As our units continue to meet the challenges COVID-19 has presented for in-person and virtual meetings, Virginia PTA continues to seek ways to streamline the administrative work of our local units and councils. Our bylaws process is one of those areas of work we are in the process of revising.

Decisions were made to revise our bylaws process to eliminate the need for local units and councils to produce bylaws revisions every five (5) years. This process change was due to be presented at our March Annual Meeting but due to some timing complications, we were unable to provide this update.Knowing our deadline was not going to be met, the previous Executive Committee did provide the following - thereby negating the need for local units to provide revised bylaws.

  • All local units and council bylaws due for revision between July 1, 2020 - June 30, 2021 will remain effective until June 30, 2021.
  • Electronic Meeting approval for local units will remain in effect until June 30, 2021.

We now understand we weren't as clear as we needed to be with our local units and councils whereas any bylaws submissions would not be approved and returned. Our hopes were any units who had submitted would have received an email alerting them of the changes coming forward and explaining current bylaws were in fact valid documents as provided in the extension.

We appreciate the due diligence of local units and councils who provided bylaws revisions and have been patiently awaiting their updated document. However, with the new process, ALL bylaws for local units and councils will have to be updated to the new bylaws document. The process will also revert to amendments being proposed only during the Virginia PTA Annual Meeting.

This process was due to be presented and released at our March Annual Meeting but due to some timing complications with receiving the final document, we were unable to provide the updated bylaws document but the good news is we're on track to provide the new bylaws document prior to June 30, 2021.

During Summer Leadership Training, there will be workshops addressing the new streamlined process and new bylaws document. We will also host leadership round tables to answer any questions from our PTA leaders - not only on bylaws but all PTA programs and processes.

We know this has been a very unique and challenging year but each of you rose to the those challenges and we appreciate all the work each local unit and council has done to keep PTA in the forefront of our school community. Our hopes are the new streamlined processes - bylaws and others - will benefit our volunteer leaders and alleviate redundant work.

As always, if you have any questions, please feel free to reach out. We are here to serve you.
NOTE: New units did/will receive bylaws documents to establish their legal entity
