The Center for Accessible Education team hopes you had a wonderful Winter Break and welcomes you back to UCLA for the Winter 2025 term! Check out a few updates below, including important information about requesting accommodations.

Reminder: Schedule Your Winter Exams & Finals

As we are in the beginning of Winter Quarter, please be reminded that ALL CAE students requiring exam proctoring support will need to book their individual exams through CAE’s Student Portal (“Book a Test” link). Once you receive your course syllabus, during Week 1, please proceed to booking your exams for ALL classes for the entire quarter. For assistance, please utilize the online tutorial below.


As a reminder, CAE observes the following deadlines for booking exams:


  • Midterms/Quizzes—require a minimum of 7-days in advance
  • Finals—require 2-weeks in advance and need to be booked PRIOR to our portal closure of Sunday. March 2nd 2025.

 

Any booking attempts outside of this notice will NOT be accepted online and are not guaranteed to be accommodated as testing space is extremely limited. Should you miss this deadline you may need to make alternative arrangements with your instructor or take your exam in the class setting.


Any questions regarding this exam booking process or testing accommodations should be directed to CAETesting@saonet.ucla.edu or our Testing Center Drop-In Hours (Mon-Thurs 12-1pm PST).


Please proceed now to book ALL EXAMS for the entire quarter for all of your courses that have testing dates. It is extremely vital to do so as soon as possible so we can properly plan to accommodate you.

Reminder: Adjusted Deadline & Attendance Requests

The process for requesting a deadline extension or additional absences beyond the course attendance policy has changed!!!! Beginning WEEK ONE of the Fall Quarter, ALL students that require these types of accommodations will no longer need to request each individual deadline extension or additional absence through the standard CAE form. This form will be sunset as we introduce a new agreement form that your instructors will complete.


Once you release your letters, your Disability Specialist will connect with your instructor to set

up an agreement. Once your agreement is established with your instructor, your Specialist will

inform you of the parameters of the agreement. Generally, requests for adjusted attendance

support outside of the established agreement for the course will not be considered. If students

experience concerns or challenges related to requesting their adjusted deadline or attendance

accommodation, or having these accommodations fulfilled in the course according to the

established agreement for the course, they should reach out to their Disability Specialist or

email caeintake@saonet.ucla.edu.

Updated Guidance on Adjusted Deadlines & Attendance

Starting in the Winter 2025 quarter, CAE has made some adjustments to the General Parameters for both the Adjusted Deadlines and Adusted Attendance accommodations to clarify when they are applicable and to ensure faculty are properly facilitating the accommodations. A few of the updates include:


Adjusted Attendance

Requests for absences that fall under the general attendance parameters must be requested directly with the instructor within 24 hours of missed class (before or after). For more information, please reference the general attendance parameters for more information on how deadline extensions are requested and managed. Anything outside of the general attendance parameters will need to be discussed with the professor and in consultation with CAE.


  • This accommodation applies to each class individually covers up to 20% of attendance for each course. 
  • For courses that have a combined lecture and discussion format, this applies separately and cannot be combined. 
  • This accommodation also generally does not apply to classes that utilize specialized equipment (e.g. Labs)
  • If any absence has an effect on assignments, it is always recommended to communicate with your professor.


Adjusted Deadlines

Requests for extensions that fall under the general deadline parameters must be requested directly with the instructor before the original deadline. For more information, please reference the general deadline parameters for more information on how deadline extensions are requested and managed. Anything outside of the general deadline parameters will need to be discussed with the professor and in consultation with CAE.


  • The number of assignments in the class now have an impact on the general number of assignments that can be extended:
  • Classes with 1-6 assignments: Can be used on up to 2 assignments
  • Classes with more than 6 assignments: Can be used on up to 30% of assignments 
  • For most assignments and course components fewer than 10 pages in length, a 48 hour extension should generally be allowed by the instructor. 
  • For larger, cumulative assignments and major course assessments more than 10 pages in length a 72 hour extension should generally be allowed by the instructor. 
  • This accommodation also generally does not apply to: 
  • group presentations or group-based work (e.g., group briefs, team-based activities)
  • exams, quizzes, finals, or final papers
  • All requests for this type of accommodation cannot extend a deadline beyond the end of the term.


As always, if a student's request or need extends beyond these general parameters and guidelines, the student may request an exception through their Disability Specialist.

The board meets at least on a quarterly basis and student appointees can receive a $500 stipend for their participation. Applications are due January 24th!
