Background

ADAA is implementing a new process as to how the ADAA Board selects its annual Conference Chair(s). Please see the description below, including position responsibilities and time commitment of the Conference Chair position.

Program Chair Election

Individuals who have been involved with ADAA and are current members in good standing can self-nominate to become program chair of either the 2021 Boston (March 18-21, 2021) or 2022 Denver (March 17-20, 2022) conference planning committee.  Below are the responsibilities for this volunteer position.

Term 
2-Year Commitment
  • 2021 elected chair will participate in the 2020 conference committee.
  • 2022 elected chair will participate in the 2021 conference committee.
During your first year, you will shadow the current conference chair by attending all monthly conference committee calls and other meetings as requested. The typical amount of conference calls are six to seven one-hour conference committee calls from May through December, and a four-hour virtual committee call in late September or early October to review final submissions. 

ADAA Program Chair Requirements/Roles/Responsibilities 

Skills Required
  • An understanding of ADAA's mission and the membership's professional and educational needs.
  • Ability to critically review submissions and final selections to achieve balance/under-represented topics.
  • Ability to lead by engaging and energizing committee members to promote the conference within their departments and institutions.
  • Willingness to share contacts in private industry/potential funding organizations.
  • Willingness to reach out to high profile professionals for plenary addresses, and creatively negotiate financial aspects of speaking agreements on behalf of ADAA.

Conference Committee Chair Responsibilities 

  • Propose a theme for the conference (March of year prior to conference).
  • Provide a statement of need and learning objectives to meet all guidelines for CE and CME accreditation (by end of May of year prior to conference).
  • Work with the ADAA staff liaison to set the monthly committee agenda.
  • Chair the monthly call to discuss themes, speakers, recruitment, acceptance and special events. The committee is comprised of member volunteers who are researchers and clinicians. Committee terms are a maximum of two consecutive two-year terms.
  • Lead the committee in their responsibility to recruit submissions and reviewers as well as making final decisions about acceptances with the goal of a well-rounded conference. The program balance should involve topic, session type, presenter geography, clinicians and researchers, and diversity
  • Work with the Conference ADAA Board Liaison, as needed, and articulate any guidance or requests from the Board to the committee.
Program Development and Oversight
  • Identify "hot topics."
  • Invite colleagues to present.
  • Critically review the content of the program and make improvements as needed to ensure that ADAA offers outstanding content.
  • Review acceptance history and collaborate with ADAA staff liaison to decide on program size/session allocation for research and practice.
  • Review final program for topical conflicts before scheduling.
  • Advise ADAA staff regarding potentially large audiences for specific sessions.
Opening and Plenary Session
  • Recommend the keynote speaker(s) to the Conference Committee. 
  • Recommend plenary session speakers/topics.
  • Make initial contact with the speaker(s).
  • Confirmation of keynote/plenary speakers should be completed by June (of year prior to the conference). 
  • Introduce the keynote speaker at the conference.
Financial Support, Remaining within Budget, and Attendance/Registration Goals
  • Work with ADAA to identify potential supporters, develop grants, if needed, and pursue new partners to align with ADAA's goal to broaden the scope of its support.
  • Understand the conference budget that will be provided to the committee, help the individual committee members understand and adhere to the budget, and collaborate with staff to keep within the budget and help monitor costs/revenue.
Please note: The conference financials are approved on an annual basis by the ADAA Board of Directors. The Conference chair and committee members will be provided with a speaker budget for the conference. The conference chair and/or the committee cannot obligate any funds on behalf of the organization. 

Marketing/Outreach
  • Identify colleagues/groups/disciplines who may not be familiar with ADAA for outreach efforts (May-June of year prior to the conference)
  • Encourage colleagues to submit presentations and attend the conference.
  • Review materials that will be used for promotion and ensure that the content is accurately presented.
  • Plan monthly outreach to respective networks, listservs; identify groups and support staff in obtaining pertinent lists and contacts.
  • Create regular posts on ADAA Community re: program highlights, etc. (with assistance from ADAA staff) and social media.
Nominees must complete the application form and attach all required documents.
