Greetings Scouter

About every other month, Prairies Services hosts a live  information and instruction session for Group and Area Registrars, Commissioners and other team members involved in recruiting, screening and training of volunteers and registration of participants.

You are listed as a Group or Area team member, so you're invited!

If you know someone else who may be interested, you're welcome to share.
(Others may be added to our distribution list by clicking to "Subscribe..." at the bottom of this message.)
2018-19 Registration
Fee information and registration dates for the new Scouting year may not be available in time for this call.

2018-19 registration details will be circulated as soon as possible.

ALL participant registration is ONLINE ONLY by a parent/legal guardian
(or by self-Registration, if over 18)

There is no option for Groups to input registrations.

Complete online registrations for Beaver to Venturer Scouts include:
  • Payment and
  • Parental consent for youth to participate

Participants who appear "Pending" have incomplete registrations. Please follow-up with families when you see these. (Youth may not attend more than two meetings before registrations must be completed.)

Standard Payment options
  • Interac Debit
  • Visa
  • Mastercard
  • American Express
  • PayPal

Can't pay online?
For families unable to use standard payment methods, one of two code options may be available:
  • LDS coupon code
  • Group Billing Code
Need Financial Assistance for registration fees?

Families should apply before registering.

Scouts Canada's No One Left Behind (NOLB) program's applications are usually processed within a week of receiving the request from a parent - sometimes even the same day.

When applying to an outside organization for financial assistance, parents should ask that payment be made to the Group. The Group can then offer a Group Billing Code to allow the parent to complete the registration online.
Group Billing Codes and LDS Coupon Codes

Group Billing Codes and LDS Coupon Codes allow parents to complete registration online without entering personal payment information.
LDS Coupon Codes

One code is issued for each Ward within a Stake unless the Stake opts for a common Stake code.

Codes are provided by the Service Centre to the Stake Financial Clerk and "Area Contact" - the member of Scouting responsible for distribution of codes to the Wards. (The Area Commissioner or Registrar often assumes the role of Area Contact for LDS Coupon Codes.)

The Service Centre should be notified if the Stake Clerk or Area Contact changes.

Invoices for a month's registrations are sent the following month to the Stake Financial Clerk and Area Contact, who should review the list for errors and notify the Service Centre accordingly.

The Stake is responsible to pay for all registrations completed using one of its codes.
Group Billing Codes

Group Billing Codes are not intended for general use; they are for specific approved cases for which an alternative payment arrangement is needed (eg. payment from an outside source, Group subsidizing, payment plans).

By offering a code, the Group assumes financial responsibility for the registrations completed using the code whether or not your receive payment from the family.

Invoices are not issued by the Service Centre; Groups are notified by email when the registration has been completed (as with other online registrations) - the difference being the message says payment is due from the Group.

Groups that have been slow to pay in the past may be required to submit full payment before receiving a code.

Please...
  • Note that codes will not be issued to Groups/Stakes that owe money for the current Scouting year.
  • Ensure that your Group/Stake is up-to-date with payments.
