This District Secretary update is intended to keep you better informed about the issues affecting your club. Regular issues will be provide through the year.

  Secretary Monthly Reporting Is Critical  
                                                                                 
The Club Secretary Monthly reporting can seem to be a daunting task but is an integral part of your Club's continued viability and success.  We want to ensure that our collective efforts in Western  Canada DO NOT go unnoticed by Kiwanis International. This can only be accomplished if all clubs submit reports.       

During the 2019 / 2020 Kiwanis year (October 2019 to September 2020) some 1/3  of our clubs either did not submit a single report or had minimal reporting 
Consider the following:
  • without completing monthly reports how do we tell our community of the impact of our volunteer service hours, financial contribution and number of children served in our town, division, district or globally. 
  • most foundations / donors want to know the outcomes on both a qualitative and quantitative basis 
  • Our Distinguished Club awards along with other awards provided by the District are based on the information provided and sourced from the club monthly reports.
  • The information provided and resulting metrics provide valuable information to the Lt. Governor, the District and KI on the health of clubs, their impact and trends in organization.
  • WE NEED TO HEAR FROM YOU THRU MONTHLY REPORTING  !

Signature Service Project Contest

Kiwanis International will again be sponsoring a Signature Service Project Contest for 2020 / 2021.    Each district will be able to submit one application for Tier I clubs ( under 28 Members) and Tier II ( over 28 members).

Additional information on this and the District 's Signature Project contest will be forthcoming by Jan 2021.   
We encourage clubs to enter your Signature Project as you will be one step closer to your Distinguished Club status for 2021.   !                 



New Member Fee Waived Until December 31
REMINDER....
KI and Western Canada Extend Waiver!
This is a great time to provide an opportunity to prospective members an opportunity to join your club with no Membership fees due until beginning Oct 1 2021 as both KI and Western Canada District boards have extended the new member fee waiver for existing clubs until December 31st 2020.

This removes one of the potential barriers to joining at this point-in-time.  Once they experience the service, fun and fellowship in the club, it is likely the will remain a member in following years.

Club secretaries should enter new members into the secretary dashboard as normal. The Kiwanis International staff will make the necessary adjustments to billings.



Kiwanis International Dues Invoices 

All clubs should now have / soon will receive their Member Dues Invoice.  These dues are payable now and we ask that clubs forward their payments in Cdn $$ to the address on the invoice, that being...

We acknowledge that some clubs did experience issues in getting their payments to KI Head office when mailing through this method but we understand these have been resolved.   We would ask that when you make your payment if you can send a quick email advising same to [email protected]  In this manner we can follow for your payment reaching Kiwanis International. 
We would prefer clubs not make payment direct to KI in Indy via Credit Card as you are required to pay in U.S. $$ and this creates challenges then Western Canada receives the District portion.
We also advise that as part of Distinguished Club criteria, clubs ensuring dues are received by Kiwanis International by Dec 31, 2020 are one step closer to Distinguished Club Status.  

COVID 19 WAIVER

All clubs were advised Nov 5th of the incorrect COVID 19 Waiver forms for Canadian clubs.  This form relates to guidelines for clubs for resuming "In Person" meetings and Kiwanis events.    Kiwanis International was advised that starting November 1, 2020, the KI Insurance policy will no longer cover claims related to someone claiming they became infected with COVID-19 at a Kiwanis meeting or event.
 
We continue to follow with Senior Legal Counsel for Kiwanis International for a revised document.    We have been advised that it should be corrected soon. Updated form will forward to you for distribution once completed revisions are executed.

IN THE INTERIM.....
As all regions seem to be moving into our 2nd wave, it is of utmost importance that we ensure that the Health and Safety of our members and our extended Kiwanis family.  Please follow your local / provincial guidelines as they relate to Health Care restrictions on  "In Person" gathering sizes, physical distancing and Mask requirements.    Stay Safe !
