We are thrilled to release the inaugural edition of our NetDocuments Newsletter dedicated to those firms using the NetDocuments Document Management System. We will be sending this newsletter to you every month as a courtesy to alert you of new features, important news, support issues and administrative functions that will be invaluable to your use of NetDocuments.

Making your PDF Documents Searchable
 
You have probably marveled at the power of the SOLR search engine that powers NetDocuments searches and allows us to search document content. It's the same database engine used by Ebay, Netflix, Stubhub, Travelocity and even E-Harmony!

If you haven't tried it out, try clicking on the Advanced Search function at the top of the NetDocuments window and enter a word in the "Everything" field...and in a seconds you will have the results:
 
 
But not all document content is searchable - most commonly, PDFs that have been scanned and saved to NetDocuments are images only, and SOLR is unable to render the text within them. For a lot of firms, scanned images can account for a sizable portion of their NetDocuments repository, and the process of manually OCR'ing them to add a searchable text layer can be a frustrating and time consuming process.

Thankfully, the perfect solution exists for all NetDocuments firms - Symphony OCR!

The Symphony OCR engine can be installed on any windows computer, and will connect with your NetDocuments Repository and "mine" through all of your PDF documents (even the old ones!) and convert them into searchable text. It does this by downloading any non-text PDF to the local machine, where it uses it's internal ABBYY OCR engine to scan the document for text, and then add an invisible text layer to the document - which does not disturb the look, layout or content of the original PDF. It then uploads the OCR'ed version of the PDF as a new version of the original PDF.

Symphony OCR is simple to administer - we will install and configure it for you, and show you how to check it. And even better, it is very affordable, and $45 per user per year!

Microsoft and NetDocuments 
Extend  Their 'Cloud-First' Strategy
 
NetDocuments recently announced that it will extend its Microsoft integration supporting Microsoft Flow, a new SaaS offering in Office 365 for automating workflow across a growing number of applications and cloud services.

NetDocuments' Microsoft Flow announcement follows Microsoft's selection and inclusion of NetDocuments into its exclusive cloud storage provider program, and is the latest example of increased collaboration and integration with Microsoft Office 365. This integration enables an individual to securely login and create/edit/save content simply from within a web browser or iOS device, eliminating the need for either the local installation of Office, or being forced to save contents in OneDrive. The integration also enables Office 365 single sign-on, streamlining the user experience and highlighting both NetDocuments' and Microsoft's commitment to a cloud-first approach to application development, delivery, and integration.

NetDocuments Partner Summit Recap 
 
The NetDocuments Affinity team recently had the opportunity to attend the annual NetDocuments Partner Summit. This annual event features training on new NetDocuments functionality, along with previews of new features coming down the road. 

Here are some of the highlights:
  • Enhanced Security - Full entropic cryptography is now live in NetDocuments. Alvin Tedjamulia (CTO NetDocuments) gave us a briefing on how they now use a Quantum Random Number Generator appliance to fire a laser beam against a prism and use a photon detector to determine whether the light particle produced is a photon or not (i.e. 1 or 0 ). NetDocuments uses this technology to create the most random number known to science for the encryption key you use to access your documents!!!
  • New Features - Smart Folder searching, Conversion and Browser Uploads features are just around the corner - and will be automatically included into your NetDocs feature set....stay tuned!
  • Growth - NetDocuments has seen a 250% increase in customers over last 18 months, and with that growth has come an expansion in NetDocuments research and development. Echoing this, Affinity has brought several more NetDocuments consultants onto our team.
  • SearchDatabase engine fully converted to SOLR (used by StubHub, EHarmony, EBay, etc)
  • User Experience - Big focus from the NetDocuments team around making the product a "delightful" experience for all.
