Our previous issue outlined Before, During and After planning segments for Hearing Health Bingo events. Now we call out winning action steps for these respective phases. For case study purposes, we imagine receiving approval from Sally, the resident director at Hometown Gardens, an upscale Senior Living Community (SLC) nearby. With October 1st target date, we have one month for best practices preparation.
To begin, we focus on

Timeframe: Before

Primary Goal: Effectively promote pre-event awareness

Sally says 20-25 competitive folks usually play bingo, with much camaraderie. We enthusiastically share our handout and encourage them to invite friends, especially those with daily hearing difficulties. Your tactical countertop display is visibly positioned at the front desk, with flyers in activity room, wellness center and in elevators where similar information is usually viewed.
Our larger format canvas artwork design is another eye-catching attention getter. Often displayed near the highly trafficked dining room, it is a sight to see. Nicely centered is event date, location and time. A separate insert is placed in adhesive literature pocket, to easily change out for future events at various locations.

Ideally, beyond these basics, our event information is notably shown in standard activity calendars, printed and online. To be proactive, ask activity or wellness directors which residents are challenged to hear and understand well in managing activities of daily living. Once known, care to share with those in their circle of influence.
Looking ahead to October 1st, coordinated with attendance boosting awareness campaign, we plan event flow and get materials in place, including:
  • Hearing fact placards
  • Practice branded bingo cards (standard size)
  • Practice branded bingo cards (larger print), for the vision-challenged

In close coordination with Sally, as the day draws closer, we seek an estimated number of attendees.
On October 1st, we will focus on

Timeframe: During

Primary Goal: Create an engaging, informative and memorable event, with on-the-spot scheduling of personalized hearing consultations
Enthusiasm is contagious, with bingo as the vehicle, fun is our driver. For host preparation, motivated practice makes better. Get familiar with event sequence, hearing health facts and calls to action. Make it a point to greet all participants, by name. Interestingly, with “the usual” bingo game habits so ingrained, it is crucial to set expectations and describe routine differences. As will be evident, passionate bingo players want to know. Be sure to document attendee information on this handy form.
To start, share a Healthy Hearing, Better Living story which will resonate. Try to relate to a current patient, resident or simply something humorous. Keep in mind, this is fun and games, not a ‘cookie cutter” educational lecture. Being familiar with the audience, ask Sally for “inside information” on more engaging ideas.

In an upbeat manner, facts are called out:
  • Verbally, for those who hear better
  • Visually, with placards, for those who see better

At the outset, confirm all players can either hear or see facts presented. 
Between first and second games, ask attendees if they have listening challenges. With gentle encouragement someone might candidly discuss why they would like to hear precious sounds better. Emphasize that after the second game, you will be available to answer questions and schedule personal consultations.
For a productive event conclusion which establishes opportune pathways, we focus on

Primary Goal: Timely follow up with genuine enthusiasm

Make sure all attendees receive educational handouts which deliver messages home and facilitate sharing with friends or family. How about some surprising bling, either on hand or from a dollar store? Reports indicate a small investment, creatively presented, triggers memorable impact.
