GUIDANCE FOR LOCAL PTAs REGARDING
THE END OF THE 2020 SCHOOL YEAR 

On April 2, 2020 Indiana's Governor Eric Holcomb directed all school buildings to remain closed through the end of current school year in response to the continuing spread of COVID-19. Our local school districts are now shifting to providing continued instruction through some form of distance learning or e-learning. This leaves our local PTA leaders with many questions about how to end the current school year and transition leadership for the 2020-2021 term. We hope the information below will help guide your PTA. If you have further questions, please contact the Indiana PTA office.

PTA Meetings:
Due to social distancing measures, PTAs should not be holding in-person meetings at this time. With the current situation, electronic meetings will be allowed , even if there is not a provision in your bylaws for electronic meetings. Visual meetings are preferred, through platforms such as Zoom, but voice-only meetings are an acceptable alternative.

Treasurer's Duties:
  • It is vital that treasurer's reports continue to be generated monthly and shared with your board members. 
  • If your monthly statements are normaly sent to the school and cannot be retrieved, you may either access them online or request a printed copy at your bank.
  • Any banking transactions that are outstanding may be completed via drive through. 
  • If you have a budgeted line item, such as teacher appreciation, you may still spend those funds (but you are not required to do so). You may need to adapt from your original plans because you will need to keep social distancing guidelines in mind. (Perhaps gift cards for office supply stores or restaurants that deliver? We know you will all surprise us with your creativity!)
  • It's OK if your carryover funds are higher than usual at the end of this year. There will be no repercussions for that from the IRS in this situation.
  • Annual financial reviews cannot be completed until after the end of the fiscal year (June 30). All documents required for your AFR should be ready by mid-July. 
 
Fundraising:
  • If your unit has questions concerning fundraising, please contact our state office. 

Elections:

If a nominating committee was not already in place, it will not be necessary to form one for this year. You have a few options in how your unit can proceed:

  • 2019-2020 officers may stay in place until a fall meeting can be called for an election.
  • Voting for new officers may take place electronically.
  • If an office is uncontested there needs to be only a voice vote.
  • A contested election needs to be balloted or use of a third party to verifiy (Survey Monkey or Election Buddy).
  • Please submit your 2020-2021 officers list to Indiana PTA once elections are completed (even if no information has changed).
PTA Conventions & Training Opportunities
  • The 2019-2020 Indiana PTA Convention scheduled for April 18, 2020 has been canceled. All reimbursements have been sent.
  • The status of National PTA's Convention will be decided at the end of April 2020.
  • The 2020-2021 Indiana PTA Convention is currently scheduled to be held on October 24, 2020 in Indianapolis. More information to come later.  
  • Indiana PTA is currently planning to schedule one in person training opportunity in each area for the 2020-2021 school year. The remainder of our trainings will be held virtually. Training dates are still to be determined.
PTA Awards:
  • Awards to units will be sent to the president listed.
  • Outstanding individual awards (principal, teacher, volunteer, etc.) will be presented at the October convention. 
Student Reflections Program:
  • Indiana PTA is currently awaiting delivery of the awards medals from our vendor. All medals will then be sent to Reflections chairs. It will be the duty of the chair to distribute the medals. 
  • The Reflections Program winners list will be published in the Good News prior to the end of April.  
  • National winners will be announced May 1st live on National PTA's Facebook page.
  • Next year's theme is "I matter because..."  
  • Indiana PTA has already registered to participate in next year's program.
