Holding In-Person and Virtual Events During COVID
As DCSD school parents who are not only navigating current student schedules but also PTO duties, you may find yourselves challenged with how to raise funds for your schools or organizations. Achieving success, while keeping everyone safe, is definitely a challenge this year. Many are turning to virtual events, hybrid events or modified in-person events.
 
If you are looking into holding an in-person event, there are both state and county regulations that need to be followed. Here are links to these important government websites. 
 

Keep in mind that current requirements can change and become either less or more restrictive at any time.
 
Even if there is a way to hold an in-person event, not everyone you invite this year will be comfortable attending. However, that doesn't mean they have to be left out!  
 
Virtual Events & Auctions
Virtual events are moving to the forefront of fundraising this year, and many online auction companies have pivoted to provide both your auction services and virtual event support. In addition to processing auction registration, bidding and payment information, these companies can also recommend auction hosts and platforms for presenting your event virtually. We recommend contacting two or more companies to review their complete packages before finalizing your contract. OTHER IMPORTANT REMINDERS
Meeting Minutes
Chapters are REQUIRED to forward minutes of Chapter meetings regularly to the Foundation. When new officers are elected to the board, this should be documented in your minutes.
 
Deposits  
A Chapter representative is REQUIRED to send a copy of the deposit worksheet, and a copy of the deposit receipt from the bank, to the Foundation on the day the deposit is taken to the bank or placed in the school safe for pick-up. This ensures that the funds will be correctly accounted for in the Foundation’s bank account. 
 
Transferring Funds to the School
Funds that will be transferred to the school or other district departments should be done on an Intra-District Transfer Form. The form must also include a brief description of the reason for the transfer, as well as supporting documentation (such as meeting minutes approving the expenditure).

2021 Apple Awards judging is currently underway, and we are in the process of reviewing all of this year's representatives. If you are interested in helping the Foundation judge written interviews, please contact 
Diane Kilian no later than Wednesday, February 3.

WAY TO GO ROCK RIDGE PTO!
Don't let 2020 diminish your school’s stellar fundraising and community building efforts! Take a page from Rock Ridge Elementary PTO: so far this year, they Chalked the Walk to welcome staff back from summer break, and hosted a Fun Run in September for their hybrid and elearning students - and surpassed their fundraising goal raising $26,258! In the Fall, they delighted teachers and staff by stocking the lounge with coffee, sweet treats and snacks during conferences, and hosted a festive pumpkin carving and scarecrow making contest.
In December, they had an all-school drive through hot chocolate party and a Kringle event, which included giving teachers and staff gift bags that contained a gift card from a local restaurant, a toilet paper roll, and other fun treats! Currently, they are planning their next events! Rock Ridge PTO demonstrates that with some extra effort and creativity, PTO's can still support their schools in these extraordinary times!
