ATTENTION February Recharter Units - Recharters Are Due February 15th


ATTENTION February Recharter 
Units:

 
All February recharter units MUST complete the recharter process by close of business on Friday, February. 15th.

  There is no grace period!
 
PLEASE NOTE:  Effective September 1, 2017, Youth Protection Training is required for all adult leaders at the time of registration. Paper applications from new leaders must be accompanied by a Youth Protection Training (YPT2) completion certificate, which must be filed with the application.
 
Also the online system is set to place any unit's recharter with expired YPT adults "on hold". Recharters will not be released for process by that system until:
  1. All adults on a unit's charter with expired YPT training successfully complete YPT2 training and provide proof of training to our registrar, OR
  2. Units drop all adults with expired YPT training from their charter and they will no longer be registered with the BSA or have a current membership.
Have questions or need assistance with your unit's recharter? Give us a call or stop by the Council Service Center. We can walk you through the process and we're happy to answer all your recharter questions. Need us to pick up your completed recharter packet and ferry it to the office for you? Just let us know! We're here to help make your unit's recharter process as easy and convenient as possible.

All February recharter packets were either distributed at January Roundtables or mailed in January, if your unit recharters in February and you haven't received your packet yet, please contact your District Executive to make arrangements to receive your unit's paperwork as soon as possible. THE DEADLINE TO COMPLETE RECHARTER IS FEBRUARY 15, 2019!

Eagle & Silver Beaver Recognition Banquet
Tuscarora Council's Annual Eagle Class and Silver Beaver Recognition Banquet

We will honor the Tuscarora Council 2018 Eagle Class and Silver Beaver recipients on Saturday, March 2, 2019 at 6:00p. at the Murphy Regional Center on the campus of the University of Mount Olive.

We've Been Hard at Work Evaluating, Developing, and Implementing Ways to Best Expedite the Unit Check-in Process at Camp Program Events!


We get it, you want to get to your site and begin setting up camp as soon as possible so you can get to the most important items of business for the week or the weekend;  having FUN ! Actually camping, sitting around the campfire, fishing, hiking, napping, defying gravity on the giant teeter-totter, cooking amazing meals and enjoying them with your friends and family.....

We get it, because we want that for you too! The more fun your Scouts have and the faster they can begin having it makes us happy campers too. The not-so-fun, but necessary, part of our job as camp staff requires us to collect pertinent information via very specific forms complete with signatures, checked boxes, initials, circles, arrows, etc. 

Okay, so maybe no circles or arrows, but in order for us to be fully compliant and in keeping with all BSA program policies, standards, and procedures we are required to collect the information we request from all units at camp events, and on the specific forms requested. Couple that with a limited number of registration volunteers, a large amount of units checking in at the same time, and a small window of time in which to complete the registration process, check-in takes a long time.

We want to fix that!! We've been actively working on solutions to fix it, and we are happy to announce that we are implementing an experimental to hopefully permanent solution: EXPRESS CHECK-IN & EARLY REGISTRATION! 

This option will be available to ALL UNITS who wish to take advantage of it, and we're encouraging everyone to take advantage of it if at all possible

WHICH EVENTS WILL THIS BE AN OPTION FOR
  1. Spring Cub Family Weekends will be the inaugural event offering Express Check-in and Early Registration.
  2. Cub Scout Summer Resident Camp will also have this option.
  3. Scouts BSA Summer Camp too!
  4. Other camp program events as they occur during the year. The three listed above are our largest, most well-attended events, which is why we're starting there.
HOW WILL IT WORK?

AS A RECAP, For Spring Cub Family Weekends :  

Express Check-in Procedures: No waiting, no standing in line, no shuffling through a stack of forms, no calling parents for missing signatures..... Just show us your approval form and we'll radio the gate to let them know you're ready to proceed to your campsite for a gear drop!

Packs that wish to take advantage of express check-in should gather:
  1. ALL completed and signed medical forms, 
  2. ALL completed and signed activity waivers, 
  3. Completed Pack Roster with ranks, 
  4. Crossover form (if applicable),
  5. Completed youth transfer applications (if applicable), 
and submit them to the Council Service Center (Beginning February 1st, and no later than March 25th for Weekend One, and no later than April 1st for Week Two). 

If dropping them off in person, please make sure you leave them with a Council staff member, so they can secure them appropriately for our registration team to to pick them up and review them. If mailing them, please use a trackable, signature-required mailing or shipping method as we regret that we will not be responsible for lost, damaged or delayed mail. 

Once reviewed, a member of our registration staff will contact the unit leader to let them know if all information is correct and accounted for, or if there are missing or incomplete forms. This should give the unit ample to time to submit any missing information or complete any items that are outstanding. If all items are complete, the unit will be marked as having completed express check-in and will be given an approval form.

On the arrival day of the event, send ONE leader to the express check-in line at Headquarters to notify us of your arrival, let us know quickly if your numbers are the same as previously registered, and we will radio the gate that your Pack is cleared to proceed to  your campsite. By providing all required items prior to the event, this will make for a VERY FAST and EXTREMELY EASY check-in day process. 

We're excited, and beyond thrilled to be able to offer this as an option for our units, and we sincerely hope that you will be too! 

BRAND NEW, For CUB RESIDENT CAMP :

Packs that wish to take advantage of express check-in should gather:
  1. ALL completed and signed medical forms, 
  2. ALL completed and signed activity waivers, 
  3. Completed Pack Roster with ranks, and CLASS CHOICES,
and submit them to the Council Service Center (Beginning February 1st, and no later than May 31st for Session One, and no later than June 7th for Session Two). 

So, WHAT ABOUT SWIM CHECKS? Great news there too!

While all of our unit swim checks must be conducted at camp, there is still an option to complete them prior to check-in:


 

We will be opening up slots for appointments for units to come out to camp PRIOR to summer resident camp to complete early swim checks!


 

As the weather gets warmer and we get the waterfront area set up and ready prior to summer camp season, units will have the opportunity to call/email to schedule a date and time for early swim checks. 

Imagine having everyone's swim check completed and behind you and not having to worry about rushing to get them all done on check-in day. AND..... this service will be FREE of charge. It's a win-win situation, and we're hoping the majority of our units will take advantage of it.
