PIT and HIC Reports Due in 1 Week
Hello!

Good news! Reset your PIT/HIC Countdown clocks - the deadline has been moved 1 week to Wednesday, February 28th! The reason for this change is that the 0628 HIC Supplement Report is not pulling accurately. Mediware is aware of the issue and working on an update. The Data Center will send out email communication as soon as we've confirmed a successful update!
Steps for Submission
Steps for Submission:
  1. Find the reports for your project type on ncceh.org/2018pit-state*
  2. Watch the video trainings on ncceh.org/2018pit-state or click here for the pdf guide
  3. Run PIT/HIC reports in ART
  4. Review both reports for accuracy
  5. Make corrections in HMIS; work with the Data Center
  6. RRH and PSH projects delete Column C on Tab D to remove last names
  7. Upload reports online using the Durham Data Center PIT/HIC Submission Form
  8. Data Center then reviews submission - we will contact you if corrections are needed!

Your deadline for submitting clean, corrected, accurate reports is February 28, 2018.

*Find your project type and prepare the reports listed for submission. Do not complete the paper forms.
What video trainings?
This year, we have produced training videos for the HMIS reports. These videos include:
  • How to find the reports
  • What prompts to use
  • How to schedule the reports

Tips for the NCCEH HIC Verification Report
There is also training video on how to read and complete the NCCEH Housing Inventory Count Verification report. The New Project Form tab should only be completed if your agency needs a project set-up in HMIS that was active on the PIT night. Remember that your Executive Director (or equivalent) should sign the Cover sheet, and a Program Manager should sign the Verification Form.

We recommend that Rapid Re-Housing and Permanent Supportive Housing projects run the 0628 HIC Supplement report and correct the client details before you tackle the NCCEH Housing Inventory Count Verification. You'll need to know exactly how many clients you served on the PIT night in order to report on your project's capacity.

How to review your reports?
Increase the accuracy of your data by asking yourself a few questions:
  • Are your Housing Move-In dates entered on Interim Updates?
  • Are all of your clients entered for the night of the Point in Time Count?
  • Are your electronic ROIs in place?
  • Do all of your clients have demographic and household data?
  • Have you used the right Enter Data As mode?

Durham HMIS Users Meetings
Feburary Meeting Agenda - Thursday Feb 22nd!
Our next HMIS Users meeting is Thursday, February 19th, and we'll be discussing household composition, housing move-in date, and the differences between different location questions. (remember, NC County of Service is now required). Plus it'll be our only meeting during the PIT/HIC process - so we'll go over the reports and crowd source your questions.
