QUESTION: Why don't attachments show on my client portal when I send listings to clients via email and or auto-email?
ANSWER:

When you add a supplement/attachment to Matrix for a listing, there is a way to denote that a supplement is ‘Public’ (scroll down in the list of Supplement Types). When you choose any of those, it will show the links to clients via a Client Full and any other Client Facing report via the Client Portal when sent to members.

Remember, Matrix can hold a maximum of 15 attachments per listing. Each attachment can be up to 10 MB and listing attachments can be PDF, DOC, or TXT formats.

We recommend not ‘bundling’ your attachments in Matrix, even though it can save you a few steps, for several reasons (see below).  
Why attachment ‘bundling’ is not recommended: 

First, all attachments are pulled into TransactionDesk when a purchase offer is created from a listing. It is then easier for the Selling Agent to remove the attachments that are not needed for the sale when unbundled and also saves from having to ‘slice’ the bundled forms. 

Second, the Delayed Showing and Negotiation form must stay attached throughout the entire listing period when used, even after the showings and or negotiations begin. GRAR and members need to be able to see it attached without having to page through a bundled set of forms where it can be hiding among other pages.

Per MLS Rules: The attachments must contain information, (i.e. disclosure forms, photos, floor plans, maps virtual tours) specifically related to the property being offered. These attachments should not be used for listing agent, company or personal promotion.

Learn TransactionDesk Outside the Classroom

  • Live webinars (link) – make sure you pick the right time zone. Looks like some good ones are coming up. These are by the trainers employed by Instanet/LoneWolf.
  • Help Videos – Click on the Help Icon in Transaction desk to view tutorial videos

GRAR members have had free support for hardware, non-GRAR software (such as Word, etc.), connectivity, and other technology issues through the Tech Helpline for a number of years. NYSAR recently began a similar service called the Tech Hotline. GRAR members currently have both services available to them through May 31. At that time, the Tech Helpline will be phased out and the NYSAR Tech Hotline will be the go-to for all of these types of issues.
