Line Item Management in QuoteWerks

In the world of business, efficiency and precision are paramount, especially when it comes to managing quotes and invoices. One often overlooked aspect of this process is line item management.


In this email, we'll explore some invaluable tips and tricks to streamline your line item management workflow and enhance productivity.

Create Groups in Just a Click!

Grouping line items serves the purpose of consolidating them into a unified entity, simplifying their management and utilization. To streamline this process, utilize QuoteWerks’ grouping feature by pressing CTRL + G. 


Why use Groups?

Groups offer flexibility in choosing displayed items, hiding prices, and customizing item displays on the quote.


What are Groups?

Grouping items generates a group Header line item and assigns the group member attribute to all items within the group. Upon creating a group, a group Header line item is added before the group members. The prices of group members are consolidated into the Group Header line item as a single unit price. 


By default, individual group-member prices do not print, but you can adjust the Hide Price attribute to include them. The quantity column of the group header and the description cell of all group items are highlighted in yellow.

Insert Optional Items Easily!

You can set a line item as optional by selecting a line, clicking on the "A" icon above the grid, and then choosing "Is Optional."


If you have items that have options, you may want to use the optional items feature to ensure the user is aware of all available options for the given item, before the item(s) are added to the quote.


If you set this line attribute, the selected line item will be an option that will print with its price, but the price will not be included in the calculation of the total price. In addition, the default phrase (optional) will appear next to the line item in the description section of the quote. This default phrase can be modified.


Additionally, an optional item can be marked as Is Selected. This flags an item as an option, but the item will be selected and included in the quote total. This is particularly useful with QuoteValet, as you can present one or more options to your customer and preselect the option(s) you recommend.

Hide Line Item Pricing with Two Clicks!

You can set a line item to Hide the Price by selecting a line, clicking on the "A" icon above the grid, and then choosing "Hide Price."


If you set this line attribute, the price for the line item will not be printed but will be involved in all calculations.


This is useful when you don't want a customer to see the breakdown price of each item, and to prevent customers from "price shopping" against your competitors.


Once you select this line attribute, all the line item's properties except the Quantity and Description become gray; the gray cells denote the information that won't be printed.


When you print the quote, the line item will appear but the List Price and Extended Price will be blank. However, the price of the line item will be included in the total.

BONUS: Excluding Items from Printing is a Breeze!

When the Exclude Line attribute is applied, the line item won't be printed or used in calculations. Its properties will appear grayed out to indicate they won't be included in the printed version.


For instance, if you're quoting stereo speakers to a customer interested in three different brands, you can add all three brands as line items. Then, by setting the Exclude Line attribute on two, only one brand will be displayed on the printed quote.


If the customer later asks about the price of the excluded brands, you can easily remove the Exclude Line attribute and reprint the quote. This feature saves time by avoiding the need to search for products again in your database. In essence, the Exclude Line attribute streamlines the management of options or combinations within a single quote.


You can keep a line item in a quote that does not print, or increase the total by selecting a line, clicking on the "A" icon above the grid, and then choosing "Exclude Line."
