Earthfest Volunteer Registration Page 

We need you! We're looking for 30 volunteers to help us run Earthfest Allen. If you're looking to help out in a fun, family oriented event register below. We're looking for responsible reliable individuals that can do a variety of work. 

List of Volunteer Job Assignments and Schedule of Events

Shift 1: Event Setup (6:30 am - 8 am) - This is super important. We need volunteers to unload and setup the event. Volunteers will be setting up the information desk and signage.

Shift 1: Exhibitor Setup (8 am - 10 am) - Exhibitors are responsible for bringing their own booth items (tables, chairs, tents, giveways etc). We need volunteers to help them unload and show them where the exhibitor setup area is on the grounds. You will be a guide and helper. People will love you. 

Shift 1: DURING EVENT: Courtesy Crew (10 - 10:30 am) - This group will check in exhibitors and reminding them about event policies.

Shift 2: DURING EVENT: Courtesy Crew (10 am to 2 pm) - 

During the event, we need guest greeters to hand out giveaways, direct guests to restrooms, take a head count, finish reminding exhibitors about event policies, offer exhibitors bathroom breaks, and watch their booth while they go to the bathroom. (Bathroom at backside of Boon Elementary).

A few of you may be asked to run a booth. If you're interested please let us know when you arrive. You will be playing environmental carnival games. You can do this with a friend just sign them up ahead of time separately.

Shift 2: DURING EVENT: Green Team (11 am to 2 pm) - Beginning at 11 am, groups will be asked to walk the ground and collect litter. The Green team will be responsible for keeping the event clean. They will be picking up litter, replacing full trash bins, and encouraging visitors to keep it green! 

Shift 2: AFTER EVENT: Cleanup (1: 45 pm - 2:45 pm) - Volunteers will helps exhibitors load out, collect signs, and break down the event. Make sure to plan on staying to clean up. The more people that stay the faster the cleanup will be.

VOLUNTEER REQUIREMENTS:

• Volunteers must be at least 12 years of age.
• Register all volunteers through this portal.
• All volunteers must either be part of setup or cleanup to get credit for their volunteer work.
• Cancellations, no calls, and no shows may result in the removal from the volunteer program. We do not have time to replace you once you register and accept a spot.

Liability Release Statement

LIABILITY STATEMENT & MEDIA RELEASE: By Registering as a Exhibitor for Earthfest you agree to the following terms of the Liability Statement & Media Release.

In consideration of the City of Allen’s and Keep Allen Beautiful acceptance of your organization’s entry in the event, we, the undersigned organization forever release and discharge any and all rights, demands, claims and causes of suite or action, known or unknown, whether arising now or in the future that we may have against the City of Allen, Keep Allen Beautiful, its officers, agents, employees, and volunteers, and all other property owners and any other participating sponsors, as the officers, employees and agents of such parties for any and all injuries, including death and property damage, in any manner arising or resulting from participation of said event. We attest and verify that we have full knowledge of the risks involved in the event, that we individually assume those risks on behalf of ourselves, our organization, our business, and our minor children, and that we will individually without limitations, assume and pay any medical and/or emergency expenses in the event of an accident, injury, illness or other incapacity, regardless of whether we have authorized such expenses. Further, we state that we have carefully read this Release, know the contents of the Release, and sign this Release of our own free will.

 MEDIA RELEASE

I hereby grant the City of Allen, Public and Media Relations Office, the right to photograph members, employees, officers, and/or any agents participating in City of Allen and Keep Allen Beautiful events and to use or authorize the use of the photo for promotional purposes as related to city produced publications and materials and external publications and materials where the city would release use of the photo to support information about city-related programs and services. 

I hereby acknowledge that no fee is payable by the City of Allen, Public and Media Relations Office, for this appearance or resulting distribution, and that the provisions of this release are legally binding.
