Extensions Approved for Upcoming CAEP Deliverables

The CAEP Office has granted the following deliverable deadline extensions for this program year only:


October 20: The consortium will have until October 20, 2023, to certify the Quarter 4 Expenditure Reports.


October 20: The Member Budget and Work Plan is due in NOVA by October 20, 2023.


November 17: The consortium will have to certify the Member Budget and Work Plans by November 17, 2023.


An email regarding these deliverable extensions has been sent to all consortia leads and members with detailed information regarding the deliverables and adjusted due dates. Additional information can also be found in this issue of the CAEP newsletter under CAEP Deliverable Reminders and Deadlines and Deliverables.


Chancellor's Office Undocumented Student Action Week: Creating Belonging for Undocumented Students

The Chancellor's Office is hosting a series of webinars intended to inform how California Community Colleges and allies can build a strong ecosystem for our students that breaks down silos and promotes a collaborative campus approach to the success of our undocumented students. Those who want to support undocumented students should attend this free event!

CAEP Three-Year Planning Survey for CAEP Members and Leads

The CAEP Three-Year Planning Survey aims to solicit ideas for improvement and feedback from consortium members and leads related to the effectiveness of the 22-25 Three-Year Planning process and preparation for the 25-28 Three-Year Planning process. While the next three-year plan will not be submitted until June 2025, the planning and development of support services start well ahead of that date.


The feedback and recommendations that are gathered from this survey will help guide the CAEP Office as they update and release new guidance and support for the Three-Year Planning process. They will also help identify the technical assistance and professional development that will make this a successful experience. CAEP TAP will work closely with the Chancellor’s Office and California Department of Education, as well as CAEP vendors, to address the feedback and recommendations identified in the survey and to organize additional opportunities for field feedback as we move forward.



Several consortia leads already started this feedback process at the Directors’ Event in mid-September. Many key themes from the listening session are included in the CAEP Three-Year Planning Survey. The leads who participated in the listening session are invited to submit further feedback via this survey. As most consortia members were not in attendance at the Directors’ Event, members are strongly encouraged to submit feedback via the survey.


The CAEP Three-Year Planning Survey will be open from October 5-October 27.

The CAEP Summit 2023 - Opens in One Week!

The CAEP Summit 2023 opens in less than one week! More than 600 adult education practitioners from around the state will convene in Universal City after three years of meeting virtually. Registrants can look forward to the opening session with plenary addresses from the Chancellor's Office and the California Department of Education. The opening session will also celebrate this year's Advancing California Adult Education model programs, including the top two scoring programs from Twin Rivers Adult School and Mira Costa College. Bring your Kleenex as you celebrate the accomplishments, grit and determination of the 2023 Students' Succeed recipients at Tuesday's hosted lunch. Connect with colleagues throughout the conference at one of the 90 sessions or at the scheduled networking events on Tuesday and Wednesday evening.

Lunch with LARAEC is Back and Better Than Ever!

Grab your lunch and join Justin and Michele for some midweek positivity and PD sunshine Thursday, October 19th from 12:30-1:30pm! We welcome OTAN subject matter expert and presenter extraordinaire Kristi Reyes for Unleashing the Power of AI in Adult Education. This session will focus on tools available to discover how you can create materials and assignments to give students experience with AI. You'll also receive a curated list of resources and tools. If you're looking to expand your knowledge base on AI and learn more about introducing AI to your students, this session is for you!

OTAN's Technology and Distance Learning Symposium (TDLS) - Call for Proposals Open!

Plans are underway for OTAN's Technology and Distance Learning Symposium 2024, scheduled for Friday, March 1 and Saturday, March 2. TDLS will be a hybrid event offering in-person and virtual sessions. The in-person event will be hosted by our friends at Fremont Adult and Continuing Education.


The Call for Proposals is open! You are invited to present and share your promising practices, strategies, lesson plans, and other resources related to technology integration and digital learning in your programs with your adult education colleagues. The Call for Proposals closes on Monday, December 4.

OTAN is looking for presentations that highlight technology, how it enhances the learner experience, extends the classroom to learners, and how technology integration helps adult education programs be more effective and efficient. If you would like more ideas on possible presentation topics, view last year's sessions on the TDLS Video Presentations page on the OTAN website.

Join the Association of Community and Continuing Education (ACCE) for the Fall Zoom-In. For over 30 years, ACCE has been the organization to host opportunities for networking, professional development, and advocacy for community services, and continuing education/noncredit programs.

CAEP Deliverable Reminders


Quarter 4 Expenditure Report

The consortium will have until October 20, 2023, to certify the Quarter 4 reports. Since this is the closeout of a program year, it will be extremely important to ensure all quarterly expense reports are accurate prior to certification. Once the reports are certified, the consortium will no longer have access to make changes.


Please note this new deadline is an extension from the original due date of September 30 due to issues submitting and certifying in NOVA.

CAEP Budget and Workplan Due


The Member Budget and Work Plan is due in NOVA by October 20, 2023. The consortium will have to certify the plans in NOVA by November 17, 2023.


Please note that these dates are extensions to the original due dates of September 30 and October 30 respectively due to issues submitting and certifying in NOVA.

The Quarter 1 student data is due in TOPS Pro no later than October 31, 2023. Additionally, the Employment and Earnings Survey is also due on the same day, October 31, 2023.
