IDS Secure Storage Photo 1 What exactly is Secured Storage? Let's say you have materials that may need to be stored in a climate-controlled environment or a regular environment but under security surveillance, then come talk with us .         

One may ask why does IDS have Secured Storage as a service. Well, a few years ago, IDS had a customer ask if we could hold some boxes for them - these boxes needed to be in a locked area and upon their request, pulled when needed. IDS invested in a 'cage system' in an area that already had secure access requirements. This agency previously had a contract with a very large private vendor that had lost some of their boxes, creating huge legal issues. Thi
s agency decided to put a team together to find all the boxes they had in secured storage facilities throughout the state and consolidate in a space by which th ey could rely on. One stop led them to IDS and the 100 boxes that we were already storing for them. The first thing that they encountered with us was how hard it was for them to enter into the building. Once inside and escorted to the location of the boxes, they were impressed - once they saw the procedures and how we operated, they reported back the leaders and all decided that they wanted all of the boxes pulled from the other locations and moved over to IDS immediately. Word of mouth spread and the demand was out there. We developed a process to secure and store more materials that needed to be in a safe, worry free environment.
 
With Secured Storage, IDS can deliver materials on-demand and the turnaround upon request is within a few hours. The great thing about this service is that IDS is willing to work with the needs of the customer and willing to do what it takes to provide the best customer service from the beginning to the end. USPS Increasing Rates - January 2017
The USPS will be increasing rates in January. IDS did communicate this information to agencies in the April newsletter. For our primary mail category (letter mail), current rates are set at .399 and the new will be .403. IDS does not believe any action is necessary as long as agencies did not adjust budgets as recommended in the April newsletter.

IDS Interoffice mail envelope and slip photo Postage Savings - Interoffice Mail
With much turnover in agencies, new employees might not be aware that the State has an interoffice mail delivery/pickup service through DPA/IDS and will send letters to other state agencies affixing postage, which is not necessary when using this service. Most state agencies already pay for this service and have scheduled routes in place.

Interoffice references the mail that travels between all state agencies with a 24-hour turnaround. Interoffice mail must be labeled with an official electronic or paper interoffice tag in order for the shipment to be tracked.

IDS routes include the Denver Metro area through the southern region of the state, including Pueblo, Colorado Springs, and Canon City.

Mail Delivery Drop/Pickup Agency Centers
In the near future, we will be going around to each of the agency mail centers/areas to overhaul outdated signage and information as well as dropping of new interoffice pads and envelopes.

Microfiche & Aperture Cards

IDS has added a couple new features under their Microfilm Conversion service category - the ability to convert Microfiche and Aperture cards to digital image.
Microfiche or "fiche" is a card or sheet of film that has very small photographs of the pages of a newspaper, magazine, etc., which are viewed by using a special machine. Aperture cards are a type of punched card with a cutout window into which a chip of microfilm is mounted. Such a card is used for archiving or for making multiple inexpensive copies of a document for ease of distribution, such as engineering drawings or other reference materials. 2017 IDS Calendars
We want to thank everyone for their huge interest in these calendars for the last five years. We are so grateful to be able to supply our fellow agencies something of inspiration. These have spiraled more than we ever imagined and in a good way. We ask for your understanding of our restrictions on ordering so that we are able to give everyone the chance of having one to hang in their office.
 
Both the IDS wall and desk calendars will be available via the IDS web Storefront. We are anticipating a delivery ready date for the wall calendars in late December. The desk calendars take a little more production time and will be ready for delivery sometime at the beginning of January 2017.

For the wall calendars, please only order up to 10 calendars for your agency team per request - one calendar per employee.
