Guidelines for Billing
Make sure to log your Personal Care services 
 
To add Personal Care Services in the Service Portal, use the PCA and Nursing Wizard to log your minutes. Monthly personal care logs need to be added by the 5th of the following month.
  1. In the wizard enter total hours and minutes per day recorded on the Personal Care Logging Sheet. 
  2. Select all services covered as directed by the IEP and Child Profile Form. One log per day is allowed.  
  3. Check the days that match the total time from the first step. 
  4. Select log the checked days to save your logs.

Completed logs will show below the calendar along with the ability to delete any errors. Providers can then change the duration from step one and enter additional logs. How easy is that?   

Make sure to keep the signed Personal Care Logging Sheet. If there is an audit, these signed sheets are required to verify the services

Adding Goals to a Student Account

You can add goals for each student on your caseload. Detailed instructions can be found here. Goals should be added when an IEP is new or is updated. Make sure to add the IEP start and end dates so you can refer to them when you enter service logs..

Missing Student?
Fill out the Student Information Sheet
Fill out the Student Information Sheet to add a student to the Service Portal. We have made the form fillable so you can now type in the information needed to add a student to the Portal. You can still print out a blank form and fill it in. To remain HIPAA and FERPA compliant, please don't send the completed form as an email attachment.

In some districts, the completed form is given to the Special Education office to send to School Services of Montana. You can also fax the form to the SSoM office or use the ShareFile link. 


Service Portal Tips
Do you have a secure password? You can change your password by selecting My Account in the upper corner of the Service Portal next to your name.
