not get one by August 11th please contact me via email.
     
  • Lower School Curriculum Night is Thursday, September 17. This evening is planned for parents to learn about the goals, expectations, methods and curriculum for the core and specials classes for each grade level. We will be conducting this event through Zoom, and more details will be provided at a future date.
     
  • Classroom Schedule - Each classroom teacher has a schedule that will include the following specials: Spanish, Fitness, Library, Music, Art and (STEAM) Science Lab. Teachers will provide their daily schedules on Curriculum Night, so you can learn how the core subjects are being taught during the school day. They will also share calendar events for the school year. This year is all about flexibility and adaptability, so we will keep you posted when/if there are any changes to the calendar or schedule. Students will remain in cohorts this year, and special teachers will be traveling to the classroom whenever possible.
  • Attendance - If your child stays home for the day for any reason, please make sure to let your child's teachers and Ms. Christine in the main office know as soon as possible. A weekly schedule for your child's classes will be posted in FACTS.   
     
  • Morning Meetings - Lower School Morning Meetings will be conducted in your child's classes virtually this year. During these meetings, we will discuss various character traits (i.e., integrity, respect, gratitude, etc.) while sharing leadership opportunities amongst each of the classrooms. Also during this time, we share accomplishments, community service opportunities, monthly activities and birthday celebrations.
     
  • New Parent Orientation will be done for Lower School parents via Zoom on August 12th from 3:00-4:00pm. To facilitate a smooth transition to a new school year, new parents of Lower School students are invited to join me for a brief overview and Q&A session. At this time, a brief tutorial on FACTS and how to order lunches online through Eagles Landing will take place as well.

  • FACTS Student Information System is our all inclusive online platform where you will find many valuable resources in a Learning Management System (LMS) for your child and family such as: student class information, teacher websites, grade book, communication, attendance, school directory, Student/Parent Handbook, Eagles Landing lunch ordering, health information, student and family information, and more. You can also access your family's financial account for tuition, billing, and payments. All Oakwood families have been given the access code and their family username. Access to FACTS is web-based. Parents can also access FACTS using a mobile app. All of this will be covered during New Parent Orientation for Lower School on August 12. If you have any questions before then, please let me know, and I can walk you through the log in procedures.
  • Meet and Greet - Our traditional in person Meet and Greet will be virtual this year. A welcome video from each teacher will be shared on their LMS page. Be sure to login to your FACTS account to view one day prior to the start of school on August 19.
  • Pre-K and K Transition Days - On Thursday, August 20 and Friday, August 21, Pre-K and K students will begin their first two days of school with early dismissal at 12:00 noon as they transition to their full week of school starting the following Monday. Teachers will email parents with more information on pick up procedures these two days.
  • Daily Health Screenings - We will be conducting daily health screenings, including temperature  checks, for all students prior to entering the buildings in the morning. We ask that students remain in or with their cars and wait for an administrator or faculty member to check their temperature--once the student passes the check, then parents are free to leave. If a student has a temperature of 100.4F or higher, or answers "yes" to any of the screening questions, we will ask the student to return home and participate virtually in classes if he/she is able until he/she is medically cleared to return to campus. If a student develops COVID-19 symptoms while at school, he/she will be asked to wait in a designated area for immediate pick up.
     
  • Car Line (Drop Off and Pick Up) Reminders - This year we will be sending home a placard that we will ask you to use during pickup and display on your rearview mirror or dashboard to avoid students congregating on the Breezeway after school. This placard will have the student's name on it and will assist us when dismissing the students in the afternoon. If you lose your placard and/or need additional ones, please let us know. During drop off and pick up please remember to follow the loop when dropping off and pull all the way up to the car in front of you to keep the flow of traffic moving. Drop off starts earlier this year at 7:45am to allow additional time for conducting temperature checks and screenings. Students will go directly to their classrooms and not to the playground. Please be courteous and patient during the car line - our ultimate goal is the safety of the children. The front doors of the Lower School will be open, and the foot traffic flow will be one way. If a student arrives late to school, he/she will need to go through the main office doors to be screened and get a pass from Ms. Christine. Students will be dismissed from their classrooms, not from the playground. Teachers will be using two-way radios and the classroom speakers for dismissal. Parents/drivers are NOT allowed out of their vehicles to assist or accompany their child to class at drop off or pick up.
     
     
  • Water Fountains/Bottles - The drinking fountain will be turned off this year. Please send a water bottle labeled with your child's name for them to fill as needed. We are working on getting a water bottle filler for the Lower School building. 
  • Food Allergies - Please be mindful of students who have food allergies when bringing in treats and packing lunches. If you have a child with allergies, please reach out to your child's teacher.
     
  • Masks - Masks will be required to be worn on campus and in the classrooms. Oakwood will be providing several cloth masks for each student at the start of school. However, the children will be able to wear a mask of their choice as long as it is appropriate.
     
