Release 6.01 Now Available
New sortable columns that can be set on-the-fly.
Check out this latest feature, which will let you sort on any column or multiple columns from almost any screen. Click on a column to sort by it. Do a shift click on a second column for a secondary sort, and a shift click on a third column for a third sort, and so on. You can also click the arrows on the column to change from Descending to Ascending and vice versa.

Have you recently tried the Query Meetings under Query Lookup | Custom Reports? This is an extremely helpful reporting tool that can be used to pull counts of students that had specific meetings throughout the school year, such as the number of New Referrals or Manifestation Determinations. For example, if you are looking for all New Referral during the 2016-2017 school year that had a meeting outcome of Initial Placement, then
select the appropriate criteria, such as Meeting Type = New Referral, Meetings from = July 1, 2016, To = June 30, 2017,  Outcome =   Initial Placement, and Both (Open/Closed).
Take advantage of the new sort feature to sort your data the way you need it by clicking the double arrows on any of the columns. Export the data to excel, run custom letters for the students returned in the query or create a further customized query by clicking Custom Reports. This report is truly customizable to meet your needs!
Tip of the Month

It is that time of year again to begin getting your ClearTrack and RTI Edge application ready for the new school year. Below is a list of helpful reminders to ensure your systems are ready for the start of school:
  • Use YEP screen from Utilities to run various options. Verify how the grades are incremented from this screen before proceeding with the grade rollover. A message will display next to the Increment Grade Level option, (Last run 07/06/17 by SMS Import for school year 2016-2017). If this message says SMS import, then DO NOT increment grade levels through Year End Processing.
  • Make sure Calendar dates (Control | Setup | Calendar Maintenance) are set up for the next school year. At minimum set the Start and End dates of the school year. When dates are available, also make sure to set School Closings and Board Dates. Also set up any helpful Events for the following school year.
  • Set up School Progress Note Dates. It is imperative that these are correctly set up for each building. Districts will avoid any problems down the road if their Progress Note Dates are correct. Check with BOCES and other schools to see if their dates are different. Also make sure to set a summer date, if there are any students in that building getting goals during the summer. It will not impact other students.
  • If needed, change any Default Start dates For example if users have Next School Year in Recommended Services, change that to Current School Year now that it is the current school year.
  • Review Security and Faculty/Staff table to make sure employees/staff information is up to date. Inactivate any former or retired staff.
  • Review System Defaults and Teacher Interface Defaults. Now is the time to make changes before the new school year starts. There may also be new settings to review.
  • Depending on whether you use the SMS import to inactivate students, you may need to run Mass Exit Students in Utilities. If the SMS import is set to inactivate students, make sure to coordinate with your SMS system that they are sending you students with graduation information in order to exit students. If not, use this screen to help you inactivate these kids. Select all kids with the same exit date and reason.

Medicaid Eligibility
Coming in July... the ability to acquire eligibility dates for students with CIN numbers. When a district/county creates a Biographical Extract, dates of student eligibility within the past 12 months will be automatically loaded into ClearTrack. The ClearTrack Medicaid Service Bureau will process eligibility approximately 1 week prior to the pickup of service claims, allowing the most up to date service claims to be processed. More information will be coming soon.
