February starts with Groundhog Day on February 2nd and ends this year with ‘Rare Disease Day’ on February 28th. The month is also importantly dedicated to black history. This February let us make some good history. Scroll down for events, opportunities and information about DEI training at BCH, Black Caucus Oakland and the amazing See Us Portrait Project.


The UCSF COVID vaccination program for healthcare workers has done a tremendous job of helping to keep us safe. We are starting to see this through. Coping with all the changes in our world will be work ongoing. Hopefully, you can participate in Schwartz Rounds on February 3rd to reflect on this past year and put 2020 in hindsight!


Notes and Words 2021 is approaching on March 20 and has a fantastic virtual line up. This all on-line program features: Ziggy Marley, Jack Johnson, Brittany Howard, Matt Nathanson, MXMTOON, Maelyn Jarmon, Margaret Atwood, Billy Collins, Tayari Jones, Amir Abdul-Shakur and Oakland School for the Arts own: Vocal Rush.

I am pleased to announce our new UCSF Health PRIDE Experience Awards and encourage you to let your colleagues know how much they are valued.

 

Receiving recognition for outstanding work is always important and perhaps even more so during these challenging times. As part of our PRIDE Awards in past years, we have celebrated six individuals and two teams annually for their consistent demonstration of our PRIDE (Professionalism, Respect, Integrity, Diversity and Excellence) values. 

 

The UCSF Health PRIDE Experience Awards integrate our previous PRIDE Awards criteria with the Great Experience Awards. The changes we have made will enable us to increase the cadence of award winners from annually to quarterly, simplify the nomination and voting processes which now are available 24/7, and offer an entirely virtual experience. We will recognize the efforts of eight individuals and one team each quarter for a total of 36 awards every year.

 

Individual PRIDE Experience Awards will be given to UCSF Health employees, including UCSF Benioff Children’s Hospital Oakland, in eight categories. The team recognition celebrates groups who add value to one or more of the strategic priorities in our True North pillars while modeling PRIDE Values.

Win $50,000 funding for your improvement idea!

 

KEY DATES:

Between Feb 1st and 5:00PM Feb 19th – submit a brief 2 paragraph Letter of Intent (LOI)

 

WHO:

Any faculty, staff, or trainee may apply.

 

WHAT:

Any idea for value improvement will be welcome. UCSF Health is particularly interested in LOIs that address value improvement opportunities in one of the below areas:

  • Improving Health Equity
  • Improving Hospital Throughput
  • Improving Clinic Access
  • Reducing Hospital Acquired Conditions and Infections

HOW:

Go to the Caring Wisely contest page on OpenProposals (https://open-proposals.ucsf.edu/chv/cw-loi-2021) and click the “ADD YOUR IDEA” button at the top right

 

LOIs must be no longer than 2 paragraphs/1500 characters and answer the following 3 questions:

Call for Applications: 2021 Mentor Training Program

The 2021 Mentor Training Program is now open for enrollment

 

Applications are now being accepted for the CTSI Mentor Training Program (MTP), a comprehensive, online program designed to train faculty to be effective mentors. The MTP creates an integrated environment for mentors and mentors-in-training, encouraging creative and innovative networking, discussing a range of mentoring challenges and a myriad of solutions, developing a toolbox of strategies, and using discussions and collective experiences to build a community of mentoring excellence.  In addition to research faculty, many residency and fellowship directors and others who run training programs have found the MTP to be very useful. All are encouraged to apply.

 

The course consists of six core modules taught through web-based meetings that provide an overview of core mentoring competencies. We address the learning objectives, through readings (required and suggested), short lectures and videos, as well as self-directed exercises and case studies. 

 

The next MTP course will be offered in Spring 2021. Application deadline is March 1, 2021. Apply here!

Awarded $750,000.00 to Increase Access to Health Care and Address Physician Shortage


State Tobacco Tax-Funded Program Awards $38.14 Million Statewide to 101 Awardees to Expand California’s Health Care Workforce


Oakland, Calif. – UCSF Benioff Children's Hospital Oakland Pediatric Residency Program today announced $750,000.00 in CalMedForce awards to support local medical training and residency programs that will help increase access to care and grow the physician workforce.

CalMedForce funding is generated by voter-approved Proposition 56 tobacco tax revenues (2016), and the latest award cycle will support 202 residency positions in 101 graduate medical education (GME) programs at hospitals and clinics throughout California, with an emphasis on those serving medically underserved communities. This round of funding also represented the largest applicant pool: 541 residents and 122 applications requesting over $96 million in funding.

