The Arts and Science Communicators Working Group will soon be resuming monthly meetings.

This working group brings together staff in Arts and Science that have responsibilities related to marketing, communications, and / or recruitment - this could include content writers, designers, web managers, event coordinators, etc. 

The goals of this working group include message cohesion, cross-promotion of activities, collaboration of efforts, as well as providing training opportunities.

Co-curricular engagement - in particular, through campus positions - is a hallmark of the Queen's experience and the university wants to ensure that, despite the changes this year, students still have access to a wide range of campus positions in various departments and units at Queen's. 
 
To help you or others in your units maintain, and where possible grow, the number of student positions we offer, the EL Hub is launching the new Hiring Students Toolkit. The Toolkit includes tips, templates, and trainings on how to create, recruit, onboard, and supervise students.
 
In addition, the EL Hub staff is available if someone on your team is interested in a 1-on-1 consultation about how to feature opportunities in their area.

In support of Queen's commitment to an inclusive community that values, respects and celebrates the dignity, worth and diversity of its members and in response to an increasingly technological world where much of the interaction we have with students may not occur in person, the Office of the University Registrar utilizes preferred name (rather than first name) in all People Soft student information queries and documents generated for internal use (e.g. class lists).  Please ensure this best practice is applied to queries and reports developed for internal use within your departments.
 
The Office of the Registrar has a class list query, QU_RG_CLASS_LIST, that is publicly available to all and reports the following People Soft student information, sorted by name in ascending order:

The Student Names Policy (September 1993) indicates that all documents produced for external use (e.g. transcripts, diplomas, enrolment confirmations, student cards) shall state the full legal names of students.

One of the university's current priorities is to implement new cybersecurity capabilities to ensure there is a secure foundation for our digital environment. The first phase of this work, spearheaded by IT Services and known as Cybersecurity Action Plan 2019-21, is currently underway. 
 
In order to support the dissemination of change-related information resulting from this Action Plan, a Change Advocate Network with representatives from across units at Queen's has been established. Ben Hall from the School of Computing and Lydia Scholle-Cotton from the Faculty Office will be representing the Faculty of Arts and Science as Change Advocates for this program.
 
Top things to know right now:
  • Multi-Factor Authentication (MFA) is being rolled out to all staff, students and faculty in 2020. The MFA rollout to staff began in June, and will continue throughout the summer.
  • ServiceNow is Live! The launch of ServiceNow in May was IT Services' first step into an IT Service Management program.
  • IT Services is developing a Cybersecurity Education and Awareness program to increase awareness of security issues and best practices. A pilot is currently underway, and the program will be rolled out to all staff, students and faculty in October.
  • The Endpoint Protection project will establish the capability for Queen's to gain awareness of the health of endpoint devices and enable the foundational platform that will provide the ability to better respond to device-related security threats in future. 
  • IT Services has developed an Enterprise Security Architecture aimed at supporting decision-making related to the identification, selection, acquisition, design, implementation, deployment and operation of cybersecurity capabilities.

  • You can also visit the Cybersecurity Action Plan 2019-21 web space for more information about the cybersecurity capabilities being developed and implemented over the next year. You will need to authenticate using your NetID and password, and can bookmark the space by clicking on the Not Following star in the upper right-hand corner of the screen. This content will be continually updated throughout the course of the action plan, so make sure you check back regularly for new information.

The Principal's Development Fund, 2020-2021 Visiting Scholars program is open for applications. This fund supports visiting scholars that departments invite within their programs.

With the ongoing COVID-19 situation, and its current and future restrictions, visits under this program will need to be creative and will look very different from what they have been in the past. Non-traditional proposals, using Zoom and other similar formats for talks, etc., are acceptable.  How the visit is structured is at your discretion, but obviously, must adhere to all COVID-19 guidelines and protocols.
 
Please submit your request with an outline of the visit planned for your department and an estimated budget for each visitor to Kim Bellefontaine by August 21, 2020. 
 
Approval of the allocation of funding for the 2020/2021 cycle will be made by mid-September.

This series is a Faculty of Arts and Science collaboration which helps to make sense of this pandemic through the expertise and insights of Arts and Science faculty members.

The series is live-streamed on Zoom every Tuesday at 4:00 PM EDT/EST.
