Authorization Codes

Authorization codes are used to protect the selling prices that have been set on the inventory record.
If the price on the inventory record of a product is zero or needs to be changed during the Order Entry transaction, the system will prompt the operator to enter an authorization code. If the code is not entered correctly, the system will not allow a change to the selling price.
A listing of all changes to pricing may be printed: Order Entry>Reports>Price changes. The highest-level password is needed to access the authorization code area.
The authorization scheme may be set in any way needed. We have included two examples here:
Authorization codes are set up for managers only. Each manager should have his or her own code. The sales and order entry staff does not know the codes. When a price change is needed, a manager is notified and must key in the code. This method ensures that management is aware of all price changes.
Authorization codes are set up for all staff members. Assign a different code to each person.
To enter Authorization Codes:
Click the Insert (Green +) button.
Click the ellipsis button to the right of the Sales Rep field.
Select a Sales Rep name from the pick list.
Enter a unique code in the Authorization field.
Click OK.
