Also, the Association office will be closed Thanksgiving Day and Friday, November 25th. We will be open again normal hours on Monday, November 28th.

Another important reminder... per the Association Collection Policy - any homeowners with an unpaid balance as of November 30th, 2022 (assessments, fines, interest, late fees, etc.) lose all visitor / guest / contractor approval privileges (other than by personal appearance at the gate). EFFECTIVE DECEMBER 5TH - VISITOR / GUEST / CONTRACTOR APPROVAL PRIVILEGES SUSPENDED FOR ALL ACCOUNTS WITH ANY UNPAID BALANCES.

Per the Hackberry Creek Assessment Collection and Deferred Payment Policy filed with Dallas County in August of 2020, any homeowner who has any unpaid balance (who is not on an authorized payment plan) will have their visitor / guest / contractor approval privileges suspended (other than by personal appearance at the gate) on November 30th of each year. We are allowing 10 business days from today to bring your account current. This means if your account has any unpaid balance as of December 4th, beginning December 5th you must physically come to one of the gates in person to authorize any visitor / guest / contractor each and every time you have a visitor until your account is paid in full. There are no exceptions to this policy. If for some reason you dispute the balance due or request special consideration you must request a hearing before the board.

Unpaid balances include any past due assessments, special assessments, late fees, interest charges, violation fines, traffic fines, etc.

If you need to set up an authorized payment plan, please contact the office before the December 5th deadline (by close of business on December 2nd) in order to retain visitor / guest / contractor authorization privileges.

On December 5th, all delinquent accounts not on an authorized payment plan will have their visitor / guest / contractor approval privileges suspended in GateKey and gate attendants will require a personal appearance (no phone calls) by the homeowner at the gate to authorize each and every guest.

Please contact the office for more details or to arrange a payment plan at 972-401-4946.

HAVE YOU UPGRADED YOUR HOLIDAY TREE AND HAVE A SPARE THAT NEEDS A HOME?

The HOA office is looking for a Christmas Tree that may need a home! If you or anyone you know has "upgraded" and have the previous tree still on-hand and would be willing to donate it to the HOA for use in the office - please contact us! The board authorized the purchase of a tree but before purchasing we wanted to see if there was possibly one out in the neighborhood that needs a home. If we do not find one, we will be purchasing a 6-8 foot artificial tree for the office the Monday after Thanksgiving.

LIGHTED GOLF CART PARADE AND CHRISTMAS TREE LIGHTING EVENT - DECEMBER 3RD

Please join us for the Lighted Golf Cart Parade and Christmas Tree lighting on Saturday, December 3rd. Golf carts will begin to line up at 5:00 on Southern Oak and parade down Summitview towards Gate 1 around 5:35 pm. Don't have a golf cart? No problem. There will be plenty going on at Gate 1 beginning at 5:30 with distribution and decorating of ornaments, trimming the tree and drinking hot chocolate. The HOA will be providing ornaments to residents to customize and place on the tree this year. You can pickup your ornaments beginning Tuesday, November 22nd at 8:30am in the HOA office. Take your ornament home to decorate and bring it with you on the 3rd, or feel free to attach your ornament to the tree prior to the event. If you don't pick up your ornament early there will be ornaments available at the tree lighting event.

This year we added ornaments personalized by residents to make the event even more special. Now every time you pass through gate 1 you will know that our community of family and friends are represented within the boughs of the tree. If you added a personalized ornament they may be collected from the tree beginning January 1 as the tree will be removed on January 6 and customized ornaments will not be kept by the HOA.

ONLY 25 DAYS LEFT TO REPORT ANY STREET - SIDEWALK - ALLEY - CURB ISSUES FOR FUTURE REPAIR CONSIDERATION

PLEASE SUBMIT PHOTO OF ISSUES IF AT ALL POSSIBLE

In an effort to identify areas that may be in need of repair please follow the link below to report any concerns. We are looking at Alleys, Streets, Curbs, Sidewalks and Driveway Approaches as well as areas that have ponding or standing water in streets and along curbs. Even if you have reported the issue before, please fill out the form by following the link below to ensure your concern is on the master list.

These areas will be categorized along with areas identified by the Village Manager. Once the final list of all areas is complete, the areas will be reviewed by an engineer and ranked in order of priority / severity / need to address (in conjunction with the Board). After a budget amount is set for the 2023 street repair project, repairs will be scheduled on a priority (ranked) basis in order for the project to stay within the allotted budget amount. It is important to note that not every area submitted will necessarily be repaired or addressed. It all depends on the severity of the issue in relation to other areas identified and the independent ranking scale of the engineer establishing the priority of those repairs.

DEADLINE TO SUBMIT ISSUES IS DECEMBER 15TH, 2022

CITY OF IRVING TO DISTRIBUTE TRASH COLLECTION INFORMATION

Door hangtags about solid waste collection from City of Irving are going to be distributed throughout all Irving neighborhoods in the near future. The City has contracted with a company to provide all Irving homeowners with door-hanger packages containing important information. Since this is a City service notification, this is permitted in the neighborhood.

GATEKEY - ARE YOU USING IT?

ALL RESIDENTS SHOULD BE!

Currently, less than 30% of all visitors, guests and contractors are being pre-authorized by residents. Since January 1, 2022 the gate attendants have had to manually enter over 70,000 visitors into the GateKey System - which is a system designed for resident use.

Please help keep the traffic in visitor lanes moving quickly by using the GateKey pre-authorization feature and text message notification and remove the extra & unnecessary burden on gate attendants of having to take additional time to call you once your unregistered visitors arrive at the gate or take your calls requesting they pre-authorize them.

In order to expedite the entry of your visitors, contractors and guests all residents should be using the GateKey app to pre-authorize entry. When residents fail to pre-authorize visitors, this slows down traffic flow in the visitor lanes at the gates because the gate attendants are forced to call the resident to inquire and authorize the guest, contractor, or visitor. The GateKey app has a notify feature built-in so if you pre-authorize your visitor and select that option and you have the correct cell phone number on file you will receive a text message once your visitor checks in at the gate.

Please do not call the gate attendants to have them to pre-authorize your guests, contractors or visitors in GateKey. This is the purpose of the GateKey app - for residents to manage their own visitors.

If you need assistance with the app, please click the buttons below for a brief, easy tutorial.
