Upgrades Arriving

At end of business on Friday, April 28, 2023, UTRMS-Agreements, -Grants, &

-IRB will each receive an upgrade with several changes and improvements. Last December, we completed the upgrade to SF424 10.5. Once this spring upgrade is completed, all modules except UTRMS-COI will be version 10.5.


Here are some highlights of what you can expect later this spring, broken out by module(s):

UTRMS-Agreements

  • Departmental Level access to agreement records
  • Add and change collaborators and primary contacts without an amendment
  • Change the title of an Agreement without a modification

UTRMS-Grants

  • Completion of personnel budgeting using Person Months
  • Allocate effort using calendar, summer, or academic months (when using Person Months)
  • Create Budget Periods with more precision

UTRMS-IRB

  • More specific information for drug types
  • FDA reporting including details of drugs, types, and devices
  • Better-aligned AAHRPP reporting

Mass Personnel Updates

The Agreements, Grants, and IRB modules are all going to include the option for users to request a mass personnel update. This function allows the removal or addition of a person to multiple records at the same time. So if one employee leaves a department and transfers to another, a process can be run to remove them from the old department's records and then add them to the new department's records. There is no need to add them one by one to all of the records.

Reporting Options Available in UTRMS

Have you explored the options available in the Reports tab in UTRMS? Each module has a list of reports designed to help you locate, sort, and filter your data.


Click on the Module name, and then Reports in the subnavigator. Reports open to the Standard and Advanced Reports created by Huron. Click on the Custom Reports tab to see the Custom Reports designed by UT for UT. These reports are available to you at any time and you can run them as needed. Prefer to work in Excel? They can be exported and managed there. Each person only sees the records they have access to based on UTRMS roles.

Get Help right in UTRMS


Did you know that help is available right where you need it inside UTRMS?

Take a look at these four resources and all that they offer.

Help Center


Located in the subnavigator for each module, the Help Center has documents and videos to reference. These large documents contain detailed information brought together in one place. They are updated periodically, with information about the updates on the first page. Also found on the UTRMS Resources page, look for the latest versions of these guides to be released with the upgrade in April.

Page Level Help


Located in the upper right-hand corner of the workspaces, there is a blue ? Help. Click here and there is a dropdown menu of Quick Guides and short videos to help with specific tasks at specific places in UTRMS. This list changes as you move through UTRMS. Look here for step-by-step directions to guide you right when you need them. These Quick Guides are sections of the larger Guides separated out and placed here for your convenience. Prefer video guidance, those are available here too.

Interactive Help


Click on the orange Help button in the top center of your screen or on the orange ? next to any question to receive interactive help. Interactive Help will highlight exactly where you need to click next and provide question-specific help just in time. A link to UT FAQs is also available under this Interactive Help button. Do you still have an issue that you can't resolve and need some more support? Use the large orange Help button to find the link to submit a support ticket directly to the UTRMS Project Team.

Question Level Help


When you are in the SmartForms, next to some questions there are blue ?. There are orange ? next to other questions. Click on a blue or orange ? on the page to read guidance specific to that question. Some of the information even includes links to external resources. Use this information to help you right when you need it.

The Future is Looking Bright


Work has begun on the upcoming additions to UTRMS!

IACUC and Animal Operations are moving forward and currently anticipating a coordinated Go-Live in late Spring 2024.

The IACUC module manages protocols, procedures, substances, and IACUC review.

Animal Operations or "A Ops", is a comprehensive tool to help with the ordering, import, transfer, and export of animals along with managing inventory and financials. It will aid in managing facilities and equipment.
