HMIS Newsletter - July 2024
We hope you're having a great summer! We are writing with the latest updates and some helpful tips from the Cambridge HMIS Team. In this email, you will find:

New ROI Dashboard in Clarity
Check it out! Cambridge HMIS has added a new ROI compliance dashboard in Clarity. This can be found in the data analysis tab of the reports section under "Cambridge HMIS Reports." In the report, you can see the breakdown of ROI status and documentation for all your active clients.

To run the report:
  1. Select your agency name and click the blue refresh icon. You can also filter by program.
  2. After running, a chart will be displayed. You can click on the bars to see a list of client names.
  3. Click on "Client ID" for a link directly to the client's Clarity profile.
What is new about this report? This report replaces your agency's existing ROI reports and shows more detail about ROI documentation types. This allows your agency administrator and other staff to better manage and track ROI compliance. The dashboard also shows definitions of each ROI status category. Please reach out by responding to this email if you have any questions about running this report.
New Eva Data Quality Tool in Clarity
  • Last year, HUD introduced a new HMIS data quality tool called Eva. While a helpful resource, we received feedback that it is cumbersome to use.
  • One of the primary benefits compared to a canned HUD report is that Eva catches validation errors in the "Prior Living Situation" set of questions on the enrollment screen. Accuracy for these questions is important because they inform whether a client may meet HUD's definition of chronic homelessness.
  • Therefore, the HMIS team has replicated that section of Eva within Clarity. Like the new ROI dashboard, it can be found under the "Cambridge HMIS Reports" section. Please reach out to the HMIS team if you have any questions about using this new report.
Data Quality Improvement Plan Update
In June, the HMIS Working Group voted to approve the proposed updates to our current Cambridge HMIS Data Quality Improvement Plan. Thanks to everyone who reviewed the changes and shared feedback. The final draft will be presented to the CoC Board for approval in September. We will update you in the September edition of this newsletter!
Helpful HMIS Tips
Adding Client Addresses
Reminder: All clients served in a permanent housing project should have a documented address, including unit number, in the Location tab. If a client moves, mark the current address as inactive and create a new address record.

Once you select an address through the map search, type the unit number into the "Address (Line 2)" field. You do not need to type in the address line 1 after selecting the location on the map. See the below image for an example.
