Details for the 2020-21 Service Year
Placement Agreements
Site Supervisors with placed/confirmed JV/AmeriCorps members for 2020-21 can now sign into the Agency Portal to complete the Placement Agreement Package. This is the same portal where you completed your application to host a JV in Fall/Winter 2019. You will find detailed instructions when you log in to your account. If you do not yet have a placed JV at your site, your Placement Agreement Package will become available after your incoming JV/AmeriCorps member match has been finalized.

The Placement Agreement Package consists of the:
  • Placement Agreement
  • Memorandum of Understanding
  • Site Supervisor Contract
  • Certificate of Liability Coverage
  • Labor Concurrence Letter (if applicable)
  • Vehicle Agreement (if applicable)

The updated deadline to submit all elements of the Placement Agreement package is Friday, July 10, a shift from original deadline of July 1.
You will see July 1 noted in the Partner Agency Handbook, please follow the updated deadline of July 10.
Position Description Updates
We recognize many things have shifted for organizations over the past few months and shifts will likely occur well into the next service year. Thus, we invite Partner Agencies to submit updated and amended Position Descriptions along with your completed Placement Agreement. You can find your current approved Position Description on your Knack portal. We encourage you to discuss potential changes to the position with your incoming JV. If you need assistance in accessing contact information for your incoming JV, please reach out to to your Program Coordinator (PC).

Any updates to Position Descriptions must still align with JVC Northwest prohibited and unallowable activities. If there are significant changes to a position or program under which a JV would serve, please be in touch with your Program Coordinator to discuss these changes. As always, Partner Agencies can consider adjustments to a Position Description in conversation with the current JV and JVC Northwest staff throughout the program year, as needed.
Orientation 2020
Based on what we heard from our Partner Agencies and varying realities due to COVID-19 across the country, we are developing a plan to orient JVs in their locales, rather than gathered all together at one time in Oregon. Our state orders around large gatherings made our typical plan for Orientation impossible. We will certainly miss the experience of gathering together, but we are also excited JVs will be able to get to know their locale a little bit earlier.

JVs will arrive in locale on Monday, August 3, 2020. From August 3 through August 11, 2020, JVs will gather virtually across our locales for training, skill-building, learning, and orientation to our JV/AmeriCorps program. Arrival in locale for many JVs include significant travel. JVC Northwest will follow health guidelines of asking all volunteers to self-quarantine for 14 days after travel before beginning any in-person service. If you anticipate this plan is unworkable or presents barriers for your agency, please contact Kate Stinson, Director of Programs, at kstinson@jvcnorthwest.org .

We anticipate that Partner Agencies may begin virtual or distance service-related orientation as planned on Wednesday, August 12 and JVs may begin in-person service activities on Monday August 17, 2020. This start date is dependent upon how the COVID-19 pandemic is affecting specific locales and service sites.

All Site Supervisors are required to attend this webinar annually. I f you cannot attend the date above, we will be recording the webinar for future viewing which will be posted on the Partner Agency Resource Page (password: Impact2G), after the June live webinar. If you host an Independent JV, a recorded webinar will be sent to you for review before the start of the service term.
Internet Access in JV Homes
In the 2019-20 Service Year, JVC Northwest allowed JV communities to install internet in their JV homes. This was not a requirement, but an invitation to conversation and communal decision-making. In light of the COVID-19 pandemic, we recognize that internet access in JV homes is an essential component of potential remote service, if and when in-person service is not possible. For the 2020-21 service year, JVC Northwest will provide financial support for all JV communities to install and maintain internet in their homes. The expectation that JVs will not be expected to maintain email communication or other service activities outside of scheduled service time remains. We hope that this additional access will allow JVs to continue service activities if in-person service is interrupted once again on a mass scale.