The California Future Health Workforce Commission estimated that California will need 4,700 additional primary care clinicians by 2025 and approximately 4,100 more by 2030 to meet demand. Physicians for a Healthy California (PHC), in partnership with the University of California (UC), established the CalMedForce grant program to help address California’s looming physician shortage because medical school graduates must continue training in an accredited, specialty-specific GME residency program to obtain a medical license and care for patients independently.

Foundations of Diversity, Equity and Inclusion Training

The UCSF Office of Diversity and Outreach is developing a one hour online Foundational Diversity Training. This training will be mandatory for all UCSF and BCH staff. The training will be available on the LMS system for UCSF staff the week of January 25 (final date TBD) and soon after on Healthstream for BCH Oakland staff. We are aiming for over 90% of staff and 100% of leadership and Board of Directors to complete the DEI Foundational Training by June 2021. The goal is for all of us to have shared language and concepts about DEI as we move forward with our shared journey to dismantle structural racism.


The training covers:

  1. UCSF Chancellor’s Pillar of Equity and Inclusion, and UCSF PRIDE values
  2. US history of racism, with reference to UCSF and the formation of the Black Caucus
  3. Legal requirements (Title VII and Title IX)
  4. UC policies: non-discrimination and bullying
  5. Definitions of Diversity, Equity and Inclusion, Cultural Humility, Unconscious Bias, Micro-aggressions, Gender Inclusion
  6. Examples of never events
  7. Examples of how to create an affirming and inclusive climate
  8. Resources - additional trainings, references, roadmaps. UCSF will provide the different channels of opportunities for our community members to further their learning and engagement in diversity and inclusion.

ADVANCING DEI IN BCH TRUE NORTH BOARDS 


As part of our organizational goal to dismantle structural racism and embed Diversity, Equity & Inclusion (DEI) thinking in our everyday practices, we are introducing a new probing question to the Coaching Kata: ‘What are the differences by race; ethnicity; language (REAL). By introducing DEI principles into our True North Boards and hardwiring DEI into our True North Board thinking, we are developing structures and strategies to equip leaders with the ability to manage diversity, be accountable, measure results, refine approaches on the basis of such data, and institutionalize a culture of inclusion. We have created a companion toolkit that includes the following elements to support team efforts: 

  • Coaching Roadmap for managers to ensure the psychological safety for their teams in having these conversations
  • BCH Needs Assessment data 
  • Conversation Guide & Framework

DEI STEERING COMMITTEE


The DEI Council is launching a quarterly Steering Committee meeting. The purpose of the Steering Committee is to review DEI best practices across the BCH enterprise, review the BCH DEI Action Plan rollouts, ensure communication and alignment of department-specific DEI initiatives with the DEI Action Plan, maximize our limited resources and to keep one another informed and engaged. We invite departments to share where you are with DEI thinking and what your departmental plans are to advance DEI.

This content used to be available only through an invitation-only in person conference, but due to the pandemic, it’s now available to all, Unexpected upside...! Anyway, it’s focused on understanding NIH and other funding opportunities, and establishing clinical and laboratory-based research teams, so a good resource to bookmark for yourself or mentees.

Resource Allocation Program (RAP)

The Resource Allocation Program (RAP), a campus-wide program that coordinates intramural research funding opportunities for UCSF, is now accepting applications for the Spring 2021 Cycle.

 

E-submission deadline: Monday, March 1, 2021, 2 pm/ PT

The funding results will be available at the end of May 2021.

 

RAP process

  • Applicants choose the most appropriate grant mechanism, not the agency
  • Funding agencies choose the best proposals that fulfill their programmatic goals
  • Simultaneous consideration of each application by multiple funding agencies enhances funding likelihood

New Award Verification Process Coming in April 2021

Beginning in April 2021, UCSF will implement a new award verification procedure to support Principal Investigators (PIs) in meeting requirements under the Uniform Guidance for federal awards. A key goal of award verification is to reduce the time required of PIs for compliance activities. PIs will cease using the Effort Reporting System and will use a new online tool for award verification.

NEW Category 3 Clinical Research Density to Increase on February 1



Dear Research Community:

 

I am writing to announce that Category 3 clinical research density will increase from 12.5% to 25% on Monday, February 1, 2021. COVID-19 clinical research and clinical research determined to be essential to the health and/or well-being of the participant can continue without restriction.

 

The ability to increase Category 3 clinical research density at this time is due to the reduced rates of COVID-19 infection in the Bay Area counties, the reduced number of COVID-19 infections among UCSF employees, and the reduced number of COVID-19 hospitalizations in UCSF-affiliated hospitals. We also recognize the ongoing outstanding safety practices of our researchers, who continue to adhere to public health protocols requiring face coverings, physical distancing, completing the daily health screening before coming to campus, and practicing good hand hygiene.

