Dear students,

I am writing to share some important updates about building access and room reservations.

First, Dean Gilson and the Operations team are collaborating to process COVID-19 test results and initiate building access once a negative test result is confirmed. Until you have a negative test result, your access card will not allow you into the main building. When you have been granted access, you will receive an email. For general campus safety, the entrance is locked at all times; use your student ID for entry during open hours.
  • NOTE: New students will receive their student ID cards either during COVID-19 testing or during move-in at 1609 Hazel. If you have not submitted your information for your ID, you need to do that immediately in order to help you get your ID on time. You will not be able to access CIM’s main building without an active ID.

Second, once your ID is activated for main building access, you can start reserving rooms for practice and rehearsal. CIM uses an online booking platform called EMS (Event Management System) to create reservations. You can access it from your phone, tablet or computer at reserve.cim.edu . Reservation instructions and CIM’s policies for room reservations can be found in the EMS How-To Guide and EMS Policies and Reservation Types documents, which are all hosted here . New this year due to COVID-19: all spaces, including basement practice rooms, require an EMS reservation. Please review the EMS documents carefully to learn more as several things have changed since last semester.
  • NOTE: There will be special cleaning supplies next to every piano and disinfecting spray stations throughout the hallways for music stands and other items. Please take note of where these supplies are for when you need them.

Third, building access has also been adjusted due to COVID-19. Until further notice, the Hazel entrance (facing Hazel drive, NOT facing the terrace) is the only accessible entrance to the building and you MUST have your student ID in order to enter the building. You can still exit via any exterior door. If you do not have your ID, you will not be allowed to enter the building.
  • NOTE: Building hours are currently Monday through Friday from 8am-8pm only. Beginning Saturday, August 8, hours will return to standard, which are Monday through Thursday from 7:15am-midnight and Friday through Sunday from 7:15am-11pm.

Each day, prior to coming to the building or using the Hazel practice facilities, you must fill out this form . I suggest you bookmark it or save it as a shortcut on your phone home screen. Once you use your ID to enter the building, you will have your temperature screened at the non-contact thermal imaging station next to the security desk, then swipe your ID again on the security desk card reader to certify that you completed your temperature screen and daily symptoms screen online form.
  • NOTE: You only need to fill out the online form once each day you enter the building, but you will need to have your temperature screened each time you enter the building during the day. You should make sure to check your temperature in the main building before using the Hazel Residence Hall practice rooms as well.

Finally, thank you. I know that the last several months have been very challenging. Our number one priority is your health and safety and we are grateful for your understanding and patience with necessary changes to our procedures and for your participation in new protocols. We can’t wait to welcome you back or to meet you for the first time, and to hear music throughout our building again.

Looking forward,

Maddi Tolliver
