Changes to Payroll Deliveries
We hope that you, your families, and employees are all healthy and remain so throughout these uncertain times.

We have a lot of news to share and will be sending several informative emails this week. Please read them, because they should answer most of your questions.

This message addresses changes to how you get your payrolls (checks/stubs, reports).

Advantages to Direct Deposit or Pay Cards
Due to the Covid-19 virus, we are STRONGLY encouraging that all clients use direct deposit or pay cards. (Pay cards are comparable to refillable debit cards, primarily for use by employees without bank accounts.) Massachusetts employers can mandate this for their employees.
 
There is NO charge for using direct deposit or pay cards, and several advantages:
 
  • Health and safety: We are concerned about the possible transmission of the virus through paper checks, through the additional handling at USPS/UPS and for employees depositing live checks at the bank or ATM.
  • Speed: Direct deposit and pay cards are not affected by delivery delays, which are occurring at USPS and UPS. UPS has already informed us that they cannot guarantee deliveries.
  • Guaranteed delivery: The only way to guarantee that funds are in employees' accounts on payday is through direct deposit or pay cards.

Your Payroll Specialist can set you up with direct deposit or pay cards.
 
Delayed Shipping?
We will NOT re-mail packages that have been delayed. If your payroll does not arrive on time, you can write manual checks.

You have the option of picking up your payrolls at the office. We have a box outside, with paper towels to use for opening the lid and a trash can for disposing of the paper towel afterwards. The disadvantages to this method are that the checks and reports will have been handled by human hands and the possibility of delays if you cannot pick up or distribute checks to employees before payday.

No Printed Pay Stubs for Direct Deposit
We will no longer be printing pay stubs and mailing reports for clients who have all employees on direct deposit. You can print the reports yourself from Employer on the Go, or we will mail them to the payroll contact/business owner at your request.

Employees can sign up for Employee Self Serve so they can see and print their pay stubs at their convenience.

If your employees haven’t signed up already, your Payroll Specialist can send them the link (send us their email addresses). The links expire in 60 days so they must respond promptly.