  • Visitors - In line with Oakwood's social distancing guidelines, we will greatly limit visitors' access to the buildings. Parents may check students in and out of class via the main office in Founders' Hall for Lower School students, but visitors may not enter the main hallways or classrooms. Parents and visitors will not be able to go beyond the main office. They will be required to maintain social distancing while present and to wear masks.
     
  • Lunches and Snacks - Eagles Landing will be open and Ms. Keisha will be delivering lunches and snacks to the Lower School classrooms. Eagles Landing orders should be placed online in FACTS. Teachers will be helping the children open and warm up their lunches, so please send in items that are easy to open. If your child forgets his/her lunch, parents may drop off a lunch outside of the main office, and it will be delivered to the classroom. Ordering lunch on FACTS will be covered during the New Parent Orientation on August 12.
  • Extended Day - This program is for students ages Pre-K to 7th grades between dismissal time and 6:00 p.m. for an additional fee. For more information and to sign up, please contact Extended Day Director, Mrs. Kristy Eastwood by email or phone (252) 931-0760 X1304.
     
  • Cleaning Procedures - There are strict guidelines for disinfecting and sanitizing the classroom and common areas. Students will also be asked to wash their hands and use hand sanitizer throughout the day.

Dear Middle School Parents,

We welcome you to the 2020-21 school year! It seems like only yesterday that we flipped our face-to-face classes into a virtual platform and everyone's normal shifted. Now we are looking forward to the beginning of the 2020-21 school year and working with Middle School students, their families, and the faculty with a detailed plan to deliver face-to-face instruction as safely as possible. School begins in person on Thursday, August 20th!

The Middle School years represent one of the most significant periods in human growth, and the faculty is committed to actively supporting the students' intellectual, emotional, and social growth when their attitudes about learning and self-esteem can be most challenged. As Division Coordinators, we will continue to support you and your child during this exciting and challenging journey. In preparation for our start of school, please be reminded of a few important items:

  • Student Schedules - Students will be able to access their class schedule in FACTS and will be provided written copies on the first day of school. Please know that the process of entering schedule information is a work in progress, and adjustments may need to be made as new students are enrolled. If you have scheduling questions, please contact Anita or Linda. 
  • New and Optional Classes - There are several new class offerings for Middle School students this year including library, writing labs, STEAM labs, and wellness classes. Returning optional classes include dance and OASES. These classes are grade specific and in some cases require parents to choose one option over another. Look for a separate email specific to your child to make your choice where necessary. 
     
  • New Family Orientation for Middle School students and their parents will be held via Zoom on August 12 from 4:00-5:00pm. To facilitate a smooth transition you are invited to join Anita and Linda for a brief overview and Q&A session including a virtual campus tour of our Middle School in Joyner Hall. At this time, a brief tutorial on FACTS and ordering lunches through Eagles Landing will take place as well.

  • Advisory Time - The Middle School homeroom period (8:15-8:30am) serves as the advisory period. It is a very important time for the advisory groups to build community, hear school announcements, work out social issues that have developed and need attention, discuss current events and character education topics, and gather materials needed for the morning's classes.
  • Middle School Morning Meeting and SGA - This will be our ninth year having a Middle School Student Government Association (MS SGA). All advisory groups elect one representative, and the Middle School student body elects four officers from 6th and 7th grade candidates running for President, Vice-President, Secretary, and Events Chair. The MS SGA, once elected, is responsible during for a weekly Middle School Morning Meeting. These will occur every Tuesday during Advisory time via Zoom this year to help us observe social distancing. During these meetings, the entire Middle School 'gathers' virtually to discuss school events, community service opportunities, student accomplishments, and student government initiatives.
  • Extracurricular Clubs and Competition Groups - Math Club, Science Olympiad, Robotics, Battle of the Books, Envirothon, Spelling Bee, Geography Bee, and Growers Club (OASES) will meet as needed AND appropriate according to the competition schedules, so that all students have an opportunity to compete if they wish. These opportunities will be introduced early in the year, and students are allowed to sign up starting in September. Of course, offerings are dependent on the host organization plans during the pandemic, and competitions and club meetings may be modified or cancelled as appropriate.
  • Food Allergies - The Middle School continues to be a "nut mindful" environment. We aim to provide a safe environment for all of our students, and we will educate all of our students about the severity of food allergies. Thank you for your cooperation.
  • Field Trips during Off-Campus Education Week - Oakwood's Middle School has made the decision to cancel fall overnight field trips this year due to COVID-19 and repurpose trips week. We will resume our fall trips in 2021-2022.

Middle School Student Supplies & Consumables for 2020-21

Middle School students should supply their own book bags/backpacks. For safety reasons and COVID protocols, lockers will not be in use this year. Students will be transporting their materials from class to class, so backpacks with wheels are encouraged.
   

