COVID-19 caught the world unaware. Some estimates say the world may not be back to normal until December and others are saying 2022. Unemployment is rising, but in continuing education there, is opportunity.

Those finding themselves newly unemployed will need new skills, which require training.  Face-to-face classes are not an option with stay at home orders and quarantines in place, but online classes are! You do provide online courses, right? If not, then you may want to consider taking the leap.

While ACEware can't help you provide courses, we can at least help track the financials and in some cases, integrate with a couple of Learning Management Systems (LMS) and 3rd party content providers. Here is what we can do:
  • We integrate with JER Online and uLearn so that the JER/uLearn courses are listed with your online courses. Register via ACEweb and the registration appears in JER Online/uLearn right away. Special setup in ACEweb is required to use, so contact your technician to install if you go with one of these.
  • We can import records from ed2go and ProTrain content providers so that your financials and transcripts include these courses. In these cases, the student registers on ed2go/Protrain, and you can then export the information from their platform to import into Student Manager via Tools -> Import/Export.  Webinars specific to ed2go and ProTrain integrations are available in our archives.
  • Blackboard and D2L modules have been developed and are ready for testing. If you have an IT team who is willing and able to work with us to install and test, let us know.  
  • If you work with other LMS or content providers, we should be able to help.
    • If students register through ACEweb, then you'll need to export data. Almost every report area has an Export to File checkbox. Just grab the fields you need and import into your LMS.
    • If students register on the content provider or LMS site, then you'll need to export the registrations from that site one course at a time. From Student Manager ( Module -> Registrations -> Speed Registration Entry) select a course, and then use the Name Import to import the sheet from the LMS. (Note: the June release, meant for conference, will have a Registration Import under tools that does the same thing, but instead of selecting one course, this tool will require the course number to be listed on the sheet so you can do all courses at once.)

 ACEware Employees Work in their Pajamas!?!?

On a note more serious than the title entails, we want to be sure you are aware that we are committed to working with you during this pandemic. For most of us, that means that we've ditched the ACEware cabin and are working from home. While we've never had a dress code, some employees took the opportunity to be even more casual than usual. So no suits, ties, or button up shirts, and maybe yes to pajamas.

How do you reach us while we work from home? The simple answer is the same way you've always reached us: email or call our extension. If we are working from home, our message will prompt you to push 4 to reach our remote phone. Assuming we aren't busy with another customer, we should pick up. If we are busy, you'll be sent back to our voicemail and you may leave a message (it'll be the same message as before, so don't hit 4 as it will just keep you in that same loop of trying to reach us). We'll then be notified of the message and can remotely check it, so don't worry about us not getting it!

Stay safe out there folks--we'll get through this, and hopefully sooner than later. We don't know when we'll be back to the cabin but look forward to being together again!

June 1-5 - A Week of Sharing and Learning
We're disappointed that we won't see all of you in Savannah this June. Instead, we'll take advantage of the technology we have available to meet virtually and enjoy a week of customer sharing and learning.

From June 1-4, we are planning three webinars each day (10:30 AM, 1:30 PM and 3:00 PM CDT - hold these times!). Our final session will be held Friday, June 5 at 10:30 AM. Each webinar will be 60 minutes in length using GotoWebinar, a platform you are all familiar with! 

Current confirmed customer sessions include:
  • Why Bother with Student Manager Standard Operating Procedures? - Amy Littleton, Tri-County Technical College.
  • Using Pocket Ledger in Student Manager - Brittany Thomasson, Auburn University at Montgomery
  • Cashbox Reconciliation - Sara Patterson, Lewis-Clark State College

  • How We Use Course Packaging in our Program - Jonathan Watkins, University of North Carolina at Wilmington
In addition to daily customer sharing sessions, we will be offering Student Manager and ACEweb specific sessions, with topics selected by YOU! Please complete this survey to select topics of interest. The survey will be available until Friday, April 24, and we'll share the schedule and signup link in early May.

Tip of the Month:  Shortcut Keys
With many of us seeing a change in our workspace and the systems we are working on this month, remember that there are built-in shortcuts to get you where you want to go in Student Manager. If you are not familiar with keyboard shortcuts, they are a combination of keys that do a certain function for you, instead of you having to navigate menus for that function. 

There are some general shortcuts that work in almost every program, as well as Student Manager:

Tab  = Move FORWARD through fields
Shift+Tab  = Move BACKWARD through fields
Ctrl+X = Cut
Ctrl+C = Copy
Ctrl+V = Paste
Ctrl+P = Print
Alt+Tab = (for Windows users) will help you switch between open programs

In addition to standard keyboard shortcuts, Student Manager has a variety of them to get you around the system quickly. Here are some that will work on the NAME RECORD:

Alt+0 (Zero) = Manually edit the City and State
Alt+1 = If on the Demographics 2 tab, switches back to Demographics 1 tab
Alt+2 = If on the Demographics 1 tab, switches to Demographics 2 tab
Alt+3 = Copies name, title, firm, address, day phone, and email address (in block format) from the open Name record to the Clipboard (for recalling into a document, e.g. letter, email, etc.)
Alt+F9 = Shows payment history of individual (can also be ran from Registration screen)
Alt+F12 = Opens  Log CRM Entry screen
Alt+W =  clones current Name record (Edit > Clone Name) 
Alt+V = pastes data from cloned record into open Name record (Edit > Paste Name)
Alt+Y = create an Instructor record from the open Name record
Shift+F5 = Opens Blacklist
Shift+Alt+P = ACEweb Users Only: blanks the Password field

Here are some that will work when you are at the Main Menu

Alt+F  = Activates File Menu
Alt+E  = Activates Edit Menu
Alt+M  = Activates Module Menu
Alt+R  = Activates Reports Menu
Alt+T  = Activates Tools Menu
Alt+H = Activates Help Menu
Alt+G  = Activates Module > Registrations Menu
Alt+P  = Activates Module > Pocket Ledger Menu
Alt+S  = Activates Reports > Statistics Menu

Report of the Month: Calendar Of Course Begin Dates
This new report was developed for an ACEware customer who uses a calendar in their course catalog that displays the course short title, time, and the first day of the course. It's similar to the 7 Day report already in the system, but only lists course begin dates. Here is what it looks like:

To download this report, go here. Then import it as you would any other report. To run it, go to Reports -> Courses -> Room Use List -> Date Sort and the name of the new report is 7 Day Starting Day of Class ONLY.
