Dear Providers -

The November 6th Face-to-Face Meeting will be held in Panama City at the Coalition office (703 W. 15th Street, Suite A, 32401). Please come join us for a morning of information and excitement. You will have the first opportunity to visit the Book Fair and make purchases. Please bring checks or credit cards for purchases. Don't forget to bring your favorite seasonal dish to share with each other. Drinks will be available to purchase as well. We look forward to seeing you on November 6th.

Reimbursement Reminders
Please submit your October Reimbursement Documentation on November 1 rather than waiting until the third business day. The sooner you upload your information, the sooner Coalition staff can process, and the invoice can be submitted to OEL. There are three holidays in the month of November that could delay payment to the providers if crucial deadlines are not met. The Coalition and OEL offices are closed November 10 for Veteran’s Day, November 23 for Thanksgiving Day, and the day after Thanksgiving on November 24. Please try to submit by the earliest date possible.

  • Reimbursement Folders: Please create a new folder each month to upload your attendance documentation. Do not upload your documentation on the first page. 
  • Documentation: Supporting documentation (such as notes from doctors or Rilya Wilson information) must be submitted at the same time as the attendance rosters (before 5:00 p.m. on the third business day). If it is not, an adjustment must be submitted through the Child Care Payment Adjustment Form (via Survey Monkey) and the Coalition Document Exchange (formerly provider portal).
  • Columbus Day: If you closed your center for Columbus Day (Monday, October 9), please mark your attendance rosters with an “N.” As a reminder, Columbus Day is not one of the board-approved holidays.
  • Verify Uploads: Remember to always check what you upload to the Coalition Document Exchange to ensure that all the appropriate documentation is uploaded to the billing group. If you have any questions, please send a request to redline@elcnwf.org.

As a reminder, if you have not turned in VPK September Parental Choice Certificates, please upload the OEL-VPK 03 (S) with sign-in/sign-out sheets or the OEL-VPK 03 (L) to the Coalition Document Exchange .
NEW RULE: VPK Director Credential for Private Providers
New Rule 6M-8.610 took effect on October 15, 2017, regarding the Voluntary Prekindergarten (VPK) Director Credential for Private Providers. This rule requires the completion of two additional classes to obtain the VPK Endorsement on the Director Credential. Providers with a valid director who meets the current VPK Director requirements have been “grandfathered in.”

For those obtaining a VPK Endorsement AFTER November 1, 2017, the following coursework applies:
  • DOE: Standards for Four-Year-Olds or Florida Standards for Four-Year-Olds (online)
  • Emergent Literacy for VPK Instructors (online)
  • VPK Director Credential course (online)
  • Director Credential issued in accordance with paragraph 65C-22.003(8)(a), F.A.C.
  • Mathematical Thinking for Early Learners (online)
  • Language and Vocabulary in the VPK Classroom (online)

The Coalition encourages all VPK Directors to sign up for the online training courses to stay current with information and requirements in the VPK Program. An overview of all courses listed above as well as a link to the DCF Child Care Training site is included below.
Eligibility Reminders
PROVIDERS: Please remind parents/guardians of their re-determination date as early in advance as possible. We do not want any family to lose services. Since customers are now set up for services for a full calendar year, many parents are having a difficult time remembering their re-determination dates for School Readiness. Let's work together to keep children enrolled in the School Readiness Program!

Early Learning Scholastic Book Fair - SAVE THE DATE!
From November 6 - 9, the Coalition is sponsoring an Early Learning Scholastic Book Fair! Providers, teachers, and community members will be able to purchase books through the on-site fair at the Panama City Coalition office from November 6 - 9 or online from October 29 - November 18.

The on-site fair will open on Monday, November 6, during the November Face-to-Face Meeting that will be held in the Panama City Coalition office. Providers will have the first opportunity to shop at the fair. There will be a family night on Thursday, November 9, from 5:00 - 7:00 p.m. Light refreshments will be served.

If you are in Bay County and would like for your center to take a field trip to the fair, simply send us an email at redline@elcnwf.org. Reserve your space today because reservations for field trips are limited.

Scholastic Dollars will be earned by providers, groups, or organizations who purchase over $100 at the fair. (This includes families who visit the online or on-site fair from your center.) If you would like to request more fliers to send home with families, please email redline@elcnwf.org and we will set aside fliers for you. If you would like to view the online flier, click below.

Children's Week "Hanging of the Hands"
It's ALMOST that time of year again!

Children's Week will be January 21-26, 2018, and will share the week with Celebrate Literacy Week Florida. You can begin creating hand artwork as soon as you would like. This year, we are asking that each program string together their hand art into 8- to 10-foot strands and attach a name card including the program name, program city, class name, and class age group. We want our legislators to spot hand art from their hometown.

Strands of hand art will be collected at the January Face-to-Face Meeting on January 5, or you can drop off your strands at any Early Learning Coalition office (Chipley, Marianna, or Panama City). For more information on the locations of our Coalition offices, visit our website.
