Dear 4-H Families,

The State 4-H Dog Trials are held on August 19 and 20 in the Ag Palace on the Colorado State Fairgrounds in Pueblo. The State 4-H Dog Advisory Committee is in critical need of volunteers for the following roles:

Set-Up Crew - 8-10 volunteers needed. Duties include measuring and setting up the rings and ring gates, laying out and taping the mats, setting up chairs and tables, and arranging ring equipment and paperwork. (Friday, Aug. 18, from 2:30pm until finished)

Table Steward - 1 experienced volunteer for each ring to serve as the main steward. (7 stewards on Saturday and 5 on Sunday) Table stewards will manage scoresheets, enter data into Google Sheets or Docs, assist with timing, identify ties and runoffs, and provide specific assistance as required by the judge. Previous experience stewarding in the Rally or Obedience ring is required.

Ring Steward - 2 stewards needed for each ring. (14 stewards on Saturday and 10 on Sunday). NO experience is necessary. Volunteers will be assigned to work in one ring for the day. Duties may include managing the ‘GO’ board list of participants, keeping kiddos lined up and ready, moving jumps and adjusting heights, serving for the Figure 8 exercise, managing dog leashes, assisting the judge with changes to the rally course, running

the stopwatch, and providing general assistance to the judge as requested. Each judge will provide specific instructions for their stewards.

Floater/Runner - 1 volunteer needed to serve as a substitute steward if needed, deliver scoresheets or other materials to the rings, and complete miscellaneous tasks as needed.

Ribbon Writer - 1 volunteer needed to label ribbons in afternoon. No experience needed.

Clean-Up Crew - 1-2 volunteers needed to supervise clean-up. 4-H participants and families will all pitch in to break down rings and roll up mats. This position will keep folks organized,

direct equipment to the appropriate storage location, answer questions, ensure all tape is removed and arena floor is clean.

To volunteer, please go to this Google Form and sign up by Wednesday, Aug. 16: https://docs.google.com/forms/d/e/1FAIpQLSf5je0ApYtN4_0PLy08W55ijqv_H5XAT85mriEqf8nb2J5zkg/viewform.

We will have a meeting/orientation for volunteers each morning before the show starts and will be emailing volunteers with more information next week. Thank you for considering helping out to make this year’s Dog Trials go well for all the participants!

Sincerely,

Lisa Sholten,

4-H Club Chartering

Attention Club Organizational Leaders! It's that time again! Club and Committee/Council Chartering time, that is. Emails were sent out on 7/7/23 and 8/3/23 with all the documents attached that are needed for Chartering.

Some things to note this year:

  • ALL club chartering documents MUST say "revised 6/2023" in the upper right-hand corner. Do not just reuse older documents, they will not be accepted by the State Office.
  • The Financial Report MUST be typed this year. Handwritten reports will not be accepted by the State Office.
  • Financial Reports MUST have two signers. They can be related but they can not live at the same address.
  • Electronic signatures are acceptable.
  • Please use the club chartering worksheet. This will help you make sure you have everything needed for chartering.
  • Also, please turn this document in to Jean with the rest of your club chartering documents as it will make it easier for her to find all the info she needs to enter your chartering info into 4HOnline. Many thanks to the leaders who have done this in the past!
  • Jean will be entering all chartering documents in 4HOnline again this year. Leaders do NOT do this.
  • Club Bylaws MUST be redone this year as the State Office had to add some new wording to them to fulfill federal requirements. Feel free to use the fillable template (also marked revised 6/2023) to make it easier for you. Once they are redone this year, they will be good for 5 years according to the State Office.
  • When you are doing the Annual Plan, if your club has too many meetings/activities to fit on the provided form, just make a note on the form to see the additional sheet(s) and then you may attach your plan on separate pages.
  • All club chartering documents are due to Jean by Friday, August 18 at the latest.
