awardsSpring Awards 2018

Graduating student nominees for Convocation Awards are due on or before Thursday, May 10th, 2018 .  The Awards spreadsheet used for reporting your graduating student nominees has been uploaded to QShare . There is a spreadsheet for each Department, and you should find all awards for your Department listed in the same manner as in previous years.  Please be sure to read to the instructions for completing the spreadsheet . Once you have completed your nominations, please SAVE a copy with your DEPARTMENTAL INITIALS and upload the completed spreadsheet to Qshare on or before Thursday, May 10th, 2018.

Please note that we are asking for graduating student nominations only at this time.  The call for undergraduate award nominations will be sent out in early June.

IMPORTANT: DO NOT EMAIL YOUR SPREADSHEET.
IN ACCORDANCE WITH FIPPA (FREEDOM OF INFORMATION AND PROTECTION OF PRIVACY ACT) THIS INFORMATION MUST BE SHARED VIA A SECURE METHOD ~ QSHARE.

The Spreadsheet

The link to the spreadsheet can be found here:  Awards - Spring Awards 2018
Sign in using your Queen's net ID and password.  Please be sure to read to the instructions for completing the spreadsheet.

Award Terms

The Convocation Awards include departmental medals and prizes.  The terms for all the awards can be found on the spreadsheet and on the Student Awards website.  The website has several different views, but the link below will give you the awards sorted by Department; you can also select the Alphabetical Listing of all Awards link in the left-hand menu on the same page.

The terms for medals, scholarships, prizes, bursaries and general awards are attached.

Selection of Nominees

There is a PeopleSoft query that will assist you in selecting all students registered in Plans offered by your Department, provide their GPA information and help determine appropriate nominees for your awards.

Navigation: Reporting Tools > Query > Query Viewer
Search by Query Name, and enter AH_GRADUATING_STUDENTS_CFK

When determining award recipients, remember to consider degree candidates for Fall 2018 Convocation along with Spring 2018 degree candidates.  If you determine that a student who is assumed to be graduating in the Fall should be recommended for a prize, indicate that in the comments section and we will hold the prize and award it in the Fall.  If, in the fall, the student's standing changes to the extent that s/he is no longer eligible for the prize, the Department may recommend that the prize be retroactively awarded to a student who graduated in Spring 2018.  In this case the prize winner would be listed in the Fall Convocation program.

We have also uploaded to Qshare   the Guidelines, approved by the Senate Committee, on Scholarships and Student Aid, which may be used to help you with your nominations for the Departmental Medals and for an award that must go to the "top" or "highest achieving student", if you happen to have two or more students with the same cumulative GPA.   All supporting resources are in the Instructions folder.

If you are a new Chair of Undergraduate Studies or staff member and have not been involved in the Awards process before and would like assistance, please contact Katherine Scott by email or at ext. 77312

Kindest Regards,
ASC Awards Team
