Preparing for 3rd Quarter Fuel Taxes

Your fuel taxes for 3rd quarter 2021 are due to the state by October 31st. Our office will need your trip sheets or log books with fuel receipts for July 1st – September 30th. To avoid late fees, paperwork should be in our office by October 15th. Once your fuel taxes have been processed, the documents will be mailed back to you or can be held for pickup. If fuel taxes are filed after October 31st, the state will charge a $50 late penalty or 10% of what is owed, whichever amount is greater. Keep in mind that an additional 1% of your total owed is applied to every month your fuel taxes are late! If you have an IFTA account and did not run in 3rd quarter, we will still need a statement from you to file a zero return to the states on your behalf. Our fuel tax processing fee is $70 for the first truck/driver and $35 for each additional truck/driver per quarter. If the documents submitted are not organized, there will be an additional $25 charge per truck/driver. The processing fee for a zero return is $45. You may send your information via fax, email or mail. When sending your fuel tax information through fax or email, please call us to be sure we did receive it.

Tags Expiring and Renewals Due

Tags beginning with S and T expire October 30th. Those of you with tags beginning with U or V or W should send us your paperwork now to avoid late filing penalties. If your tag begins with X, Y, or Z, the IRP office is requesting that your renewal paperwork be turned in by October 15th.

Permit Renewals

Unified Carrier Registration (UCR) for 2021 will begin October 1st. Let us renew for you today! We can also begin renewing your special state permits for New Mexico, New York and IFTA Stickers . Speak with a permits representative for details.

MCA Renewal

If you have a Georgia MCA number, this will also be up for renewal from October 1st – December 31st. The fee for renewal begins at $50. If not renewed, your authority will inactivate.

MCS-150 Update

In accordance with FMCSA MCS-150 regulation 49 CFR Part §390.19, every two years all motor carriers are required to update their MCS-150 information with the FMCSA. This update must be completed in the appropriate month, every even or odd year, based on your DOT#, even if none of your information has changed, and regardless of when you last updated. Failure to complete a biennial update in your assigned month may cause deactivation of your US DOT number and could result in civil penalties of up to $1,000 per day (not to exceed $10,000). If your DOT number ends with the number 0, your MCS-150 may need to be updated. If the number before the 0 is an odd number, you must renew by the end of October this year. If the 0 comes after an even number, you are not due for an update until October of next year.

DOT COMPLIANCE The Department of Transportation requires that all drivers operating vehicles of 26,000 pounds or more be enrolled in a drug and alcohol consortium. Our office covers the drug testing costs for you; so you don’t need to worry about any additional fees.

Drug and Alcohol Clearing House Drug and Alcohol Clearing House: January 6, 2020 is the mandatory effective date for the use of the Clearinghouse mandated by Congress to report and query information about driver drug and alcohol program violations. Employers must conduct both electronic queries within the Clearinghouse and manual inquiries with previous employers to cover the preceding three years. The Clearinghouse will improve highway safety by helping employers, FMCSA, State Driver Licensing Agencies, and State law enforcement to quickly and efficiently identify drivers who are not legally permitted to operate commercial motor vehicles (CMVs) due to drug and alcohol program violations. This secure online database will provide access to real-time information, ensuring that drivers committing these violations complete the necessary steps before getting back behind the wheel, or performing any other safety-sensitive function.
