4th Quarter Reporting
We are in the final stages of testing the new 4th quarter reporting section in CSBG Reporter. We want to thank Marsha Underwood, Kathy Harrell, Michelle Cox, Anna Leavitt, Carl Shirley and Gabe Schineder for helping our office test the new system. All 4th quarter reporting will be done within CSBG Reporter this year, this includes the financial reports that were previously completed in Excel. The 4th quarter reports will match what was done last year, you will just complete it in CSBG Reporter this year. You can go ahead and collect all needed information and have it ready to enter when the system is open.

You will receive a separate email within the next two weeks with information on the training webinar.
Whole Family/Two-Generation Pilot Project Update
We are in the final process of negotiations/contracting with the selected consultant, and hope to be under contract within two weeks. We will then develop the RFA and post it approximately three weeks after. That would put us at early- to mid-September release for the RFA. Hopefully it will be sooner, but the steps in the process, with all the State Procurement involved, do continue to take quite a bit of time. Please remember the Whole Family/Two Generation information from our feedback session that was in our last newsletter, you can be researching and preparing based on the information shared in that session and the subsequent information. We will send out an update to the network once the RFA is ready for release.
Keeping up with Virginia CSBG Team
The Virginia CSBG team has been hard to keep up with over the the past few weeks. We have been busy providing trainings, attending workshops and monitoring our agencies. Here is a snapshot of our travels. Matt has conducted a Needs Assessment Training and a Board Training for individual agencies. He also recently attended a ROMA Update Training, and a National Data Taskforce Meeting. Abby recently attended a National AmeriCorps VISTA Sponsor training, and also presented on Community Action with Annette Lewis from TAP at the recent Refugee Resettlement Conference. Both Angel and Abby attended the National CAPLAW conference and gained valuable information to send back to our agencies. Violet and Angel have recently conducted 2 monitorings and have another two scheduled this month. We are always looking to provide trainings to agencies as needed and we do our best at trying to keep up to date with all new practices and procedures for grant management. If your agency is looking for a specific training please let your program consultant know.
Refugee Resettlement Conference
On July 25th and 26th the Office of Newcomer Services at DSS hosted a Refugee Resettlement Conference in Richmond, VA. Our office along with TAP was invited to present at the conference on how Community Action can be a partner with Refugee Resettlement Agencies. There were several comments at the end of the session about how Refugee Resettlement Agencies could partner with Community Action Agencies especially during the comprehensive needs assessments process. Many agencies were very interested in partnering with Community Action and enjoyed learning about what Community Action Agencies do in their communities. You can see the Refugee Resettlement Providers here . We encourage you to reach out to the agency in your area.
Moving Forward: CSBG and TANF Invoices
Starting August 1st CSBG and TANF invoices and all budget modifications will be reviewed and approved by our Fiscal Officer, Violet Peyton. Program Consultants will no longer do this. Invoices will be reviewed on Mondays each week which will cover any invoices received by close of business the previous Friday. When preparing invoices, please keep a close eye on how it affects your budget. If a budget modification is needed, she will need to see that along with the invoice.

Throughout the fiscal year, Violet will randomly request supporting documentation for invoices. Since monitorings are done every 2 - 3 years, reviewing supporting documentation in the interim will keep the CSBG office abreast of agencies' current financial status and make the financial review portion of the monitorings less time-consuming for you and your finance staff. If you have any questions please contact Violet Peyton at violet.peyton@dss.virginia.gov .
