Link Tasks and Appointments to Documents in NetDocuments

Assume you have to re-file a UCC statement in 5 years, and you create a Task and/or Appointment in Outlook ... or ... you have a contractual requirement to review & update an Employee Handbook every 18 months, so you create a reminder on your electronic calendar. Wouldn't it also be nice to include a link to the relevant documents saved in NetDocuments, so when the reminder notifies you, you can simply click on the link and go right to the document(s) that need to be reviewed, edited, etc.? Well, you can, and it is pretty easy! The even better news is that in ndOffice 2.2 due out this summer, it will become even easier. For now, this is what you can do:

1. Copy the NetDocuments link(s) into your Clipboard one of two ways:

  a. In the ndActivity Center, locate the recent document, right-click and select Get Link.

  b. In the Web interface, using the list view, select the desired document. Next, display the Details tab on right. Right-click on the Document ID. This will copy the document link path into your Clipboard.


2. Create the Task or Appointment in Outlook (or any other application that you use, i.e., Apple Calendar, Wunderlist, ToDo, Amicus Attorney, Clio, Orion, Lawbase, etc.). You may also want to add a reminder notification. Click inside the notes section of the event.

3. In the notes section of the task or calendar appointment, paste the NetDocuments link. Close and Save your task or appointment.

In ndOffice 2.2, you will have a NetDocuments button available directly in the Outlook event to add a document or link to a document. Until then, it is still pretty easy with the directions above!
My NetDocuments Boat Story

Changing gears a little this month, I'd like to share with you a true story that happened to me last month that perfectly highlighted how amazingly powerful and mobile NetDocuments can really be.

So, last month I was out jet skiing in the waters around my adopted US hometown of St Petersburg, Florida - when I caught the eye of the local water police for speeding in a no wake zone.

After heaving to and tying up to the Police Boat, the suitably mustachioed nautical gendarme quickly requested me to provide my boat registration papers - which of course I did not have with me.

Instead, I produced my IPhone (in its waterproof case), thumbed open the NetDocuments IOS App, clicked the SEACRH button and typed in "waverunner" - and in less than 5 seconds my current boat registration paper was open on the screen and in the hands of Tampa Bay's finest.

Like any modern cell phone user, he instantly zoomed in on the document using those finger gestures that we all now take for granted, and then with a shrug he handed me back the phone and proceeded to "tut - tut" me about only using idle speed in residential channels.

As I untied from the Police Boat, I tried to hide my smile - which had formed from a mixture of relief an smugness. And as I keyed the motor, that nice cop yelled out after me "Hey...you know you could just put your papers in a zip lock bag...", to which I replied "I know, but I prefer to have them in a MUCH safer place".