All other Middle School supplies and consumables will be purchased by The Oakwood School, with the exception of a Math Course 3 (Pre-Algebra) TI-84 Calculator. By ordering supplies this way, students are assured of having the appropriate materials needed for the school year.

Upper School (8 to 12)

Dear Upper School Parents,

The start of the 2020 school year will be one filled with joy, excitement as well as angst!  We have been impacted by COVID in so many ways, not the least of which is missing out on the social aspects of school at the end of our last school year. Therefore, it is with much anticipation that I look forward to the coming school year and being able to be back to face-to-face teaching with added precautions to maximize the safety of our students, faculty, and staff.

One thing we are most excited about is the opening of our smart lab--the Oakwood Innovation Lab! We have hired Chris Young to facilitate the classes, and I know this will be an engaging, hands-on STEAM learning opportunity for our students.  

The administration and staff have spent time this summer cleaning the Upper School, painting and doing general upkeep, as well as rearranging classroom space to accommodate social distancing, installing hand sanitizing stations, and marking one way hallways. All of these precautions are aimed at protecting your children, our faculty, and our staff. At the same time, we are planning to offer the same quality educational experience that you and your children have come to expect from us. When I reflect on Oakwood's Upper School, I am constantly reminded how special this place is, from the camaraderie of the school community, to the extraordinary teaching that takes place in the classroom each day, to the everyday teachable moments we faculty experience with your children. I give you heartfelt thanks for sharing your children with us again this year, and know that it will be all the more special as we reflect on how much we missed each other during the spring.

I want to bring a few important ideas to your attention in my letter before the school year begins. They include the following:
  • Student Schedules - Students will be able to find schedules when they log in to our LMS on FACTS. If a student wishes to take an independent study or online class but does not see it listed on his/her schedule, he/she should see the particular teacher to have the Independent Study Form or Virtual Learning Contract completed and turned in to me. Once that process is completed, the class will be added to his/her schedule. If you or your child should see a discrepancy or desire a change in schedule, please do not hesitate to contact me at school or via email. I will make the necessary changes prior to the first day of classes, or during the two week drop/add period. In addition, if you have a question about your child's schedule, I will be happy to discuss it with you. Please note that we can not honor requests for particular teachers if a class has two sections taught by different teachers. 
  • Online Option - There will be an online option for students who do not feel comfortable attending face-to-face instruction. Please refer to the email sent by Head of School Dan Quesnel for those details. If you choose this option for your child, please let me know so that I can inform your child's teachers and arrange a time for you to pick up his/her school supplies.

We ask that students exit their cars and wait in the designated spaces for an administrator or teacher to check temperature--once the student passes the check, then parents dropping off their child are free to leave. If a student has a temperature of 100.4F or higher, or answers "yes" to any of the screening questions, we will ask the student to return home and participate virtually in classes if he/she is able until he/she is medically cleared to return to campus. If a student develops a fever while at school, he/she will be asked to wait in a designated area for immediate pick up.
  • Drop Off and Pick Up - Students must be dropped off at the STUDENT LOT entrance in the mornings, and picked up at the FACULTY LOT in the afternoons to accommodate health screenings and one way use of hallways. Students will stay beside their car until they have been cleared with the health check. Drop off and health screenings will begin at 7:45. Doors to the building will be locked prior to this time. Parents should not leave the drop off line until their student has been cleared. 
  • Attendance - If your child stays home for the day for any reason, please make sure to let me or your child's advisor know ASAP whether he/she will be able to participate in classes via Zoom for the day, so that teachers can be prepared to have the Zoom session on at the beginning of class. Each teacher will post a Zoom link for each class on the LMS at the beginning of the school year. If your child is unable to participate in live Zoom sessions that day due to health concerns, please let me or the teacher know so that we can email the Zoom recording to your child. 
  • Water Fountains/Bottles - The drinking fountain will be turned off this year, though the water bottle filler will be functional.  Please have your child bring a water bottle to fill as needed.
  • Visitors - Visitors will be limited in our Upper School this year. If you must visit the Upper School, please call the number listed on the front doors of the Upper School to let Mrs. Adams know your reason for visiting. If you are dropping off items (lunch, gear, books, etc), please leave them on the table outside the front doors of the Upper School, and Mrs. Adams will deliver them to your child. We ask that you not enter the building unless it is absolutely necessary. Visitors
    are required to maintain social distancing and wear a mask. 
  • Sign In / Sign Out Policy - One important policy to take special note of is the Upper School sign in/sign out policy. *Any student arriving at the Upper School after advisory begins (8:20) needs to sign in at the UPPER SCHOOL front desk with Mrs. Adams. If a student arrives during advisory, he/she must proceed to advisory.  Mrs. Adams or another teacher will complete a health screening with a temperature check for students who are tardy at the front desk. *In addition, any student leaving campus for any reason during the day except for school-related activities must have a parent sign him/her out at the UPPER SCHOOL front desk OR have a parent-signed note indicating that the student may leave. No texts will be accepted. Notes should be given to me or Ms. Adams at the front desk at the time the student signs out. Please note that students may not leave school without a parent signing him/her out OR the parent-signed note.  
  • Forms - The Senior Off-Campus Lunch Form and the Responsible Use Form for use of computers and internet can be found here; please have students bring those in as soon as school starts. Seniors will not be allowed off campus for lunch until the signed form is turned in.
     
