Meeting Horror Stories...


Meeting Planners are such great problem-solving people. I had the pleasure of being a panelist last week at the Michigan Meeting Planners International program at the Soaring Eagle Conference Center on the topic of "Meeting Planner Horror Stories." The keynote speaker was Heather Reid, Founder & CEO of Planner Protect, Inc. Her presentation was very helpful in knowing what clauses can or should be in your event contracts to protect you from liability. Her handout was very thorough and I bet she would be interested in hearing from you if you would like it.


The panel was a mix of planners and hoteliers. We all experienced the “normal” events like double bookings, heart attacks, and speaker no-shows. All these scenarios required quick thinking and extreme problem-solving skills. The motto was “Keep Calm and Carry On." One of my situations that I shared was about an automotive event for 600 people with 150 exhibitors in Toronto, Canada. Two-three weeks before the event the host hotel went on strike. My automotive client would not cross the picket line…but the conference needed to go forward. I flew to the site immediately and started to brainstorm solutions. Exhibitor equipment was already shipped, and all arrangements were finalized. No other space was available in town. I came up with the idea “What if I could convince another major conference to switch facility spaces with me?” That’s exactly what happened. An offer was presented to other groups – making the switch financially rewarding. It was amazing how the convention bureau, hotels, and exhibit companies all pulled together to make the switch not only possible but successful. Sometimes, you just have to think outside of the box and “Stay Calm & Carry On."
