Holiday Closure


All Arapahoe County offices, including the Arapahoe County CSU Extension Office, will be closed on Tuesday, July 4th in observance of the Independence Day holiday.

2023 Arapahoe County Fair Information

Thank You Notes


  • A thank you note must be written to each donor.
  • All thank you notes for Fair donations must be presented at the following Fair check-in events: 4-H Poultry Show, 4-H Cat Show, 4-H Dog Show, 4-H FCS & Gen. Project Judging, 4-H Mandatory Livestock Meeting and the 4-H Horse Show.
  • Exhibitors who do not present thank you notes at the listed check-in events will have the opportunity to bring their thank you notes to the 4-H Fair Office by noon on Sunday, July 30 in order to receive exhibitor donations.
  • In order for exhibits to be released on Sunday, July 30, and donations distributed, thank you notes must be presented in unsealed, addressed, stamped envelopes with the name and address of the donors prior to receiving the donations at release. Please note: There will be NO STAMPS available for purchase at the 4-H Fair Office so make sure to put stamps on your envelopes before you turn them in!
  • If your thank you notes are deemed unacceptable, you will be asked to re-write them.

FCS & General Fair Exhibit Information


NEW INFO from Shaylen

Hello FCS/GEN 4-H Members and Cloverbuds,


What an exciting time! The countdown is on for FCS/GEN judging day, MONDAY JULY 24! I wanted to get some helpful information to you in regards to judging day.


INTERVIEW SCHEDULE:

As you know the process has changed for interview scheduling and all families were able to schedule their own times in the Fair Entry system. Please see below for the link to interview times. We recommend that you arrive 15 minutes prior to your scheduled time so that way you can get through the check-in process before being seated in the waiting area. Judging will take place in the Exhibition Hall B. Please see the map that Shaylen sent out attached to an email today, 6/30, if needed. If you didn’t sign up for an interview but summited entries by the deadline you will need to have projects dropped off by 8 AM at the morning so that judges can either judge them after they are done with interviews or if they have a break. Interviews are not mandatory only HIGHLY RECOMMENDED.

PROJECTS:

Make sure that your projects are complete including your e-record with ALL SIGNATURES. Please be in contact with project leaders/organizational leaders ahead of time to get those necessary signatures. Also, please see attachment for fairbook if needed. Please make sure that poster boards are the CORRECT SIZE. Please see the BOARD REQUIREMENTS page right after page 110. It is marked page 3 but would be page 111. It is very important that you follow the size requirement! 4 feet wide x 3 feet tall.

 

FCS/GEN LETTER:

Please view letter that has been in recent e-newsletters in case you haven’t looked it over. You may click on the image above to view it.

 

DISPLAY:

The projects will be on display for the families and the public to view Thursday, July 27-Sunday, July 30. You will not be able to view prior to Thursday as the superintendents and display crew are finalizing details until that time. Please be patient and waiting until that time to see your projects. Please remember DO NOT TOUCH the projects or e-records. I don’t have a problem coming up and talking to members/families if I see that this is happening! They will be on display until 5 PM on Sunday, July 30 and then after that we will be prepping for release.

 

RELEASE:

Release is scheduled for Sunday, July 30 6 PM-7 PM. We need time from 5 PM-6 PM to get our release crew all organized and ready to go. There will be a certain process that you will need to follow so I will go over that once we have families there for release that evening. Please know if asked if projects can be released early I will decline that request. If you can’t pick up your projects then please have a club leader/family or family/friends pick up the projects. ALL projects will need to be picked up that night, even projects that qualified for state fair.

 

STATE FAIR FORM:

If your project(s) qualify for state fair there will be a purple state fair sticker on there. You will be able to pick up project judging comment sheets at the Fair 4-H/Public Competitions Office at the Fairgrounds. In those envelopes will be pink sheets that you will need to fill out (if qualified). It would be helpful to our 4-H team if you have those pink sheets turned into our office at the fairgrounds by Saturday, July 29. On the pink form it will have the dates that I will need to have projects returned by to our Extension Office in Centennial by so that we can pack up and be ready to deliver to state fair. 

ATTENTION 4-H PARENTS!


Now that it is getting closer to Fair season and the 4-H community is thriving with their community service projects, project meetings, club meetings and practices we wanted to provide you some helpful information on 4-H Parent Expectations.

Due to sanitation and risks to human health, no food or beverage for human consumption will be permitted inside the barn areas. 4-H families and participants are welcome to utilize the 4-H Livestock Sale Dinner tent to have meals.


Please remember to wash your hands regularly, especially when working with livestock.

Parent/Guardian Season Passes


All sales for the 4-H Advance Parent/Guardian passes will close at 11:55 PM on 6/30/23 (TODAY). You will need to include the 4-H member’s name(s) as well as any other required info. Including the member’s name(s) will greatly help Jean when she is getting the wristbands (passes) together and ready for distribution. Click here to purchase passes. Please note that neither the parent/guardian season pass, nor the 4-H exhibitor passes include the carnival. Separate tickets for that must be purchased, if desired. You can purchase those by clicking here. If you need help with understanding the different passes/tickets, you can also email Jean with those questions.

 

Every 4-H member who is exhibiting at the Fair will get one free season pass (wristband). You do NOT need to purchase one for your 4-H member if they are exhibiting at Fair. If you have a 4-H member who is not exhibiting at Fair, they will need a pass (or ticket) purchased for them if they plan on attending.

Due to the fact that the 4-H Staff are extremely busy in July with preparing for the Fair and then the Fair itself, the 7/14 issue of the 4-H newsletter will only contain Fair information. There will be no 4-H newsletter on 7/28.

4-H Club Chartering


Attention Club Organizational Leaders! It's almost that time again! Club Chartering time, that is. Even though we are all preparing for the 2023 Arapahoe County Fair, it is not too early to begin thinking about chartering for the 2023 - 2024 4-H year.


Some things to note this year:

  • ALL club chartering documents MUST say "revised 6/2023" in the upper right-hand corner. Do not just reuse older documents, they will not be accepted by the State Office.
  • The Financial Report MUST be typed this year. Handwritten reports will not be accepted by the State Office.
  • Financial Reports MUST have two signers. They can be related but they can not live at the same address.
  • Electronic signatures are acceptable.
  • Please use the club chartering worksheet. This will help you make sure you have everything needed for chartering.
  • Also, please turn this document in to Jean with the rest of your club chartering documents as it will make it easier for her to find all the info she needs to enter your chartering info into 4HOnline. Many thanks to the leaders who have done this in the past!
  • Jean will be entering all chartering documents in 4HOnline again this year. Leaders do NOT do this.
  • Club Bylaws MUST be redone this year as the State Office had to add some new wording to them to fulfill federal requirements. Feel free to use the fillable template (also marked revised 6/2023) to make it easier for you. Once they are redone this year, they will be good for 5 years according to the State Office.
  • When you are doing the Annual Plan, if your club has too many meetings/activities to fit on the provided form, just make a note on the form to see the additional sheet(s) and then you may attach your plan on separate pages.
  • All club chartering documents will be due to Jean by Friday, August 18 at the latest.


For those leaders who would like to get a jump start on your club's chartering before your members and leaders disperse for the Summer, email Jean and she will send you the documents as soon as you email her, otherwise an email with all pertinent documents will go out to all club organizational leaders on Friday, July 7th.

2023 4-H Achievement Program

ATTENTION 4-H organizational leaders and families.