  • Dual Enrollment - Please note our dual enrollment policy for students taking classes for credit through NCSSM, PCC, or ECU. Students must commit to dual enrollment status by the end of the third week of classes; once a decision has been made, no changes to dual enrollment status may be made.  Please see the Student/Parent Handbook for further details.
     
  • Online Courses Outside of Oakwood's Campus - We continue to have success with students seeking educational opportunities outside of Oakwood's campus. Last year students completed online courses in science, foreign language, and the social sciences through VHS, the online school we use as a part of the North Carolina Association of Independent Schools (NCAIS) consortium. Prices for the VHS classes are discounted for Oakwood students and the offerings are varied. Prices for VHS-taught classes range from $285-$375 per semester. In addition, students may also take advantage of classes through the North Carolina Virtual Public School. If your child is interested in taking an online course but has not filled out the proper paperwork, please contact me for a virtual learning contract. I will enroll students prior to the first day of classes as soon as I receive their completed contracts. Also, please note that our policy for awarding honors credit for online classes is as follows: honors credit and quality points will be awarded only to online classes that are substantially similar to classes taught at Oakwood.   • Off-Campus Education Week - Oakwood's Upper School has made the decision to cancel Off-Campus Education week this year due to COVID-19. The international trip to Rome has been tentatively rescheduled for spring break 2021. If you have a question about any of the trips, please don't hesitate to contact me.
     
  • Supply List - Please note that the Upper School Supply List for 2020-2021 is short and listed below. In the past, this list has caused some confusion for parents. Very few teachers will require students to have particular supplies like a 1-inch binder, a pack of notecards, etc. If a particular supply is REQUIRED, it will be provided by the teacher. For example, if a teacher requires a student to have graphing paper or a particular type of binder, it will be provided by the school. However, by the time a student is in the Upper School, most faculty ask that students begin developing their own system of organization and note taking. Therefore, students will be able to choose if they wish to purchase a binder and paper for note taking or take notes on their computer. Please talk with your child about what supplies he/she may wish to have and plan accordingly. No teacher will require your student to have a particular type of supply without supplying it (i.e., binder, type of paper, markers, note cards, etc.) but your child may want to have these supplies as it fits in with their style of learning.
  • Meet and Greet - Our traditional in person Meet and Greet will be virtual this year. A welcome video from each teacher will be shared on their LMS page. Be sure to login to your FACTS account to view one day prior to the start of school on August 19.
  • FACTS Student Information System is our all inclusive online platform where you will find many valuable resources in a Learning Management System (LMS) for your child and family such as: student class information, teacher websites, grade book, communication, attendance, school directory, Student/Parent Handbook, Eagles Landing lunch ordering, health information, student and family information, and more. You can also access your family's financial account for tuition, billing, and payments. All Oakwood families have been given the access code and their family username. Access to FACTS is web-based. Parents can also access FACTS using a mobile app. If you have any questions, please let me know, and I can walk you through the log in procedures.
This year marks the 25th year of The Oakwood School, and I am excited that we will be back to face-to-face sessions to celebrate this joyous occasion. While we do not know what the rest of the year holds for us, the Oakwood community proves time and again its strength, resiliency, and sense of community, even during times of crisis. I am proud to be a part of such a wonderful school community, and look forward to welcoming your children back to school on Thursday, Aug. 20. Until then, enjoy the rest of your summer break!

Required Upper School Supplies

Students taking Algebra I, Geometry, Algebra II, Advanced Functions & Modeling, Statistics, Pre-Calculus, AP Calculus AB, Physical Science, Chemistry, and Physics are required to purchase a graphing calculator such as the TI 83, 84, and 89 collections. Graphing calculators that connect to the internet are not recommended, as they cannot be used on standardized tests.

Upper School dance students will need to purchase shoes. Females will need to have tan character heel tap shoes. Males will need black oxford tap shoes. Due to the multi-purpose use of the stage, these shoes are required to be worn by all students for safety reasons. These shoes can be slip on or lace up and can be purchased online at www.discountdance.com, or from the local dance supply store, At Barre, located in Arlington Village in Greenville. Dancers will wear the jazz shoes during dance class and during performances.
