#20: Uploading and Flowing Your Portrait Pages

As we navigate through our new normal of virtual learning and living at a distance, we understand our schools are facing many new challenges. Entourage is committed to making your yearbook process as simple and easy as possible with the use of new resources and technology!

In this hint you will learn how to upload your student portraits and index file into our People Page software. This will allow you to automatically flow your students alphabetically by teacher or grade.

Introducing our newest feature:  Have you ordered your proof book yet?
With the use of a printed proof you can assess your photo quality, color, and layout without having to commit to the final product.

To request a printed proof go to the Request tab on the top toolbar and select "Proof Book".

We will print and ship whatever is in your ladder and cover at the time of request.

** Please keep in mind: Proof Books are not production quality bound books, they are made by hand and for proofing purposes only. They take approx. 2 weeks to arrive **

1. Downloading your Photographs and Index File to your Computer
The first step is to download your photographs and index file to your computer.

*Your index file is usually a .txt, .tsv, or .csv document that includes all of your student's information like their first name, last name, teacher, and photofile. You need this to use the automatic people page flow*



If you have a CD -

Insert the CD into your CD drive. Open the CD in File Explorer and copy all of the contents. Paste the contents onto your desktop to ensure there is no issue when uploading the files onto your Entourage Account.

If downloading from an Online Portal -

Make sure to download all the necessary files from the online website onto your desktop. You may need to unzip the files once they are downloaded. Open the folder and right click Extract to unzip the files. They must be unzipped to upload to the website.

Once you have the folder with the portraits and Index File(s) on your desktop or computer, you can log onto your Entourage Account to begin uploading.
2. Uploading Your Portraits and Index File to the Website






To upload your pictures and data, go to Manage > Manage People Data on the top toolbar. Then click the blue 'Upload Photos and Sudent Index' bar to access the uploader.
Select the People Page Photos category from the drop down menu pictured below. This will open the uploader where you can drag your photos or hit Browse to load all your pictures and index file into the system.

The system will automatically load all the pictures first, then the index file last so feel free to upload them all at once!

*You usually want to use the MASTER index if multiple are available , as this includes retakes or edits*
*If the photos are in separate teacher folders, you will need to open each folder to access the photos for upload, you cannot upload a folder.

*To select all the photos in a folder at once, click on one then hit CTRL + A on your keyboard. Command + A if you have a Mac*
3. Aligning your Index with your Portraits
Now that you've uploaded your index, a new window will appear showing you each column of data present.

Usually, there is a column for Teacher, Grade, Photo File, Last Name, and First Name. Depending on how you plan to organize your groups, assign the headers with the drop down menus located directly on top as seen above.

Once all of the needed columns have been assigned (often there are extra columns you don't need to assign) hit the green confirm button.

*Make sure there is only one of each header needed assigned, for example you can only have one teacher column, etc.
4. Checking Your Data
Now you should see all your students populate below the uploader. Look over the data to ensure everything looks accurate. Feel free to edit anyone's entry by clicking on their photograph.
You can change their name, photo, teacher, or grade. You can also delete them if they are no longer at the school.


Make sure to check duplicates, usually these are students who had retakes done so they have two photos to choose from.
5. Choosing and Placing your Templates
Now that you've entered all your students into the system, you will want to select your templates.

Open the designer to the page you want to place your first class on.

Once inside the designer you can browse our people page templates from Templates as seen below OR from inside People > Make People Pages in the 2. Templates tab.
Once you find a template you like, click on the template then click to insert it on your page.
6. Flowing Your Templates



Now that you've placed your template, head to the top toopbar in the designer to flow your class from People > Flow People.
From People > Flow People you can select how you plan to group from the drop down menu located below.

Select your class and hit Flow Left Page or Flow Right Page.





Your class should now be on your page! Repeat steps 5 and 6 till all your people are on their pages.