 

Anyone concerned about adherence to public health protocols in their work environment or building should email EH&S at ehs@ucsf.edu or submit an anonymous employee hazard report online.

 

We greatly appreciate your commitment to safely conducting research during this pandemic. The precautions you take will help ensure that UCSF can continue to care for patients and protect the health and well-being of our faculty, staff, students, visitors, and the general public.

Study Transfers to iRIS

The UCSF and B-CHO IRB departments have integrated.  All research protocols involving human subjects must be transferred from CYBER to iRIS, the UCSF online IRB system. 

 

Below is a list of your active protocols in CYBER.  In some cases, your staff has initiated the study transfer.  Please let me know which studies you plan to transfer versus which you will close. 

 

NOTE: If the data has been collected and is de-identified, the study can be closed (no need to transfer). De-identified data is considered "not human subject research". 

 

The attached matrix provides an outline of how to transfer your study.

All studies must be closed out in CYBER by February 22, 2021.  Soon after that date, CYBER will be retired – you will no longer have access to the portal. 

 

Studies that are not transferred by 2/22/21 will be administratively closed.

New! Information Sheet and Consent Form Addendums for COVID-19 Screening and Testing Procedures 

 

The HRPP has created the following documents for research participants attending onsite study visits during the COVID-19 public health emergency: 


  1. COVID-19 Screening Information Sheet 
  2. COVID-19 Testing Assent/Consent Form Addendum: Adults, Adolescents (13+), and Parents of Minors 
  3. COVID-19 Testing Assent Form Addendum: Children Aged 7-12 

 These forms are specifically designed for research participants who undergo COVID-19 screening and/or testing for the sole purpose of adhering to the UCSF Guidance for Onsite Clinical Research Activities, which requires that research participants be screened for COVID-19 prior to onsite visits and must be tested if their visit involves aerosolizing procedures. Use these forms only when the results of the screening and/or testing are unrelated to the study and will not be used as study data. 

 

The language from these forms can also be adapted and added to consent forms for studies in which these screening and testing procedures are being done for study purposes, i.e., the results of the screening and/or testing will be used as study data.

CHORI Summer Student Research Program:  

40 Years of Advocating for Diversity in Science  

  

For 4 decades, the CHORI Summer Student Research Program has placed talented high school and college students from under-represented backgrounds into Bay Area clinics and basic science labs to participate in active biomedical research projects. Our summer program provides a one-on-one mentorship with healthcare and research teams, along with access to tailored professional development workshops, scientific seminars, trainings, simulations, and networking opportunities. The program culminates in a formal research symposium in which each student presents their project findings to the scientific community, many of which continue on as future grants, publications, and advances in healthcare. The overall goal of the program is to foster an interest in health sciences for under-represented students, arming them with professional skills and confidence to improve their likelihood of success in STEM careers.   

  

Each year we are looking for faculty interested in mentoring these talented youth. Similar to last summer, this year's program format will rely on virtual interactions with the option for hybrid in-person meetings as COVID restrictions are lifted. Program Dates: June 7-August 6, 2021. Please find details below regarding mentor expectations, benefits and ideas for projects that you might consider.

Mentoring Responsibilities:  

- Develop a research project with your assigned student that can be completed and presented in 9 weeks  

- Meet regularly with your student to provide support for successful completion of the project  

- Participate in a 1-hour mentor workshop (Dates TBD)

Summer Student Research Program


The Summer Student Research Program (SSRP) formerly known as CHORI SSRP continues in the struggle for diversity, equity, and inclusion of students from underserved backgrounds interested in STEM. This past summer we pivoted from in-person training to providing a completely virtual program. We were able to do this while still supporting our students financially and providing a mentoring experience that allowed our students to conduct research albeit outside of a lab or clinic. These bright, exceptionally motivated high school and undergraduate students spent their summer exploring basic science and clinical research questions with practicing scientists who hold appointments at BCH-Oakland, UCSF and UC Berkeley. 

 

SSRP held its 39th Annual Research Symposium on Friday, August 7th. Our digital Symposium Book highlights the research performed by our 30 high school and undergraduate interns. They presented research findings in a half day symposium held via zoom- and posted on YouTube. We hope you will enjoy a glimpse into their experience and what they were able to accomplish in just 8 short weeks.

Applications for Summer 2021 went online, November 1st and the deadline for submission of applications is in early February 2021. Details can be found on our website HERE.
