Charles Pinckney Elementary PTO Board Nominations
2020-21 School Year

Dear Parents:
 
We invite you to be a part of the 2020-2021 Pinckney PTO. Did you know that Pinckney PTO sponsors numerous programs and events throughout the school year to enrich our children’s school experience? Because of the time, talent, ideas and energy of our parent volunteers, these events and experiences are made possible. Please consider becoming an important part of your child's education by volunteering for one or more of the following PTO Board positions, Committee Coordinator positions or consider joining a committee.
 
PTO Board of Director positions are listed in ALL CAPS and are voting positions that attend the monthly Board meetings. Committee Coordinator positions listed under each PTO Board of Directors position are not elected positions, do not hold voting rights, and are not required to attend monthly meetings.

PRESIDENT  & VP (Strong leadership, organizational skills)           
The President and Vice President will work with and provide support to the PTO Board members, Committee Coordinators, CPES staff and administration when planning PTO calendar and events. She/he will represent parent and community concerns with the faculty and administration, conduct scheduled PTO meetings, support programs, initiatives, and activities that continue to enrich our children's education. The President will verify that insurance policies are current and sufficient. The President is responsible for maintaining the currency of the PTO Website and Facebook page. The President should be present for all major school events and work closely with all of the Board members in ensuring that each position and committee is properly functioning. The President will attend PWCEF Board meetings and work with the VP of Fundraising and the Principal to communicate where funding is used throughout the year.
 
TREASURER (strong organizational skills & financial background required)                  
The Treasurer will facilitate and prepare the Annual PTO Budget; record and receipt monies received; process payments; maintain accurate and complete records for PTO financial transactions; prepare monthly financial statements/reports and all federal and state tax filings; and, serve as liaison with our bank. She/he must work with many Committee Coordinators. Strong prior financial background is required for those considering this position. QuickBooks knowledge would be extremely helpful. The Treasurer will attend PWCEF Board meetings in lieu of the President if he/she cannot attend and will work with the President, the VP of Fundraising and the Principal to communicate where funding is used throughout the year. 

SECRETARY (strong organizational skills, writing skills, experience in constant contact)                             
The Secretary will attend each PTO Board meeting, take meeting notes, and produce minutes to be voted on and filed. She/he is to maintain a membership list, including an e-mail list that will be used to send quarterly PTO newsletters through Constant Contact. The Secretary will write “Thank You” notes when applicable.

SCHOOL MARKETING COORDINATOR (s): (experience in marketing, social media, graphic design)
Inform local news media of student and school events to promote community awareness; maintain and keep the school PTO Bulletin Board current; manage webpage, Facebook page and Instagram page, and, assist in creating fliers and yard signs (when needed), take photos at events, and assist President and Secretary with collection of data and execution of quarterly newsletter. Promote business sponsors across all media. 
 
VP OF MEMBERSHIP 
Work closely with the Board to develop a Membership Drive strategy to launch in September 2020. Work with Room Parent Coordinator to execute membership drive. Manage the Back to School Fact & Fee PTO Booth; help maintain updated Membership email list to Secretary. 

VP OF SCHOOL ENRICHMENT
Manages all PTO-Sponsored school programs; works closely with Enrichment Coordinators to execute their programs.

Volunteer Coordinator               
Create and maintain a Master Volunteer list throughout the year from Volunteer sign-up sheets. Prepare event volunteer requests, as needed by Committee Coordinators and Board, using Master Volunteer List and utilizing Sign-Up Genius and/or email. Work with Middle School and High School Honor Societies to recruit student volunteers for events throughout the year.

Room Parent Coordinator                
Work closely with PTO Board and Committee Coordinators to efficiently communicate to Room Parent Team information regarding PTO events. Manage Teacher Favorites forms. Communication duties include email, copying and distribution of printed informational materials. (e.g. Oyster Roast/Pig Pickin’, Staff Appreciation Week info, etc...) Work with VP of Membership to execute Membership Drive. Work with Auction Co-Chair to gather auction donations from school families.

Staff Appreciation Coordinator          
Work with CPES Administration in coordinating Staff Appreciation Week. Plan and execute the Staff Appreciation Luncheon including, but not limited to, securing/setting up venue, planning menu, and gifts; work with the PTO Board in setting up special days for CPES faculty and staff; and assist the Room Parent Coordinator in communicating to Room Parent Teams the details of the week.
 
Teacher/Staff Birthday Cart Coordinator
Manage monthly birthday cart program. Provide birthday information to Marketing Coordinator to post Birthday messages on social media.

Breakfast Club Coordinator
Manage bi-monthly breakfast club for teachers & staff. Manage volunteer, food and beverage SignUp Genius, set up and clean up, and send invitation to the teachers. (September/November/January/March/May)

Grams Coordinator(s)
Work with the VP of Enrichment to coordinate Boo Grams (October), Elf Grams (December) and Valentine Grams (February). Work with Volunteer Coordinator to set up parents to execute morning sales and afternoon delivery.

Holiday Shop Coordinator
Work with Board and Committee Coordinators to develop a new Holiday Shop program in December.

Enrichment Committee
Assist VP of Enrichment and Various School Enrichment Coordinators to execute programs.

VP OF Fundraising
The VP of Fundraising works with the PTO Board members and CPES administration to develop a fundraising and sponsorship package plan for the year, specifically for Harvest Ball, Festival of Trees, Glow Hop and the Oyster Roast/Pig Pickin’ Auction.                                                                                                                                               
Spirit Events Coordinator            
Coordinate quarterly Spirit Night fundraisers with local restaurants/attractions and any others deemed necessary throughout the year. Collect money raised and turn in to Treasurer. Work with Marketing Coordinator for promotion.                                                                                                                                                                   Box Top/Grocery Partners/AmazonSmiles Coordinator           
Coordinate and manage the Grocery Store partners (Publix, Harris Teeter, Lowe’s Foods etc), AmazonSmiles, and Box Top App fundraisers. Work with the Board and Room Parent Coordinator to develop a communication and participation strategy.

Community Outreach Coordinator     
Work with Student Council to promote and support the charitable events throughout the year. Assist in keeping the “lost and found room” tidy throughout the year and coordinating the donation of the unclaimed items to local charities.

School Beautification Coordinator
Maintain planters in front of school entrance and cafeteria entrance and other projects as needed.


Glow Hop Coordinator                    
Organize and execute the annual Glow Hop for 4 th and 5 th grade students. Coordinate food/drinks, activities, volunteers, and communication for event.

Glow Hop Committee
Assist Harvest Ball Coordinator execute event.

Oyster Roast/Pig Pickin’ Event Coordinator(s)  
Organize and facilitate the February Oyster Roast/Pig Pickin’. Coordinate food and rental vendors, band, activities, volunteers, security, clean-up, communication and work with VP of Fundraising to find sponsors for event.
 
O yster Roast/Pig Pickin’ Auction Coordinator(s)
Organize and facilitate the Raffle, Silent and Live Auction at the February Oyster Roast/Pig Pickin’. With your committee, procure community and business donations for our biggest fundraiser of the year. Work with Oyster Roast/Pig Pickin’ Event Coordinator and VP Fundraising to secure event sponsors.
 
Oyster Roast/Pig Pickin’ Auction Procurement Committee   
Work closely with Oyster Roast Auction Coordinator to procure community, business and classroom donations for our biggest fundraiser of the year. Work with Oyster Roast/Pig Pickin’ Event Coordinator to secure event sponsors. Committee kicks off in September 2020.
