Help Us Plan for the VOS 2021 Conference

Dear VOS Family,

If you are anything like me, you are sensing that summer is coming to a close, you've got some anxieties about the upcoming school year, and you are not-so-secretly yearning for the first real opportunity to return to something that resembles normal. Of course, nobody knows when that will be, but we are optimistically planning that it very well could be March 13-20, 2021 in Big Sky, Montana!

Online registration for the 48th Annual VOS Conference at Big Sky should open on August 15th (yikes, that's just a few days from now!). First of all, I encourage you to register for the conference and reserve your Big Sky accommodations EARLY. I say register EARLY because I need an indicator of your comfort with and intentions for attending the conference in Big Sky; this will inform our decisions as our Big Sky deadlines approach. Booking your Big Sky accommodations through the VOS portal (www.vosdvm.org) will help us in 2 ways:
  1. I have a measure of our room block occupancy compared to similar dates on previous years
  2. a portion of the lodging nights sold through our VOS portal will be credited back to the VOS (strengthening your organization).
I get it...you're a bit anxious about the above. Let me address your concerns openly and honestly. First, your safety is our top priority. Simply stated, all decisions regarding the 2021 conference format will be made with your safety as focus #1. Member service is our next priority - we seek to provide you with very best service and value. Please know that if the on-site conference is cancelled, your meeting registration is fully refundable. You hope for the opportunity to hear the latest orthopedic research abstracts, converse with your friends and colleagues, learn about new orthopedic products / technologies and services in our Exhibit Hall ... and the chance to get outdoors for some fresh air and recreation. One way or another we are striving to safely provide that in 2021!

What will that look like? Honestly, it could take one of many different forms. We are currently looking at several different conference formats:
  • Normal, full, un-restricted, Big Sky conference - Come on, it IS possible, and wouldn't that be a great celebration!?! That first beer is on me!
  • Restricted, Big Sky conference - Montana is currently under phase 2 re-opening restrictions meaning that if the conference were held today, we'd have to modify our usual conference practices. Meeting room and exhibit hall occupancy would be restricted to 50% and wearing masks would be required (if anybody can do that, I would think it would be a group of surgeons). For the scientific sessions, we'd likely offer limited live, in-person viewing of presentations in the meeting room as well as via video feed in several remote meeting rooms and possibly to individual laptop and hand-held devices. The number of exhibitors would be reduced due to space restrictions, food service would be pre-packaged 'grab & go' personal meals (rather than buffet style) and the social programs would be modified or reduced compared to a normal year.
  • Hybrid (Big Sky & on-line) conference - In the instance of a live conference with reduced attendance, we are considering options to provide online access to scientific sessions for those who are unable to attend in-person. This option could possibly include a virtual exhibit hall to accommodate those sponsors and exhibitors who are not able to get on-site exhibits due to spacing and occupancy restrictions.
  • Virtual conference - If it simply appears too risky to conduct a live, in-person conference in March 2021, we may offer our first (and hopefully last) fully virtual conference. Members could log-on from home and see the scientific presentations, visit the virtual Exhibit Hall or join a break-out room for a little banter amongst friends (is that an adult beverage I see just off-screen?). In all likelihood, we'd stick to our usual 7-9 am and 4-7 pm MST format because some things must never change! You're on your own for getting out for some fresh air and recreation.
As you've figured out by now, none of us is fully in control of this pandemic (though don't disregard your individual impact on those around you), but we DO have the ability to build contingencies based upon our best projections...and that is EXACTLY what we are doing. On a personal level, I'd recommend that you plan for the best and prepare for the worst ... just as we are doing as an organization. If your "planning for the best" includes attending the 48th Annual VOS Conference in Big Sky, then I'd recommend that you register AND make your accommodation reservations EARLY! This will inform us of your intent, and we will make conference decisions including room block adjustments based upon those indicators (for you procrastinators ... the room block could be smaller in 2021). Obviously, pay attention to room cancellation policies, etc. with regard to your own final personal decisions.

Dr. Ross Palmer
I want you to know that you are not alone ... we are all currently operating in a world of uncertainty. My wish for you is personal calm and peace in the knowledge that one thing is for certain; we all can do our personal best today and the world will be better off because we did.
