Curriculum Submissions

Degree Plan Introductions/Major Revisions and Deletions:
The Provost's Office has developed a two-part submission form to accompany the introduction of new degree Plans as part of the University's Quality Assurance Processes (QUQAPs).

Degree Plan introductions and deletions are presented to Faculty Board as a "Notice of Motion" in October. If your department intends to propose a new Degree Plan or delete an existing Degree Plan, please notify Katherine Cook of your intentions, on or before 1 October 2014, so that we may inform the Secretary to Faculty Board and provide you with the appropriate forms to be submitted. Forms for pre-approval and approval of a new Program/Plan will be distributed once your intentions to introduce a new Plan are known.

All curriculum submissions for implementation in the 2015-16 Calendar are due to the Curriculum Committee on or before 20 October 2014.

All proposals for a change to curriculum are submitted to the Faculty Curriculum Committee for approval via the On-line Curriculum Tracking System OCTS (to be accessed by Department Representatives only using the username assigned).

The On-line Curriculum Tracking System (OCTS) process applies only to:

  • New course additions *
  • Course deletions
  • Course revisions
  • Former course reinstatements
  • Plan revisions

Appropriate departmental consultation and approval must be obtained prior to submitting a curriculum submission.

Working copies of the 2014-15 forms to assist you in preparing your curriculum submissions are coming soon.

*New this Curriculum Cycle is the requirement for Departments to include (with any new course addition submission) a completed Intended Learning Outcomes Form via a separate email. For more information on Intended Learning Outcomes please review the Learning Outcomes section of the website. If you have any questions or concerns, please contact Katherine Cook in the Faculty Office by telephone at extension 77312 or by email at [email protected].

Update for Financial Officers

Learning Catalogue

Financial Services has recently published a new online Learning Catalogue listing a wide selection of new online tutorials and resource materials. Learning resources are offered in various formats such as video tutorials, PowerPoint PDFs, Process Documents and more. The Finance Team reports the new catalogue is proving to be a valuable resource and receiving positive feedback from the Queen's administrative community. Be sure to visit the Financial Services Learning Catalogue today!

PS Upgrade/Query and Statement of Operations

Financial Services would like to notify users that access to PeopleSoft Query and the PeopleSoft Statement of Operations will be phased out as part of the PeopleSoft upgrade to version 9.2. This moves comes as the FAST Financial Reporting tool is now up and running and currently available for use. PeopleSoft 9.2 Go-live is currently scheduled for the weekend of October 17-19th. Users not already using FAST are encouraged to review the available training material and begin using the tool. Please see attached the formal communication from Financial Services including links to pertinent resources.

Trust Review and Definition

Financial Services has indicated that a comprehensive review is taking place of trust and endowment funds. A focus is being placed on unrestricted trusts (funds that begin with '8') and Financial Services is working on producing definitions of appropriate criteria for trusts and endowments as well as outlining eligible revenues in these categories of funds. It is expected that some funds may require closure and activity movement to new appropriate funds. This initiative is slated to begin this fall and targeted to be completed early spring.

Fall Preview

As the only on-campus recruitment event held before potential students submit applications to Queen's, Fall Preview offers great potential for engaging with and attracting excellent students.
The two events are scheduled for October 25th and November 8th from 10:00 am to 2:00 pm. Tours of various buildings/departments will run throughout the day and special talks will be available along with an opening/welcoming ceremony.  If you would like to offer any special information sessions in addition to being involved in the Departmental Showcase, please let us know and we will try to arrange something for you.

Departmental Showcase

The Departmental Showcase will be in the Biosciences Complex as in past years, with only minor changes to the floor-plan.

Each department should prepare its blue tri-fold display board. Please note that material must be adhered to boards using sticky-backed Velcro tape only; pins should not be used as they damage the boards and nullify the warranty.  The display board should be delivered to Andre Deparolis in Gordon Hall on or before Wednesday, October 22; he will then arrange to have your designated table set up before the arrival of your representatives each Saturday. Departments are asked to take your display boards with you when you leave at the end of the Fall Preview Departmental Fair at 2:00pm (but please do not take them down early). If you would like some advice on your boards please forward a photo of it to Lindsey.

Representatives at the Departmental Fair from your program/department could include the  Undergraduate Chair, Undergraduate Assistant, other faculty members, well-informed 4th year undergraduate, graduate students or DSC reps who are very familiar with undergraduate Plans and courses. Those participating should plan to arrive by 9:30am at the latest in order to be set up - there is usually a crowd waiting to get in by then.

Prof Talks

We are hoping to try a new approach at Fall Preview this year based on feedback and suggestions received at OUF. The concept is that two profs from what appear to be very different disciplines (for example Chemistry and Fine Art) give a short (10 minutes each for a total of 20 minutes) lecture on a topic matter that crosses over into both disciplines. After that a student will wrap up the session with a statement highlighting that the ability to take courses in both of these disciplines is a great advantage at Queen's. We already have some Departments willing to participate but we are still looking to fill one of the four sessions. It will be a great way to bring some attention to your program(s). So think outside of the box and dream something up - let us know if you can do a Prof Talk

These aren't our actual confirmed sessions but rather to give you a sense of what is possible:

  • Changing the world by changing eating habits (Psychology /  Environmental Studies)
  • Opposition for Organization (Art / Computing)
  • What does skateboarding have to do with Physics (Physics / Health)
Town and Gown Package
Another new addition to Fall Preview this year is our Town and Gown Package just for Arts and Science participants. Based on the Decline Survey, in order to increase our enrolments we need to sell our city better so that's what this package is all about. Families will have the opportunity to stay overnight, get a Tour of the city, a Sunset Cruise with our Deans and Faculty members and eat at one of our amazing restaurants.

To make this work, we need a few keen Faculty members that are great at talking to parents about our school and programs to join us on the cruise (complimentary appetizers). The cruise is from 4:45-6:00pm each day - you can sign up for both or just one. Let us know if you can participate (first come, first serve).

The new staff and faculty website

If you are looking for curriculum submission information, teaching support, administrative forms, committees, and other useful information use the new Staff and Faculty website, not the student website. We've separated out the information for the two groups to make it easier for you to find what you need. If you can't find it - there are links at the bottom of our student facing site that will take you right there. Update your bookmarks to get there quickly.
