Progress on New HMIS, August HMIS Users Meeting Canceled
Hello!

Mediware has made significant progress and produced a demo site for our new implementation, HMIS@NCCEH. The NCCEH Data Center is testing it right now to make sure we will have the data we need for the BoS, Orange, and Durham CoCs. We are working hard to have everything ready for our new HMIS website, and to make the transition is easy on you, the users! To do this, we have canceled the August Balance of State HMIS Users meeting.

In September's meeting, we will have our HMIS Users Meeting at our regularly schedule date and time, September 20th at 1 pm. We'll have important updates to the new Fall HUD report, the Longitudinal Systems Analysis report and how this will help us with regional and agency specific insights. Get ahead and RSVP now! We look forward to connecting with you then!

Please keep using NC HMIS until notified to stop
Continue entering data into  nchmis.servicept.com until notified to stop and switch to the new HMIS@NCCEH site. We acknowledge that reporting deadlines may need to be accounted for when selecting a date. (expect notice 1-2 weeks before the launch date)

Tips, Tricks, and Troubleshooting
What should you do with day labor or seasonal work in HMIS?
Some clients may have additional income this summer from day labor or seasonal jobs, and this should be recorded as increased income in HMIS!

Like other Earned Income, temporary or seasonal employment does not require HMIS documentation or verification. If monthly amounts vary, you and the client can estimate an average or expected monthly income from the position. Work with your clients to record the most accurate income information possible in HMIS.

If a position ends at the end of the season, note the day you found out about a new level of income to support the HMIS side of data entry. You can always refer to Part II of our Sub-assessments Guide or give us a call!
EDA - This is not a drill!
The most common issue the NCCEH Data Center sees in reports and when folks call in is using the wrong Enter Data As mode for data entry. Enter Data As mode is needed for all data entry for all clients (and has been since MCAH took on NC HMIS in 2015). If you forget to use EDA, your clients may not be represented in reports!
There are two ways to get to the right EDA mode:
  1. Use your default EDA mode
Default EDA is in the left hand corner of HMIS
  1. Manually select a new EDA mode
Manually select EDA mode in the right hand corner of HMIS
Any time you are about to enter client data, check your Enter Data As mode. Is it the project the client was served in? If not, change your EDA mode before continuing. If you don't think you have the right EDA mode available, contact your Agency Admin or call the NCCEH Data Center.
Can I change my contact info in my HMIS profile?
Yes! All users can access their HMIS license profile and add or update your contact information.
